The following Google Spreadsheet document was created to record the name of each file held in the Beloit Historical Society’s (BHS) reference collection, compiling all the names into a single searchable spreadsheet that could be utilized internally as well as shared with visiting researchers. The spreadsheet consists of 48 tabs, or sheets, including this explanation, a Summary of the sheets, and 44 tabs representing individual cabinet drawers of the collection, plus the Book of Beloit and Blueprint Index. Each sheet lists the name of every file folder currently stored in that drawer.

The reference collection consists of mostly paper documents, stored in file folders, and is organized by subject (individuals, organizations, buildings, businesses, etc...). These materials are housed in file cabinets in the main office of the Lincoln Center. This is an uncatalogued collection, used by BHS staff and volunteers to conduct research at the request of members of the public. These files are also accessible to the public through BHS staff and volunteers.

The Google spreadsheet, “BHS ReferenceCollection_FindingGuide - active” can be found in the Google Drive in the folder “Collections” > “Finding Aides”.

A printed copy of the finding guide is bound and should be kept with the reference collection. An electronic version is also on the desktop of the work station by the director’s office for visitors’ use (see Visitor and Volunteer Access below).

How to use the Finding Guide

*The most efficient way to search the finding guide is through the “Find and Replace” function in Google.

*Open the electronic document and select “Edit” on the left side of the menu bar on the top of the screen. Then select “Find and Replace” from the drop down list. You can also use the shortcut “Ctrl + H”.

*Enter your search term in the “Find” box

*Do not enter anything in the “Replace with” box

*Select “All Sheets” from the Search options (preferred)

*You do not need to check any of the four boxes below

*Click on the “Find” button on the bottom.

*The cursor will move to the first file name that was found. As you repeatedly click on the “Find” button, the cursor will move and find additional file names. A message “No more results found, looping around” will appear when all files with your search term have been found, and the cursor has returned to your first file name.

*Once a folder of interest is found, note the drawer number and title of sheet. This is found both at the top of the sheet, and in the tab along the bottom. This corresponds to the label on the cabinet drawer. Locate the drawer to then find the folder.

Updating the Finding Guide

It is very important to keep the finding guide accurate. If a folder is added to, removed from, or relocated within the reference collection, then the finding guide must be updated. Changes may be written on the paper copy in the Finding notebook, and the electronic file updated later, The date revisions are made to the Google Spreadsheet will be entered on the top right corner of the tab “Summary of Drawers”. The revised sheets will be printed and filed in the Findings notebook. Cabinet drawers should be relabeled as necessary.

The finding guide may be posted to the website for people to search before planning a visit to the BHS. If a copy of the document exists online, then the online version will also need to be updated if changes occur. Send the updated document to the current webmaster for uploading to the website.

Visitor and Volunteer Access

An electronic copy of the guide is kept on the desktop of the work station by the director’s office. This copy may be used by volunteers and visitors who do not have access to Google Drive. This copy should also be kept up-to-date with any changes.
