Purpose

This workbook is a master reference of land parcels and properties within a locality. It consolidates ownership, land use, occupancy/status, and titling information so planners, assessors, and real estate professionals can identify development opportunities, monitor idle or underused land, plan zoning and infrastructure, and support land-use and disaster-resilience planning.

How the workbook is organized

• Property Database — one row per parcel/property. This is the main sheet you will fill in and maintain.

• Dropdown Lists — the controlled vocabularies used for data validation (land use, status, title status, hazard exposure, etc.). Edit this sheet to add new options; new options are automatically available as dropdown choices in the Property Database.

• Summary Dashboard — automatic counts, areas, and cross-tabulations that update as you add records. Nothing needs to be entered manually on this sheet.

How to add a record

1. Go to the Property Database sheet and add a new row at the bottom of the table (the table will auto-expand and the formulas/formatting will extend automatically).

2. Fill in the yellow-highlighted reference columns using the dropdown arrow shown in each cell (Land Use Category, Property Status, Title Status, Hazard Exposure, etc.).

3. Free-text columns (owner name, address, remarks, etc.) can be typed directly.

4. Leave Property ID as-is if using the auto-numbering pattern, or assign your own LGU parcel/PIN code.

Column reference

Property ID — unique identifier for the parcel/property (e.g. LGU Property Identification Number / PIN).

Owner Name — registered owner or claimant of record.

Owner Contact No. / Owner Address — contact details for coordination and notices.

Barangay / District — administrative subdivision where the property is located.

Property Address / Location — street address or lot & block / parcel description.

Lot Area (sqm) — total land area in square meters.

Floor Area (sqm) — total floor/building area, if improved (0 if vacant land).

Land Use Category — current dominant land use (Residential, Commercial, Agricultural, Industrial, Institutional, Mixed-Use, Open Space/Recreational, Forest/Protected, Utility/Infrastructure, Vacant/Idle).

Zoning Classification — official zoning per the LGU's approved land use / zoning ordinance.

Property Status — current occupancy/market status (For Sale, For Rent/Lease, Owner-Occupied, Tenant-Occupied, Vacant, Under Construction, Abandoned/Idle, Under Litigation).

Title Status — documentary status (Titled, Untitled, Tax-Declared Only, CLOA/Agrarian Title, Under Litigation, Ancestral Domain, Government/Public Land).

Title / Tax Declaration No. — OCT/TCT number or Tax Declaration number, as applicable.

Assessed Value (PHP) / Market Value (PHP) — for planning, taxation, and valuation reference.

Hazard Exposure — known exposure per hazard maps (Flood, Landslide, Fault Line, Storm Surge, Liquefaction, None Identified) — key input for sustainable and resilient development planning.

Utility Access — available utilities (Water, Electricity, Sewerage/Septic, Water+Electricity, Full Utilities, None).

Road Access — Yes / No / Partial (e.g. easement or right-of-way only).

Development Priority — planner's assessment (High, Medium, Low, Not Assessed) for sustainable development prioritization.

Last Updated — date the record was last verified or amended.

Data Source — office/survey that supplied the record (e.g. Assessor's Office, Field Survey, RPT records).

Remarks / Notes — any other relevant planning notes.

Maintenance tips

• Keep one row per parcel. If a parcel is subdivided or a title changes, add a new row rather than overwriting history where possible.

• Review and refresh Last Updated whenever a field changes (sale, new lease, change of status, etc.).

• Use the Dropdown Lists sheet to standardize new categories so filters and the Summary Dashboard stay accurate.
