This functionality matrix is a tool for capturing and prioritising project functional requirements.
2
3
The main Matrix sheet contains broad functional areas in rows, and each individual requirement in cells. Cells are prioritised according to a score, the calculation of which is described below.
4
A brief example (taken from a professional association who used this tool) has been added. Please enter the row titles in Column B
5
6
The titles of the individual cells should be entered in the Matrix sheet in the large cells. Do not edit the 'priority score' rows, these are calculated as below

Each row then has its own sheet with further details, as follows:
11
Title – taken from the main Matrix sheet (do not edit here)
12
Description – further description of the requirement
13
Business Benefit – benefit to IFST and members if implemented – low/medium/high
14
Technical Simplicity – perceived simplicity of technical implementation – low (complex), medium or high (simple) – this may not be the same as the vendor's view of technical simplicity
15
Priority Score – product of the previous 2 scores, i.e. Bus Ben * Tech Sim
16
Additional Notes – Additional notes from IFST on the requirement

Prioritisation: the prioritisation score is a combination is a combination of Business Benefit and Technical Simplicity, and is an indicator both of how difficult a given requirement will be to implement and how important it is to the business. Those with a high score should clearly be implemented first. Those with a lower score might be implemented in a later phase.

This approach allows for 'quick wins' in a first phase of the project. However there are some areas which have a very high business benefit but are difficult to implement – these should also be implemented sooner rather than later.

The cells are shaded in a 'low/medium/high' system – the thresholds for this are shown in the 'Reference' sheet.
