Which Template Should I Use?

Use the 'With Restrictions' tab if you receive a number of restricted grants—grants that can only be used for specific programs or purposes.

Use the 'Without Restrictions' tab if most of your revenue is unrestricted or you don’t need to track restricted vs. unrestricted funds separately.

Revenue

Earned Revenue: Money your organization earns by providing a service or product (e.g., ticket sales, class fees, merchandise).

Contributed Revenue: Donations and grants, either restricted (for specific purposes) or unrestricted (can be used for anything).

Net assets released from restrictions: Money raised in a previous period (year) for which the conditions have been met such as a project or timespan

Expenses

Staff: Employees on payroll—organization pays taxes and benefits.

Consultants / Contractors / Artists: Paid on 1099s or invoices—no payroll taxes withheld. Includes teaching artists, guest performers, etc.

Occupancy: Expenses to be in your space (rent, utilities, maintenance, internet).

- Start with what’s confirmed: grants, contracts, known programs.

- Fill in revenue realistically—use discounts for uncertainty.

- Be honest about labor and space costs. Don’t underbudget.
