| Webinar - Personnel Setup for a New Budget Year
| Question | Answer | ||||||||||||||||||||||||
| Is there a way to upload all the employees at once? | Yes, employees, positions, etc. can all be uploaded. The employees and positions can be updated using the "Pay Data" file. https://martussolutions.freshdesk.com/support/solutions/folders/35000220906
| Can we do an upload of employee information? Or do we have to manually edit the list one at a time? | Yes, employees, positions, etc. can all be uploaded. The employees and positions can be updated using the "Pay Data" file. https://martussolutions.freshdesk.com/support/solutions/folders/35000220906
| Can employees be updated throughout the year to be prepared for the new budget season? | Yes! I recommend locking down the original scenario on the Scenarios screen. Then copy the original scenario and make updates in the new scenario. That is also done on the Scenarios screen.
| our mikes are muted, correct? | Yes - mics are muted.
| So, if load the personnel data from the HRIS you then manually add the OPen Positions? | Open positions can be loaded using the "Pay Data" file as well. There will be a tab for Employees and another tab for Positions. https://martussolutions.freshdesk.com/support/solutions/folders/35000220906
| If our premiums for insurance, such as health, get updated mid-fiscal year, how do we reflect that estimated increase? i.e. Half our year will have one rate while the other half of the year will have a different rate. | This will be done using a filter for that pay type on the Detail screen. Here's a tutorial video that walks throught that process: https://martussolutions.freshdesk.com/support/solutions/articles/35000198055-update-rates-on-pay-items-tutorial-video-
| Can you you budget based on days worked per month instead? | Yes. That is a new feature we released this year that I think Glen will review toward the end of the webinar. We call it "Custom Budget Spreads". Here's a link that explains it some more: https://martussolutions.freshdesk.com/support/solutions/articles/35000274339-custom-budget-spreads
| If you upload personnel data, I understood you should delete all personnel data so you can upload into a clean environment. Is that true? | Personnel data cannot be deleted if it is used in a scenario (in any year). Using this Learing Path, we outline the steps to create a new scenario. https://martussolutions.freshdesk.com/support/solutions/articles/35000164694-new-year-for-personnel-learning-path
| Can you make % increases to base pay across the board for all employees? | Yes. Here are some Vidoes and Tutorials for personnel budgeting. The last one in this list - Update Rates on Pay Items - addresses how to use the Detail screen to update items across the board for all months, or just certain months. https://martussolutions.freshdesk.com/support/solutions/folders/35000220904
| Will this Q&A be available as part of the recording? | Yes
| If you only have one Allocation per Position, it's either it allocates 1Pay Type or All Pay Types right? You can't cherry pick pay types to allocate? That is my experience and thus I have WAY more allocations | Hi Daniel. Yes, that is correct. pay typese can't currently be "cherry picked" when setting up allocations. We are discussing this particular situation with our product team to see if that can be something to support in the future.
| Is it fair to think of the detail tab as overrides to the pay item tab? | The Detail tab is an "actionable" screen to apply overrides/updates. It's also a good screen to review the details by pay item and applying different dimension filters.
| Will Martus be able to spread salaries on an accrual basis? | You can set the frequency on the salary pay type(s) to monthly or semi-month to "smooth out" the monthly amounts refecting more of an accrual basis vs cash basis. We recently also released a new feature to apply "Custom Spreads" (ex. days in the month; working days in the wonth), to fine tune that accrual. I think Glen will touch on this toward the end of this webinar. Here's more info on this new feature: https://martussolutions.freshdesk.com/support/solutions/articles/35000274339-custom-budget-spreads
| What if we have a handful of contracted employees that have a different merit cycle thane everyone else? Can we set their merit date separtely? | You may consider using the "Anniversary" date set on the Employee for this. This could work well if you're not using the Anniversary date as a basis for other pay type calculations that they would also need. The frequency on teh Pay Type would be set to "Anniversary".
| Will this training be sent out? | Yes. It will be sent tomorrow or Thursday at the latest.
