PurposeKronosThis spreadsheet is used to track work for the Kronos (XCP/Ubuntu compatibility) project.

Project LeadMike McClurgMike McClurg is the Project Lead, responsible for tracking, and coordinating work on the project - this is effectively his spreadsheet, but it is used by everyone in the project to track our work. We collaboratively update the spreadsheet, but it's important to tell the Project Lead about updates we make.
4
5
SheetsDeliverablesThe "Deliverables" sheet shows the list of deliverable functionality for the project. Grouped around two milestones: M1 = ready for Ubuntu 11.10 (needs to be done by 2011 Aug 11). M2= ready for Ubuntu 12-04 (needs to be done approx 2011 December).
6
TasksThe "Tasks" sheet is the main tracking sheet. Most of the time you will be looking at this sheet only. It shows the individual work-items, their status, who they are assigned to, etc. It also shows which tasks are part of which deliverable and other information that helps the Project Lead organise the project.
7
Ranges & TotalsThis sheet is mainly administrative structure for the Project Lead - others are unlikely to pay it much attention. It includes the lists that define the possible statuses etc. (used for verification of data entered in the Tasks sheet). It also has sums and counters to help the Project Lead check the overall status and completeness of the project.

UpdatesWho updates the spreadsheetEveryone working on the project may be involved in updating this spreadsheet. But remember it is primarily the Project Lead's spreadsheet, so please inform the Project Lead of any updates you have done. This helps the Project Lead "stay on top of" what changes are happening. You can inform the Project Lead of changes using whatever is your normal method of communication (email, IRC., meetings ... however you normally communicate).
10
"Status" FieldFeel free to update the Status field for items you are working on (and please let the Project Lead know you have done so). The "normal workflow" of a task is indicated by the numbers at the start of the Status field. For an item that has been assigned to you, the usual workflow will be from 2-NotStarted -> 3-InProgress -> 4-Completed (and maybe occasional time stuck in 3a-Blocked/Waiting).
11
"Who" FieldFeel free to "volunteer" for items by suggesting your name in the "Who" column. If you do this, please put a question mark in front of your name so that it can be easily distinguished from an assigned item. E.G. "?Kim Trilby" in the "Who" column shows an item that Kim volunteers to do (not yet confirmed), while "Kim Trilby" shows an item that has been assigned and accepted.
12
Adding Work ItemsFeel free to identify additional tasks that you believe are needed or desirable. Add the item to the list and set its status as "0-ProposedTBC" - this indicates that the Project Lead needs to examine the item, probably talk to you about it, decide whether to accept it and/or modify it, understand and prioritise it, etc.
13
14
Links to Additional Information If you have additional information about a task you are working on (e.g. a more detailed description of what it entails, tracking of sub-tasks, notes of any sort, etc.) please feel free to provide a link from the "Work Item" column (to save space, we don't have a separate Link column). You can do the same for any other column (e.g. defining details of a deliverable you "own", etc.).
15
There is no standard format or template for such information. In future, we may standardise this, but for now it's completely up to what you want.
