2/20/2025 7:33:02It was nice to not get as many emails with placements as I had teachers already set on the Google Doc.New process - always a little bit of a learning curve, but I like it now.It was accurateNo need to notify me as long as you are notifying the mentor teacher AND notifying them if a student is no longer assigned to them.These must come directly from the university. Students should not reach out to me directly.Email to myself and the mentor teacherI think it worked great. Just know that GESD is always willing to help. If we don't have a teacher on the sheet and you have a student who needs a placement - just reach out to me and I will do my best to find the placement needed.

2/20/2025 9:31:45While it was different, I did appreciate doing most of the placement work up front by adding teaches to your spreadsheet. I can't say that we had any challenges.I think very accurately.I think with student teachers, it would be great to copy us on the email sent to the mentor teachers. For any other type of placement, I'm okay with referring back to the spreadsheet.We are flexible - we have some student who contact us directly and that's perfectly fine. Most of the time we are notified by email and that's great as well.Email notification if student teacher otherwise I'm okay with checking spreadsheet.I can't think of any. Thank you.

2/20/2025 12:08:46The form I sent out to mentors made it easier to see who was willing to host more than one student (thank you Cassandra for that idea)Keeping track when a new placement was made, felt as if there was no easy way to keep track because of how big the spreadsheet wasI believe well. I felt as though some of my mentors reached out saying that they didn't want to host anymore which was hardTag me, email me! Anything! :)Email me! This caused issues in communication to ASU students to make an appointment with HR to obtain a district badge and sign the IT agreement, as well as knowledge as to whether a mentor teacher was available for placement with another partnership. (This has been resolved by alerting by tagging in the comment on the spreadsheet).Student placements were aligned. However, it would be helpful if the specific semester hours were identified for the placement. Placements were initially finalized without district notification. Moving forward, perhaps it might be beneficial to have designated mentors for student teachers and designated mentors for interns.

It is difficult for them to think of everyone who might be able to be a mentor since they have so many staff members. The new change for schools not having their own sheet was difficult. 2/21/2025 14:09:10Recieving a direct notification when there was a change after a placement was entered in Sonja.I didnt' corrdinate placement becasue that was done on a site level. I believe thsi was done accurately. I think question effects more the school site corrdinator. It seems to work when request are handle at school site level not a district level becasue we have so many schools.Make sure the site is notifed (school site coordinator and assigned mentor). For me it helpful when on the placements sheet is the line goes from green to grey.It would be helpful for school sites to be aware of their placement. In the past they had their own sheets with a list of their ASU placements. This was helpful to keep track of all their placements since they receive requests from other colleges and universities.

2/21/2025 17:15:39It has been helpful to have ASU to assist with placing students from the pre-approved list of teachers.Tempe Union has already discuss the issue with the shared spreadsheet not being up-date timely and names of students being deleted rather than moved to a placement canceled portion of the spreadsheet. It is helpful to have a place to double check if a placement has been canceled. If it is deleted from the spreadsheet, we do not know if the placement was canceled or never placed on the spreadsheet.I would say our sheets matched 85% of the time. But, to find the 15% took a lot of time because each name and placement would need to be verified.I like to have the students name added to the shared spreadsheet. If we are just a few days out for the field experience starting it is also helpful to have any email to assure the clearance process is started immediately.We would prefer to be emailed the student's name, mentor teacher, and school, with a note stating the placement was pre-arranged with the student and teacher.We would like to be emailed and the placement information moved to a cancellation tab or at the end of all the placements and changed to a grey color or have a line struck through the information.The District has already discussed this point as well, a date column or space to note when a student has been notified to complete the District's application. This is the biggest obstacle we face in clearing students, assuring they complete our application. ASU and the District are notifying students several times. Our future teachers need to understand the importance of following directions.

2/24/2025 14:44:32I really appreciated having the initial meeting in preparation for your new process as well as having a contact person for any questions I might have. My contact person is Sarah Hernandez Byrne and was always available and helpful when I reached out. Your team communicated swiftly when there was a unique need, change, or placement cancellation.I was never informed when a placement was made. I understood that I would be informed when one of teacher's was to receive an email, this did not happen. Therefore I was unsure if a placement was finalized or not. I figured unless I heard otherwise I was going with it all worked out. This system does not work for me, I would rather receive a confirmation email that a placement has been finalized.I do not know if it was accurate or not because I did not receive a confirmation email.To make it easy, when your team is contacting our teacher, please cc me on the email. No additional email or work needed. : ) Our teachers and administrators know that I oversee student placements. I communicate with each teacher mentor that has been selected by their administrative team. I prefer that we use the same system as all requests. In the spreadsheet, the specific teacher request information can be added.I liked your system of placing them on a Canceled tab. A quick comment via the spreadsheet would work too.The Placement Requirement Internship drop down needs to be more specific. When I received questions from administrators regarding the number of internship hours , I was only able to give a range. Teachers want to know the exact number. Please add all the internship possibilities in the drop down or provide the information in another area in he spreadsheet. Thank you.

