Commencement is a special time for our GRCC family! Serving as a commencement volunteer is a great way to show your support for our graduates and to help make their celebration memorable. We have numerous roles that need to be filled, so please consider volunteering.

4:30 p.m. Volunteers arive for check-in, 129 Main.
Light dinner provided. Wear GRCC apparel.
6:00 p.m. Ford Fieldhouse Opens

5:30 p.m. Report to your team lead at specific location.
6:45 p.m. Guests should be seated.

6:00 p.m. Graduates arrive, and should be directed to 1st floor Cook7:00 p.m. Commencement ceremony begins

VOLUNTEER ROLEJOB DESCRIPTION

ADA Seating
Team Lead: Sarah McNees
Report to Tina Hoxie in the Fieldhouse at 5:30 p.m. Area will be designated in the southeast corner of the Fieldhouse. Due to space limitations, guests requiring handicapped seating may have only one other guest accompany them in this area. Other family members must move to the bleachers for seating. You may need to move chairs to accommodate wheelchairs. Staff is also needed for handicapped entrance near the stairs off Lyon St., and to direct guests to the elevator in the Fieldhouse. Once ceremony begins your assignment will be complete.

Card Distribution
Team Lead: Lina Blair & Thalia Guerra-Flores
Report to Lina Blair OR Thalia Guerra-Flores at 5:30 p.m., first floor Cook Academic Hall. Tables will be marked A-C, D-F, etc. Help to place cards on table in alphabetical order. When graduates arrive, you will help them find their name. Check to be sure they have their cap, gown, tassel, stole and encourage them to leave their personal belongings with a family member. If their card is missing, name or degree incorrect, or are missing regalia items, send them to the Information/Help Table (located in front of the Math Lab). Have the graduate complete the bottom portion of the card with their physical description, and verify their address, phone and email are correct. Do not let them make changes on the front of the cards, as the Deans have noted the pronunciation that will assist them in announcing the graduate's name. Direct them out to the commons for lineup. Remind them to keep their card with them at all times. Once all cards have been picked up, your assignment is complete. Approximately 7:00 p.m.

Graduate Line-up
Team Lead: Lori Cook
Report to Lori Cook’s office, 123 Main at 5:30 p.m., to receive your apron. Students will have either a blue card (workforce development) or yellow card (arts & sciences), and will line up with the corresponding flag color on the commons. Staff will verify students are in correct line, verify tassel is on the right side of their cap, provide mints/pins as needed, talk with them, keep them in line/relaxed, and answer questions. Make sure each graduate has their name card! If they do not have their card, they need to go to the trouble shooting table located first floor Cook Academic Hall, in front of the Math Lab. Once graduates are inside the fieldhouse your assignment ends, approximately 7:00 p.m.

Report to Debbie DeWent at 6:00 p.m. on the north side of the Fieldhouse doors, between Calkins Science Center and the Fieldhouse. You will assist faculty in lining up by department, pass out mints/pins, etc. as needed. Once faculty move inside at approximately 6:45, your assignment will be complete.

Guest Seating/Ushers/
Floor Support

Report to David Selmon in the Fieldhouse at 5:30 p.m. Ushers will move guests to bleacher seating, trying to avoid gaps. This group of volunteers will also aid in dismissing guests following the ceremony and keeping the aisles clear for faculty and graduates to exit. Once all guests have left, your assignment is complete.

As Honor Marshalls bring students and faculty to their row, you will be positioned in the row behind to make sure graduaets and faculty are filling each seat. You will then move back a row and repeat, until all graduates and faculty are in place in front of their seat. Once everyone is seated your assignment will end at approximately 7:15 p.m.
