Lack of resources is a constant challenge - for both development and funding resources. Also, because we are a diverse open source community, decision making is consensus-based rather than top-down. While I greatly value community involvement and I think it is one of the biggest benefits of open source, it can also sometimes be hard to get everyone on the same page.

I assume that most Sakai users are involved with education (i.e. either instructors or learners). I assume that most Sakai users are familiar with the basics of navigating online and using a web browsers. I assume that most Sakai users have been exposed to at least one or more other LMS systems at some point in their education career.
I know for sure that they use a variety of devices to access the system. I know that they are enrolled in Sakai sites in a specific role. I know that they want an easy to use platform that lets them do their work quickly and without a lot of extra clicking or digging to find information.

That they crave, or need, highly customizable experiences in the LMS (rather than an LMS that "just works"). That they need or want a full set of Sakai functionality on their cell phone, when a small subset of well-implemented features would do. That they primarily think about or want their information organized by course/site first - when in reality, doing coursework or teaching work is just one other set of tasks they do all day/week/year. In other words, we only think about users within the bounds of their role as students/instructors. That Sakai is the "one stop shop" they use to get their teaching/learning done. Sakai should focus more on integrating external tools well, and less on providing every kind of functionality users need to participate in courses.
Students: they think other LMSes are more "modern" and Sakai is "legacy software". Faculty: they wish it were easier to get more and better data about student behavior out ot Sakai.

That they're confused by the myriad options and they tend not to come at the tools from a pedagogical point of view.
They're frustrated that simple things can be so difficult. The interface is confusing. The tools and UI don't invite them to want to play.

I really don't like the sakailms.org website at all. The design completely turns me off. I look to other institutions' documentation. I look to JIRA and Confluence. I don't find much inspiration anymore. The whole community has lost the fire that came with building something with a vision and a purpose.
The UI. It's horrible. In 20 the skin is actually worse than any previous version. The inconsistency in the interface between tools- the lack of interest/investment in an intuitive, customizable design has become impossible. There are probably a dozen ways to upload a file and none of them is intuitive. Students these days can't even figure out how to pick files. There must be at least 5 ways to indicate that a field is required. I documented so many style problems that were INTRODUCED with the default 20 skin that it left me in despair. You can't keep putting out releases with no consideration of what an 18 year old expects from a website. Enrollment management is everything. The Sakai community had an opportunity to become modern after 12. And it only became less cohesive and dated. With even more differing icon sets.

I could give you a laundry list. A functioning course creation with the cmapi (or a different workflow that meets our needs.) Consistent affordances across tools. A beautiful interface fit for somebody born in 2002. Accessibility features that are common now.
The ability to merge/ cross-list rosters, guest accounts, LTI integrations. I've championed Leganto on our campus because back in the day Sakai had the best file store in Resources. But it hasn't improved or made sharing of assets simple and rich. Everything requires so much thought. We have been at 12 and I had hoped in the meantime some of these age old issues had been addressed. Instead we got a bunch of new features that aren't easy to use. Sakai is a workhorse good for admin but it doesn't make users more creative or try to engage students in new ways.

I have a really large document of several pages and several screen share videos that outline just the interface problems with 20. I also have videos of bugs from 19.4 and 20. I've worked with this system for 15 years. The attitude of "put in a Jira" or "if it bothers you YOU pay for it" when each release just compounds the problems of the previous has exhausted me. We have a whole new world ahead of us with whole new teaching and learning challenges. I'm tired of pointing out the same issues I've been pointing out for a decade or more. It's a system that works the way it does because of the code limitations not because it's intuitive for faculty and students. There are not enough designers, teaching experts, and people who use it daily for everything working in it. And certainly no 18 year olds. If the developers had to use Forums to fix bugs instead of JIRA and they had to use Chat and Resources instead of Basecamp or Slack or whatever that we'd have a more modern system...

As an admin, I have access to all the Admin Workspace tools. For sites we help faculty design we have a rough site framework for where we put different kinds of information for faculty and students that tries to make it easier to find things.
Many tools look and behave in outdated ways (no multi-tab support, old "Web 1.0" user interface patterns). Much of Sakai is built on outdated technical infrastructure making changes and updates to the tools difficult or impossible except for the most seasoned of developers. Sakai seems to always have extremely limited resources to address the previous two challenges.

