HOW TO USE THIS WORKBOOK

• Open the tab that matches your role: Authors, Narrators, Vendors, or Models.

• Fill in ONE row per person / table. Complete every field that applies to you; leave the rest blank.

• Please don’t rename, reorder, or delete the column headers — the directory imports directly from them.

• Each tab has one EXAMPLE row at the top (grey italic). Type over it or delete it before you submit.

• Leave “Table Number” blank — the organizers assign tables.

• Cell highlighting is reserved for organizer use — please don’t add or remove any highlights.

FIELD GUIDE

Name / Shop Name — how you want to appear in the directory (pen name is fine).

Contact Email — used only by organizers to reach you; not shown publicly.

Headshot / Logo — the round image at the top of your directory card (see image requirements below).

Book / Audiobook Cover — cover image shown on the card (authors & narrators).

Genre / Category — your main romance genre, or the type of goods you sell (vendors).

Tropes / Tags — a few comma-separated tags (e.g., Enemies to lovers, Fated mates).

Tense — Past, Present, or Mixed (authors).

POV — Single, Dual, or Multi point of view (authors).

Person — First person, Third person, or Mixed (authors).

Trigger Warnings — comma-separated content warnings for your titles (authors).

Preorder / Shop / Booking Link — where readers can buy, preorder, or book you.

Preorder Deals / Event Deals — any special offer tied to the event.

What You’ll Have at the Event — items available at your table (e.g., signed paperbacks, prints, pins).

SPICE LEVEL — ENTER AS A RANGE

Spice is entered as a range across your titles: a Lowest value and a Highest value, each from 1 to 5.

 1 = Sweet / closed-door 2 = Mild 3 = Moderate / open-door 4 = Steamy / high heat 5 = Explicit / very high heat

If all your titles are the same level, enter the same number in both columns (for example, 4 and 4).

IMAGE REQUIREMENTS

Headshot / Logo: square (1:1), at least 800 × 800 px, JPG or PNG, under 5 MB. Clear, well-lit, minimal text.

Book / Audiobook Cover: portrait (2:3), at least 1000 px wide, JPG or PNG, under 5 MB.

HOW TO SHARE YOUR IMAGE VIA GOOGLE DRIVE

1. Upload your image to Google Drive (or to the shared event folder if organizers gave you one).

2. Right-click the file and choose “Share.”

3. Under “General access,” click “Restricted” and change it to “Anyone with the link.”

4. Set the role to “Viewer.”

5. Click “Copy link.”

6. Paste that link into the Headshot/Logo (or Cover) column on your tab.

Tip: rename the file to your name first — e.g., Jane-Author-headshot.jpg — so we can match it to you.