2/24/2025 15:21:22The automated nature of having students placed at our campusesThere was no involvement or notification to myself/HR before ASU reached out directly to a mentor teacher on our list, so we (and our administrators) didn't have the chance to revisit whether that teacher was still able to host an ASU student. Additionally, this meant that we missed the opportunity to partner a prospective ASU student with another teacher on our staff who was available. I'm not sure, because I was left out of the loop when the arrangements were made and am still trying to retroactively assess this.Ideally I would like to be notified ahead of time, but any notification at all would be nice -- email is best.Vista has established an effective internal system for placing students with mentor teachers, so I would prefer those requests are directed to me so that I can coordinate with/inform the appropriate parties.Cancellations can be communicated with me.I would love to be able to list the mentor teachers in order that indicates which of them should be contacted first for a placement and who on the list could be considered a backup if the primary teachers aren't available

2/24/2025 15:39:28Shared spreadsheet with the ability to insert commentsAsking us for mentor names up front. We were told that EVERY mentor given to ASU would be used, but there are many who were not. That prevented me from using them for other unis, and mentors were disappointed in not receiving a spring intern. Also, mentors preferred when the initial placement notification came from me, as I let them know whether or not the student was cleared to start, and principals and office managers were unaware ASU students were coming to their campus. As the gatekeepers of the school, they appreciated knowing who was coming and what their clearance status was. I took several calls from office managers in the last few weeks, asking if student XYZ was supposed to be at their campus.Good with regard to matching subject requested. But as for placement TYPE; I had four observations assigned to teachers who had specified student teacher only. They all reached out to me, requesting the observations be reassigned. I would like to be bcc'd on initial contact email between ASU & the mentor if that's possible. I still have no idea what any correspondence between ASU & our mentors looks like. 2/24/2025 15:42:09We placed many students with mentors.Having teachers being notified they have a match before I was notified. Not being able to talk with the student before they were placed like how we were able to in the past. Mostly accurateI would like to be notified before there is a match. Ideally, I would like to be notified when there is a request so that I can speak with the student before placing them with a teacher. We have campuses throughout the Phoenix valley, so I want to place them where they would be the best fit.I would like to be notified via email first.I would like to be notified through email.I prefer the process that took place last semester. The previous model of being notified that a student needs a placement, then I would find a mentor teacher, was a much more ideal process for our schools. 2/24/2025 15:46:04Having the requests all on one list is a big help so that I do not have to keep looking for emails. We had many, many, many requests from not only ASU, but the other universities; which is GREAT as we need qualified teachers. However, a few of the schools were overwhelmed with requests so a few students had to select another school to complete their student teaching. It was very accurate.In an email and on the shared list.The same as we do now; an email to me and I will reach out to the principal for a placement. An email to all parties involved and name removed from the spreadsheet.None at this time.

Well, there were some small issues, that were resolved fairly quickly. Via Email, I do not get notified when tagged on the sheet. Emailed to us. Emailed to us and marked it on the spreadsheet. 2/24/2025 16:19:51Providing the names of teachers that were willing to participate.Not receiving notification letting me know that a student had been placed with one of our teachers. I had to continuously look at the spreadsheet to see the placements, because there wasn't a notification letting me know someone had been placed. I do placement for a number of colleges and universities so it is important that I know who has already been given a student.We had some issue with a placement, an employee that abandoned a position was then placed back at our district and at the same school where he left his position.It would have been nice to receive an email or have to Google sheet notify me if a student had been placed with one of our teachers or if a student no longer needed that placement.We would like that to come to us first, making sure that that teacher is the best representation of the quality of work we want for the students placed with us.We would like an email letting us know of any cancellations so we can address this with the mentor teacher.Making sure that the sheet can notify us on any changes being made to it.

2/24/2025 17:17:25Honestly I didn't like any of it.Trying to keep track of who placed with ASU and who didn't since I had to provide names in advanced and then had to remember to add names if someone else signed up after the initial grouping I gave to ASU. I also didn't like that I had to list out each teacher for each category (ie, student teaching, interning, and observation meant I had to put the teacher in three different times)It was accurateVia email or a tag on the google sheet.Prefer to have them sent to me from the student/sponsorPrefer to have them sent to me from the sponsorGo back to the previous years where I could assign a teacher based off the needs instead of adding a teacher in advance.

2/24/2025 18:04:42Small rural districts that only have a few student placements need to do it on an as needed process. I am not going to put everyone into the system that might be eligible.Having three different people asking for information. Also, the above mentioned item of wanting people that are not even going to be used identified. I don't have time for that.I like the spreadsheet information so that everyone is on the same page. It helps significantly.I want a better way to show that they student and the mentor teacher have made contact. It needs to be somewhere on the spreadsheet.The process needs to happen sooner if possible. I had the latest request this semester than ever in previous years.Needs to be a box on the spreadsheet with a generic reason. ie: dropped the class for now, went with a different grade level at a different site, etc.All the ones listed above.