| Glen created Intacct dashboards and product P&L reports for me 6 years ago. Great guy! :-) | Yes! Very knowledgeable, experienced, and all ground great guy!
| Can we dictate specfic days of the week for the working days? | It will be done monthly. Total working days in a month. https://martussolutions.freshdesk.com/support/solutions/articles/35000274339-custom-budget-spreads
| Thanks so much, Glenn and Joseph. | You are wecome. Thanks for attending.
| Does the custom spread take into account the 5% increase he gave starting in July? | Yes, it does include the mid year adjustment. It reallocated those amounts to the appropriate months.
| Can the Martus budget be imported into NXT through the API? Also we set up a 2026 budget in Martus and we don't see it in the financials in Martus? Why is this happening? | It cannot be done through the API for NXT. It needs to be exported to Excel via Planner Setup, and then NXT has a widget to import that they use. For the financials in Martus, you'll need to set it as the Dashboard Default in Planner Setup.
| Thanks | You are wecome. Thanks for attending.
| Do admin have the ability to add in a third "coverage 3" tier basis that is used on the pay types for our health, and dental/vision? I ask because we have an employee who is choosing a different coverage type for dental and vision and we have dental and vision as a combined "coverage 2" as a pay type | Not at this time. You will need to use Coverage 1 or 2 and then overwrite the amount for that position instead of using the default.
| will we get alerts for the upcoming webinars | We send out invites to Martus Admins 1 to 2 weeks prior to each webinar. We also add a notification on the Welcome page. Lastly, there is an Upcoming Webinars page in the Knowledge base. Thanks for attending.
| Thank you!!! | You are wecome. Thanks for attending.
| Thanks for your response! Great training. | Our pleasure! Thank you for attending!
| Marty is one of the most helpful on demand help chat options I have encountered with most programs. | Great! Thank you for the feedback. If anyone finds something that Marty doesn't answer well, please let us know! We're always working to make Marty smarter.
| What do you do since each year we have different limits for Social Security? Do we create a new pay type each year? | You should not create a new pay type each year. You just need to update the existing pay type. The update to the pay type will not change prior year scenarios unless you were to go into a prior year and choose that pay type on the Detail screen, and click "Recalculate/Return to Original Rate". You would not do this, though in prior year scnearios, and therefore they will not be changed.
| If your budget is not a calendar year what do you enter for your fica limit? | You would use the same limit. There's a box that you will check right under the Limit field that says "Calendar Limit."
| We budget for 2026 in the fall of 2025. Therefore, the paytype is being used for both 2025 and 2026 which has different limits | It will not update existing scenarios. The update to the pay type will not change prior or existing year scenarios unless you were to go into a prior year and choose that pay type on the Detail screen, and click "Recalculate/Return to Original Rate". You would not do this, though in prior year scnearios, and therefore they will not be changed.
| FYI, We push our personnel budgeting into our forecast during the year. | You can wait to update the amount until the forecast is finished before updating that field.
| What happens if you don't delete an existing position that isn't budgeted for the next year? | In the new year's scenario, you can delete the position from that scenario. Each scenario is independent of each other.
| Hi there, are start and end date only required for those that have different dates within your fiscal/financial year, and for pool employees? For other employees it is not required (who will be employed for the full financial year)? | Correct. You would only use the Start and End Date fields on the position if they should only be budgeted for certain months in the year you're working on. For positions that need to be budgeted all 12 months, you will leave these fields blank.
| So we don't need to recalculate each position that we created to make sure all of our pay type recalc for the current year. In the past, we use recalc to make sure all of the calculations have been refreshed with new pay types that we've chosen. Tks. | I think it would be best to submit a support ticket to our team in light of the situation between your forecast and next year's budget. That way they can review your setup and process and provide the best answer for your use-case.
| Does Martus have capacity to have multiple allocations of staff across multiple dimension combinations? | Yes. A position can be allocated to any dimension or combination of dimensions.
