About this tool

Consider this a tool where you can use parts of it for your needs, but you will need some understanding of how spreadsheets work and formulas to make it suitable for your needs. You will also need Kanban metrics and charts.

How it works

Add your work items in the tab called “Work items”

When a card on your physical wall moves into a new column, update the sheet to by adding the date it moves into the relevant column. (This automatically updates the stage column and the count of cards in each column at the top)

Every time you want to record the data in the current state, go to the “data over time” sheet and press the “backup stages” button (you will want to schedule the script for this to automatically backup if you are using it regularly, I haven’t done this here as the sheet is not in regular use). This will build your data and feed your graphs over time. Doing this will update the cumulative flow diagram, the WIP / delivery rate chart, the lead time data / curves, the forecasting tool and the process control chart.

To hide done stories from your view on the “Work items” sheet to make it easy to read, use the menu item “kanban scripts” and “hide done items”

Once you have some data, to see how adding stories will change your forecast, change the numbers in the blue boxes on the “forecasting tool”

Adding new dates also updates the Lead Time sheets, which will record how long things take from being committed to, which gives us averages to plan with and charts to review to see how process improvements help (see the lead time charts)

There is also a “blockers” sheet, so you can have a single view of what the current issues are and what has happened in the past.

If you want to change or add columns

The sheet is somewhat manual, so changing the columns will mean a fair few changes to each sheet, these include:

The “Work items” sheet: Column C has an if formula that corresponds to the number of columns. So you would need to update this forumla if you add new columns to include them in the formula. This will also affect a number of other formulas, so would need some careful considersation and working through.

The “Data over time” sheet: A3 – F3 show the live count from the stories sheet, you would need to add the additional counts in here. To backup these stages you would need to also update the "Backup stages" script (Tools > edit script) to include these new cells that have the counts in them. If you insert columns, other formulas on this page should update.

The “Blockers” sheet: Column E references the blockers column on the “Work items” sheet, so should be updated to refer to the correct column.

The “Lead time curves” should update when columns are added, if you add new work types, you will need to create additional "lead time" sheets to read from.

The “Columns” sheet will need to be updated to display the correct columns of data

The "process control chart" will need to be upated to reflect what you want it to contain, currenlty it is for features only. The forumla in column A could be changed to include more, or a different work type

The "Validation" sheet contains the names for work types, the sheet only currently works for two different types

Remove the sheets you don't need in your own version, this will help keep the functions faster
