When scheduling a meeting, here are some things to keep in mind:

Your group leader is responsible for making the reservations at locations for your meetings. Do it earlier rather than later!

Communicate meeting place info to everyone in the group and anyone who MIGHT be joining the group

Have ONE member who is designated to add your meeting to the calendar on the website and assure everyone knows where and when.

Consider announcing large open meetings on Communications Weekly
charging a nominal fee for classes ($10 or so) obviously a voluntary payment – no one would be told no if they couldn’t pay it.

NOTE: BVUUF does not have a budget for rental spaces, so will not pay any room rental fees. For exceptions see the Transition Team of the Building Committee.

Is childcare needed? Is there a space for it at your location? Please contact SoS for childcare services and payment

Meetings at a restaurant at a coffee shop? Does everyone want to or is able to buy food/drinks?

Consider your members' accessibility. Can they get to the location? Can they enter the location?

Meeting in homes can build connections and relationship; it can also be intimidating, or an opportunity to discuss class.

Consider training people in your group on Zoom so they can attend meeting remotely.

Consider holding meetings on Sunday before church services at Angevine, from 8:00-9:15am, or after services. 11:00-12:15

Have the meeting in Lafayette as a default, (but if everyone lives in Longmont, have it in Longmont, eg)

Consider requesting (optional only!) donations from group attendees to go towards any rental fees.

Visit places you are thinking of renting BEFORE you make a reservation to make sure it is good for your group.
