| Withdrawal/Cancellations: |
---|---|
| For Weekly/Monthly events (Scholastic, Cash Day, & Real BAC tournaments), a fee of $7 applies if requested before 24 hours prior to the tournament start, and a fee of $20 if requested within 24 hours of the tournament start. |
| For Special/Annual events (CalChess, New Year's, Thanksgiving, etc), refer to the event's information page for all fees. Cancellation fees are applied starting one week prior to the event. Cancellations within 2 days of the event are non-refundable. In cases of withdrawals due to sickness after the "non-refundable date", email events@bayareachess.com with a medical certificate or a doctor's note to reconcile refund (50%). |
| Cancellations/Withdrawal after a tournament has started is non-refundable. |
| Fill in our General Tournament Request form (bayareachess.com/request) before the tournament starts so we have it recorded for processing. The fee applied will be based on the form timestamp. |
| All refunds are subject to a 4% processing fee. Cancellation fees will be deducted when processing the refund. Refunds will be processed within 14 days. |
| |
| Credit/Reschedule: |
| A fee of $7 applies for each rescheduling request, if requested prior to tournament start. (see payment options below) |
| If the rescheduling date is not specified, the credit will be valid for three (3) months from the date of the initial rescheduling request. After this period, the credit will become unusable and non-refundable. |
| Rescheduling is not permitted once the tournament has started. |
| Fill in our General Tournament Request form (bayareachess.com/request) before the tournament starts so we have it recorded for processing. |
| Payment options: (email payment receipt to events@bayareachess.com) |
| - Zelle: payment to contact@bayareachess.com |
| - PayPal: bayareachess.com/payhere |
| - Venmo: www.venmo.com/u/sazhar |
| |
| Late fee: |
| Late fees are implemented to cover additional administrative costs, encourage timely registration, ensure fairness to early registrants, and maintain financial stability. These fees help us plan better and enhance the overall quality of the tournament experience. |
| For Weekly/Monthly events (Scholastic, Cash Day, & Real BAC tournaments), a late fee may be applied a day before the tournament or earlier if reaching capacity. Refer to the tab info for fee amount. |
| For Special/Annual events (CalChess, New Year's, Thanksgiving, etc), a late fee is applied one week prior to the event and gradually increases until the day before the tournament. Refer to the event's information page for the late fee schedule. |
| |
| No-Show: |
| There is no refunds or rescheduling for players who do not show up for their scheduled tournament matches. A player who is 15 minutes or more late for a round may be considered a no-show and withdrawn from the event. There are also no refunds schedule misunderstandings. All players are expected to read the orientation email before the tournament. When a player registers for a tournament, BayAreaChess reserves a spot for them, and if they do not show up, it causes unnecessary waiting for their opponent. Allowing no-shows to receive refunds, rescheduling, or credit may also encourage players to register for tournaments without any intention of actually playing, which can complicate the tournament process. By enforcing this policy, BayAreaChess is able to ensure that its tournaments run smoothly and that players are able to compete in a fair and organized manner. |
| |
| Voided Checks: |
| Prize checks are valid for 90 days, after which they may become void. If this happens, players can request a reissue of a new check, or have the prize money transferred through Zelle or Paypal for a fee of $25 or 10% of the prize amount, whichever is lower. Reissued checks must not be older than one year from the original check void date. Checks that are older than one year will not be allowed. These guidelines ensure that players can still receive their prize money in a timely and efficient manner, while also maintaining proper accounting practices. |
| |
| BayAreaChess Membership: |
| If the cancellation request is made before the account is activated, a processing fee of $7 will be deducted from the refund. However, if the account has already been activated, no refund will be issued. All refunds are subject to a 4% processing fee which will be deducted when processing the refund. |
| |
| USCF Membership: |
| If the cancellation request is made before the membership is processed, an extension of the USCF membership (1 year) can be offered, or a refund for the net amount can be processed. However, if the membership has already been renewed, no refund will be issued. All refunds are subject to a 4% processing fee which will be deducted when processing the refund. |
| |
| Indemnification |
| Players and all their representatives shall indemnify and hold harmless BayAreaChess, its directors, volunteers, lessors, affiliates, lenders, trustees, successors and assigns from and against any and all claims, demands, fines, assessments, causes of action, suits, proceedings, liabilities, damages (including consequential and punitive damages), losses, out-of-pocket costs and expenses, including, without limitation, the reasonable attorneysβ fees and expenses, which are incurred by the Indemnified Parties relating to or arising out of the delivery of the services. |

| Q | What does play-up / play up mean? |
| A | Play up means you are opting to play in a higher rating range than your natural rating range. Generally, there is a 300-point rating difference for playing up; except for the highest section. For the highest section, theere is a 200-point rating difference. For example, If the sections are: i: under 1000, ii: 1000-1399, iii: 1400-1799, iv: 1800+, And a player's USCF published rating is 1200, their natural section is ii. They have the option to play up to iii, but they cannot play up to iv, nor play down to i. |
| Note: The play-up is NOT a tournament. Please make sure you register for the tournament ALSO. | |

| Q | What is the difference between Live entries and Processed entries? |
| A | Live entries are automated based on the online registration. After you register for a tournament, you will find your name in the Live entries list. If you are rescheduling from a different date or you registered through a different way, you will not find your name in the Live entries. Processed entries are the entries that will be submitted to the Tournament Director. These entries are updated manually and will include entries from online registration, manual registration, and reschedulings. Any requests made through the change form will also be available on the Processed entries (not the Live entries). The Processed entries are available closer to the tournament date (typically 1-3 days before the tournament date). |
