Please make a copy of this document first, then:

Step 1: Set up your layout
Open a new spreadsheet. In column A, list your desks by number or name. In the top row, add the dates you want to book.

Step 2: Build the booking grid
Where each desk row meets each date column, you’ll have one cell. That cell shows the booking for that desk on that day.

Step 3: Add easy dropdowns
Use Data Validation to add a dropdown in each booking cell. For example: Available, Booked, Pending. This keeps entries clean and consistent.

Step 4: Color it for quick scanning
Turn on Conditional Formatting so cells change color by status. For example: green = Available, red = Booked, yellow = Pending.

Step 5: Share with your team
Send the sheet by email or put it on a shared drive so everyone can check availability and make requests.

Step 6: Keep it up to date
Pick one person to manage the sheet. They’ll approve changes, resolve conflicts, and keep the status accurate.

Step 7: Try Archie instead
If spreadsheets start to slow you down, switch to Archie. You get live floor plans, quick desk and room booking, auto release for no-shows, simple booking rules, team neighborhoods, Outlook and Google Calendar integrations, mobile apps, and clear reports. It can also handle visitors, deliveries, and emergency lists in one place.
