QUICK TIPS:
18
• Light-green cells are input fields; white and alternating-row cells generally contain labels or calculations.
19
• Enter actual costs regularly so the budget variance remains current and useful.
20
• Do not overwrite formula cells unless you intentionally want to change the workbook logic.
21
• Add concise notes for unusual costs, approvals, assumptions, and changes in scope.
22
• Use consistent status wording so conditional formatting remains accurate.
23
• Review reserve remaining before approving additional contingency spending.
24
• Save a dated copy when establishing or revising the approved cost baseline.
25
26
BEST PRACTICES:
27
• Confirm estimates with task owners before approving the project budget.
28
• Compare budgeted and actual costs at least weekly during active delivery.
29
• Investigate negative variances early and assign a clear corrective action owner.
30
• Use contingency only for approved risks or unforeseen costs, not routine overspending.
31
• Keep supporting invoices, timesheets, and approvals aligned with recorded actual costs.
32
• Reforecast when scope, rates, schedules, or resource assumptions materially change.
33
• Share the variance summary with stakeholders during regular project reviews.