1) Long term Strategic Philosophy direction seems wrong - The top issue that we face (which we hope would improve) Sakai is very buggy and depending on the version certain tools when released are sometimes not stable. We believe this stems from the long term strategic direction of the product always wanting to bring in new functionality versus trying to stabilize the product and fix issues. Its seems that once the community moves to a new version they forgot about the old version and issues. 2) The product is not well tested. QA team due to lack of resources only test for critical or blocker issues and then release the version to public. We then as consumers are ultimately the tester of the product for High, medium and low bugs increasing man hours to support the tool - 3) Constant changes with tool and addressing critical bugs and issue that surface while using Sakai.

It would be nice if there was a process to delete courses and resources as single unit so the tool does not continue to bloat. You can delete a single course but there is no tool to delete all resources and data tied to a single course unit at once. Deleting a course does not delete the resources or data only physical content. We are constantly increasing storage as there is no way to remove old courses, data and resources as single unit. I know talking to other schools this would be a nice feature that would save university money in storage costs and if they want to put in a data retention plan this would be helpful so when the data is no longer needed it can be deleted.

Overall we believe Sakai LMS is a good tool. We believe if the community leadership would put more emphasis on making the product more stable and less buggy especially on roll-outs that would make our lives easier. We understand the tool is developed and tested with a mixture of full time and volunteers, but believe before new functionality is introduced the focus should be on fixing existing issues and bugs and make the product be more stable. If end users see the tool more stable and reliable then the image of the tool would increase forcing market share to grow. We do appreciate you asking for our input and are not trying to offend the hard work of the community simply stating that this would help improve the tool image and market share.

Sakai Community Documentation and jiras (Jiras are not an effective way to learn how to set up Sakai or learn how to use various tool features, but we don't know of a way to find detailed feature info). Or talking with our vendor support.
Our users or all users? Our users: Both Students and Faculty vary greatly in technical skills and for faculty, they vary widely in their online teaching skills. Some faculty figure out problems on their own, some are lost.

Both faculty and students vary widely in the hardware and software and internet capabilities they have available to work with.

Some new faculty have a long learning curve, even when they take our Intro and Intermediate Sakai online workshops (Intro covers Resources, Site Info, Announcements, Email, Syllabus, Lessons; Intermediate covers Gradebook, Forums, Assignments, advanced Lessons and Tests & Quizzes set up and grading videos/handouts/activities).

Students don't care what LMS we use as long as it works, is consistent and easy to use.
But Sakai is not consistent or easy to use, from a faculty, student or admin point of view. For example: Students go to the Gradebook for their Forums feedback (not Forums), go to Assignments for Assignment feedback and they can find Assignment feedback text in the Gradebook, and go to Tests & Quizzes for feedback. Now there may or may not be a Rubric, that doesn't display in Forums.

Our users: We have anonymous evaluations for our Intro Sakai and Intermediate Sakai workshops. Instructors are required to take the Intro to Sakai and now we're requiring Intermediate Sakai workshops. Almost all faculty say the training is effective. But users with low end skills struggle with the Intro, let alone the Intermediate, as we have to help them complete the online courses.

Our faculty are dedicated, the majority want to learn and teach online effectively, we deal with high end and low end users. But I think that is true for many LMS's.

Upgrades-the last two (19.x and 11.x) had several serious bugs-it is disheartening how much time we have to spend debugging Sakai, in Development and Production instances. It erodes our confidence in Sakai as well as our faculty and students perception of the LMS.

Forums is outdated and clunky to use-Forums and Topics! Just have one.

Resources has become cumbersome to use, it wasn't intuitive previously, but it seems worse now; same with Syllabus. These are basic tools all faculty use too.
Rubrics have been difficult to deal with since there have been many bugs.
Other:Effective QA on releases, so we don't have to spend so much time debugging and reporting bugs and issues. Design content with accessibility and ease of use in mind.

Make the tools work in a consistent manner, easy to use, easy to grade (Forums, T&Q, Assignments). Forums is clunky and outdated.

Change Lessons after it has been extensively tested and displays well. The new "features" didn't work at first and didn't display well such as a resources folder and Embed Announcements/Calendar/ Forums. We don't discuss these items with faculty.

We would like a way to copy Lessons from one course to another (I know it would be hard with all of the possible linkages) easily and consistently.

And it would be lovely to copy Lessons content within a course easily that works consistently. It's difficult and not documented well how to copy content within a Lessons area now, and worse, there is that sharing page "feature" that crops up that is difficult to fix once you accidentally share a subpage.

A way to publish courses by date/time controlled by the instructor and/or admins.