2/25/2025 10:00:40being able to provide a list of mentors ahead of time on the sheet you guys provided. The biggest challenge I faced was that mentor teachers were frustrated with delays in communication from the university or the student they were mentoring. Additionally, although rare (occurring only twice), some mentors received placement cancellation emails after the start date and before any prior communication about the placement.

In my district, mentors are informed of their placements as soon as I see a student assigned to them on the Excel sheet. In the confirmation email it would state that either the placement coordinator or the student will contact them. Would it be possible to set a deadline for students or placement coordinators to reach out to mentors that is prior to the start date? Whether that is within a week or two-week timeframe? While some delays were due to students waiting for IVP cards, mentors would still appreciate updates on that process so they can prepare for their mentee in advance. overall, it was such a wonderful process this semester compared to the previous one when I first took over placement. thank you for all you do!
I would estimate a 95% accuracy rate in tracking placements. However, I did notice that some placements were not recorded on my sheet because I missed them being added.

Would it be possible to include a comment on the placement indicating the date the student was assigned? that normally sends an email to me if it's indicated towards me as well as a yellow stamp will pop up which will help me not miss it.
there is an option to create a comment on the excel sheet and @ me. you can just update me there if emailing will take too much time. I find that has helped me with other universities. thank you for asking!I would like to be emailed by the placement coordinator requesting specifics, just like it was done this semester. From there I would contact the site. I would like to also mention that there was a time where a student was placed with a mentor but I was not advised so there was confusion on my records of keeping track. if those can always be communicated through me that would be greatly appreciated. I would like cancellation to be indicated on excel sheet as soon as possible (with specific color) with a comment, as well as a comment to advise me that the cancelation has been sent to the mentor teacher. I don't have recommendations. it was wonderful! I would just say adding comments from what was said above. I appreciate this partnership. have a wonderful day!

2/25/2025 10:09:42The speed and turnaround time for placements.Understanding who communicates with whom and when. I.e. when should the district be communicating with the student or when should the student start communicating with the mentor.For the most part, it went really well. There was some confusion about math and reading instruction incorporated in the intern placements. We did not have that information at the beginning.Being tagged on the spreadsheet works best.Sending the district the specific requests to follow-up on. A joint email to the placement coordinator and the district worked well.The only addition that we would add is whether or not the student is a current employee of the district.

2/26/2025 10:58:52We have 5 students placed in our district in Vail, which is more than in past years.Getting all the available teachers from principals and then entering them all into the spreadsheet since this was a new process.100%I would rather be emailed when the placements are made instead of having to continually check the spreadsheet. I would like the requests to come from the college/university directly to me, so that I can see that they are a good fit for Vail. I then reach out to the principal at a site who is able to accommodate the placement. After that principal has let me know if they can have the student at their site, I reach back out to the college/university approving the placement.I also like to be emailed when the placements are made instead of having to continually check the spreadsheet so I can communicate the to our HR department for their training purposes.I think it works. I will just need to know the dates ahead of time when the information is due so I can reach out to principals to accommodate staff turnover and transfers to different sites.

2/26/2025 11:14:36Knowing which placements qualified for each mentor teacher. Working through the process this year, it would be helpful to be added to the email to the mentor teacher if there was a placement change within a class (cancellation or switch of placements).

If a cancellation is made, if you could darken it out and not switch the student to another student instead, that would be great. This way we can keep track on our end of who is being placed with who on our main district spreadsheet (since we work with multiple).

If we could be tagged on the spreadsheet when information is added, that would be great so we know that we need to go back to the placement sheet. One of the practices that we do in DVUSD is to email the teacher, admin, and secretary when a placement is added, so that would be helpful to know that a placement was officially added so I can send a confirmation email to ensure that they are expecting the student teacher or intern.

There was also some confusion with people that were requesting either mentor teachers or students. A suggestion would be if there could be a section added at the bottom for specific requests, this way we would know who the student or mentee is hoping to be placed with.

Also, making sure to have the dates for the placement, the actual number of hours that need to be met (rather than just 45-75, etc) as we need to let the mentor teacher know, and a spot at the last column for district notes (I added one for 'Email Sent') because I needed to know when I sent my information to the school with all of the detailed information.

2/28/2025 11:46:07Personally I thought it was great to have all the teachers willing to assist on the spreadsheet already allowing for ASU to plug in students based on what they are looking for to find the best fit for them. The only challenge I would say would be I didn't get a notification right away when the placement was made. Accurate I would say an email notification or an alert of some sort even if its just a note on the sheet that pings my email. An email asking for the specific teacher for me to reach out to works fine. That way I can make sure the Principal and Teacher are all on the same page. just the note and the grey out worked. as long as the teacher is also informed if communication has been made to start. A drop down that allows us to show that a Mentor Teacher is open to Observation and Intern or Intern and Student teacher. Being able to show that the teachers are open to multiple Placement types and not just one.
