Staff RecordsUpdate Leaving StaffIn Staff > Manage Staff, select each leaving staff member's checkbox and select the action "Mark as Left", enter an end date and submit.

Add New StaffIn User Admin > Manage Users, add a user for each new staff member with a start date and their status set to Expected.

Update DepartmentsIn School Admin > Manage Departments, add and remove staff members in each department to reflect the upcoming school year.

Student RecordsStudent & Family Data UpdaterIn User Admin > Data Updater Settings we can enable a cutoff date and auto-redirect. Parents can then login and update the info for themselves, their family and their children.

Update Leaving StudentsIn User Admin > Manage Users, set an end date for leaving students. Students leaving and graduating will be marked as left as part of the rollover.

Accept New StudentsDone through the online Student Application Form and Students > Manage Applications

School Year SetupSetup Form GroupsSchool Admin > Manage Form Groups, first use Copy All To Next Year to create the Form Groups, then edit them to reflect the new year.

Setup TermsSchool Admin > Manage Terms. The school year was created during the last rollover but the terms likely still need added.

Setup Special DaysSchool Admin > Manage Special Days. Should include all school closures for the upcoming year, and be done before timetabling Tie Days to Dates.

Update Days of WeekSchool Admin > Manage Days of the Week, if any of the school timings have changed.

Update FacilitiesSchool Admin > Manage Facilities. Update these if any rooms are being added, removed or renamed over the school break.

TimetableCopy Courses to new School YearTimetable Admin > Manage Courses & Classes, then use Copy All To Next Year to create the courses for the new year, and edit them as needed from there.

Create/Update Timetable ColumnsTimetable Admin > Manage Columns. If the timings for the school day have changed you likely need to create new columns for the new school year.

Setup the TimetablesTimetable Admin > Manage Timetables

Setup the Sync SettingsSetup the sync in Timetable Admin > Sync Course Enrolment. Don't run it yet.

Enrol Non-Synced CoursesTimetable Admin > Course Enrolment by Person

Tie Days to DatesTimetable Admin > Tie Days to Dates. Use the checkboxes (checkall by weekday) to select dates and assign the timetable days created for each of the above timetables.

Import Timetable SpreadsheetsSystem Admin > Import From File, upload the Timetable Complete spreadsheet.

End of YearDisable Parent AccessIn User Admin > Manage Roles, edit the role and change Can Login to No.
