How to Get Started

This is a blank Crop Planner you can fill out from scratch.

To use this spreadsheet you should now make three copies. (with the new "Actual" column in the Orders sheet (Sep 2023), this is now not technically needed, - but might be nice to have a Projections only sheet)

To make a copy: Go to "File" --> "Make a Copy" and copy it into your own Google Drive folder.

Copy 1: Label this first copy as your "Main spreadsheet." Do not edit this spreadsheet - it is your blank master copy you can go back to if something goes wrong in your working version!

Copy 2: Working from your new "Main Spreadsheet" create another copy. Name this one "Projections 2025" or whatever the year it is for. This is the one where you create your crop and financial plan for the year. Get it as close to what you think is realistic as possible to meet your goals. If you already have clients, use their info. If you are just starting out, use generic names (Restaurant 1, Grocer 1, etc).

Once you have this copy, delete all the pre-filled info; this is just there to show you how it all works. The main stuff to delete includes:
- Customers: 3 (leave the buffer)
- Crops: 3 regular and 1 mix
- Orders: (simply delete all the orders from the first week of each harvest day plus the first date of each harvest day)
- Seeds - all filled green cells
- Soil & Mats: green cells C6:C8;
- Packaging & Labels: Green filled
- Annual Overhead Costs: All filled green cells
- Wages: All filled green cells
- Labour Calculator: All filled green cells in January

Copy 3: Working from your "Projections 2025" sheet, create yet another version! This one is your "2025 Working Version". This is the one you change on a week-to-week basis as orders and customers change and to set your weekly sowing numbers. You can then refer back to your projections sheet to see how on target you are.

NOTE: This sheet may not work in Excel.


This is a large and complex spreadsheet and takes some work to master, but in doing so you will better learn the flow and actual costs of your microgreens business. Many worksheets are set up to replicate data. For example, in the Crop Planner, once you enter your projected sales for a given week the spreadsheet automatically fills out each subsequent week with the same sales. You can then adjust each week as you go. This approach reduces the amount of data entry you must do and better ensures you have sufficient crop volumes each week. In general, it is better to have more than you need than less.

Enter data in these cellsThese are the cells in which you enter your data; there are several shades of green throughout where you can enter data

Do not edit these cells!These are the cells which autofill or within which calculations take place. In general, do not edit them! There are several shades of orange throughout the sheets. Did I mention: DO NOT EDIT THEM?

Label cellsThese cells label other cells. Best not to change them as they are used in calculstion filters. Usually light or dark grey. You can change the names of the sheets at the bottom to terms that may resonate more for you - but don't do so unless you really need to as it makes updates to your specific sheet quite hard.

This is a detailed spreasheeet made up of many worksheets - most of which are linked to at least one other. You are welcome to edit this as you see fit, but a change in one place can make changes elsewhere so be careful!

Worksheets names and tabs are found at the bottom of the page. I've tried to group worksheets together by colour if they are closely related

This spreadsheet can account for the production of 25 different crops. Although relevant at all scales, it is probably most effective and accurate at small to mid-scale production of 100-500 trays per week.

Many sections in the spreadsheet, such as this one, are grouped together so the rows can collapse and essentially be hidden. This helps reduce the amount of information on your screen at any given time and can make filling out and reading the spreadsheet a lot easier. Look for + and - symbols along the left hand side and the top of the sheet to collapse and expand sections.

Measurements in this spreadsheet are in metric for easy conversions. Sorry America. But you can use oz and pounds as well!