Assignments and Tests and Quizzes both work fairly well, but changing open/due/due until dates is a pain. And the Assignment resubmission software is not consistent-sometimes prior copies of the student content disappears, other times the instructors' prior feedback disappears, depending on the steps the instructor makes while grading/releasing content.
The Gradebook now looks good, and works well, but I liked the previous Gradebook-I dislike the horizontal scrolling, it is not consistent with how web pages usually work!

I like Lessons, the ability to link to weekly subpages and to the activities (Tests & Quizzes, Assignments, Forums) and embed videos. l

Assignments works fairly well.
Tests & Quizzes use to work well, but there have been some scary bugs in 19.

It hasn't been documentation, it's been personal testing or word of mouth (private or community emails generally).
We are spread too thin and afraid to focus our efforts, to innovate our processes, to keep Sakai sustainable into this 21st century. This applies to our "user" organizations. Of end users? They follow the 80/20 load. 80% don't click around or explore. They use Sakai the least possible (distribution of grades & resources). The other 20% push the boundaries.
If they can't see it, they won't go looking for it.

1) Regressions- every version something breaks that was a high profile fix a version or two ago; 2) I get told that some parts of the code are too brittle to fix, but those are the parts that hold us back - Samigo, for one; 3) Many many 'annoyances', minor jiras, have been around for years and unless someone pays to have them fixed, they remain unfixed or there fix is thoughtless/incomplete or that's the thing that breaks the next time around and isn't found unil GA.

Menu bar layout is inconsistent - no alignment of items (5 rows?). Font size is inconsistent or seem unrelated to importance. Search site input has different font than the rest of the site. Top banner is too big and there is no call to action "above the fold" - need to scroll to get to action links. Sakai news blue is too prominent for the design - contrast of text on items too low to make reading easy. Text all uppercase makes it harder to read. Our community has complained about the interface of Sakai in multiple assessments (clunky, awkward, inconsistent); our community sees options or LTI solutions for tools like Canvas or Brightspace that are better than Sakai (or don't exist for Sakai); several of our community members do appreciate the customizations that are possible in Sakai (but are not possible in other platforms).

Multiple areas need more love and attention. That said, we have made many significant improvements over the last several years -- we need to keep pushing and improving, though! For students, notifications and mobile app would be helpful; for instructors, improvements to Lessons as well as better analytics so professors can plan interventions with students; for school admins, a school administrator workspace that allows program review options and improvements for overall class and program assessment; for system admins, speedier Worksite Setup (with thousands of sites, it can take a little time to load), more love in the UI for consistency with instructor features (e.g. why is the upload feature in Users > Import from File > Import a File > "Add" so ugly and different than instructor/student versions?).
As an admin, become user is key as well as Delegated Access for providing broad school support options; as an instructor, Lessons has become critical but needs more love; I also appreciate basic tools like Announcements and Messages. Thank goodness Zoom has a good LTI tool that works great in Sakai!

Keeping class sites on Sakai up to date as they roll from semester to semester. Things change from one semester to another, and one change affects multiple areas. When all of the areas are not updated, the site is no longer coherent.
Google search does the job most times.

Not easily. I usually have to plink around the site until I see that it is not there in the first place or I find the info.
MY MAIN ISSUE!! The forums stink because they are slow slow slow. It is like the whole site is recalculated with each button click. ALSO, it is very hard for me to track what I have done so far. Several times last semester, I thought I had replied to some of my classmates when I had not. We can have 40+ forums to post for one class. We have to post, and reply to classmate's posts. Why can't Sakai make it easier for me to see what I've done??? I know that Sakai has this information because the professor gets the report of what I've done. Make that report available to students!!!!!
Other:Yes. Please take a look at tools where you create posts and interact with others. See how those tools let you see what you've done? There is a thread-oriented view, but there is also a person-oriented view. Give both views to the students. It is already in the Sakai system, just make it visible.

Also, think about how people like to create postings in FB, Twitter. Do you see how easily pictures and videos are added?? Why can't Sakai do that? It's a pain in the rear to add pictures and videos. We have to add the content to resources, and then apply that resource to a post. So annoying.
Sites can be persistent from semester to semester. I like looking at past classes for current reference.

Email notifications when professors make changes are helpful.

The classes can be organized to my liking on the top of the page. Very nice.

Johnson is the most well run school I've worked for, but in my department keeping academic rigor high (because though students are smart, they are either undisciplined or not exposed to higher-level creativity has made it difficult to be demanding) and marketing the program (Johnson has no marketing department) are my two biggest concerns.
