Worksheet Purpose: To estimate the cost of a project, and the TCO of the outcome over 3 to 5 years. It is meant to be used as a checklist of costs that should be considered when starting new projects. If a line item doesn't apply to your project, delete it. If you need to reflect costs not on the worksheet, add a row. The Technology Program Office at tpo@berkeley.edu would be happy to assist you in completing this worksheet, especially with the formulas on the right.

Worksheet Tips:

• The estimates are not expected to be perfect, and will change as you learn more about the project. Target a +/-30 range in your estimates

• Enter the +/- range you used along with any assumptions that you made during your estimates in the 'Basis for Estimates' sheet

• The TCO can extend 3, 5 or 10 years. This TCO provides for 5 years, but you can adjust for the useful life of the technology or service being implemented

• Cost categories should include software, hardware, staff, network/communication, etc.

• For staff, use the midpoint salary range for the analysis

• Consider costs for decommissioning the technology, as well as converting or moving data at the start of the project, or the end-of-life of the technology

• Costs for chargebacks fees, licenses should be included, as well as any year-over-year expected cost increases
