Can you confirm which specific line you are currently utilizing (e.g., Q Pro Elite, Q Pro, Z Pro, or C Series)? We want to ensure we specify the exact hardware that matches your current standards.Newline Q Pro but all newline devices can be managed from the GLBTH newline portal.Still confirming
3
(Classroom AV) is a display mount provided by district? Type/mfg of mountWe need a mounts included in the bidWe are actively working on getting these answers out as quickly as possible. All RFI's will be responded to.
4
(Classroom AV/Clocks) Can you advise on what deinstallation is needed (if any) for these bid sections?Existing clock solution will be deinstalled, I do not believe there is any deinstallation in either project.
5
(Classroom AV/clocks) Are we able to use district dumpsters for waste/trash?RFI response: Contractor is responsible for all trash removal from building, hauling to school’s onsite dumpster, breaking down cardboard to single layers, and efficient placement within school’s provided dumpster. If dumpster swap cycle doesn’t allow for all trash to fit at time of disposing, technology contractor will be responsible removal from site, or placing all trash in location agreed upon by owner and CM
6
If needed, is a district lift available?Yes
7
(Classroom AV) can you provide additional insight on what cabling connections are needed (if any) for Displays? No cabling necessary the devices are expected to access the WiFi network. The only cabling would be for audio.
8
-Can you confirm prebid meeting will take place onsite at Riverside?Yes, 710 E. Main Street Manchester Michigan 48158
9
-For the Gym Audio system- RFP states needs to be able to project device (laptop, chromebook) audio from the center of the room wirelessly but refences USB-C connection. Can you advise further on whether this truly needs to be wireless or if a USB-C connection would workSorry the intention was that a solution be provided that allows for a laptop or device project sound from inside of the room without needing a cable running across the room. We have events and assemblies that we have to drag a portable sound system into the room which is cumbersome and requires lengthy extension cords we would like to move away from.
10
I noticed that the Classroom Audio is asking for four speakers. The AVer AmpliWave system only comes with two. I believe that was what was used by the winning bidder last year. Will this be okay to use? That was what was awarded but they provided 4 speakers in total, it was an issue that I held them to after only 2 showed up in each box. They shipped out 2 additional and wired them all in together.

Aver would be an acceptable solution as long as the solution includes 4 speakers.
11
Will you accept bids for any brand Interactive Flat Panel that meets the minimum specifications?Yes. There is a strong preference for NewLine for a single pane of glass management; we will not reject proposals exclusively on the brand of panel selected.
12
RFP page 1 states that the work will be broken into multiple buckets and proposals may include any combination of them. Are vendors permitted to bid on individual scopes (e.g., Interactive Displays only)? Also, does the School District prefer single award?Vendors are permitted to bid on individual scopes.

The School District reserves the right, in its sole and absolute discretion (for this provision and all other provisions contained in this RFP), to accept or reject, in whole or in part, any or all proposals with or without cause. The School District further reserves the right to waive any irregularity or informality in the RFP process or any proposal, and the right to award the contract to other than the lowest bidder.
13
RFP page 1 states that the gym and cafeteria audio solutions must be able to project laptop or Chromebook audio wirelessly from the center of the room. Does this requirement imply that vendors should include a wireless presentation or audio receiver as part of the proposed system?Sorry the intention was that a solution be provided that allows for a laptop or device project sound from inside of the room without needing a cable running across the room. We have events and assemblies that we have to drag a portable sound system into the room which is cumbersome and requires lengthy extension cords we would like to move away from.

Yes the goal is to include a way for a device to wirelessly send sound from within the room to the amplifier out to the speakers rather than need a cord from run along the floor.
14
Although RFP page 1 references gym and cafeteria audio solutions, Attachment A does not indicate audio locations for these spaces and Section 5 does not specify speaker quantities. Can the District confirm the required speaker configuration and quantities for the gymnasium and cafeteria? We are accepting recommendations for a space this large. I can say that at this time the cafeteria has two large speakers at the front of the room that are not used but at one time were loud enough for the space while the gym has 21 small speakers distributed in the drop ceiling. The intention is that we can host assemblies or meetings without needing to move a full sound system into the space.
15
Section 5 (Classroom Video System) does not specify a required Android version for interactive displays. Will Android 14 be acceptable?Yes as long as they are EDLA-certified
16
The requirements specify 802.11ac Wi-Fi and Gigabit Ethernet. Will displays that support newer wireless standards (e.g., Wi-Fi 6E) and enhanced wired networking be considered acceptable and value-added?Yes, these are minimum standards.
17
Section 5 (Classroom Video System) requires compatible streaming software that works across subnets for screen sharing. Will a software that supports up to 30 simultaneous wireless device connections meet the District’s requirement?Potentially, the only risk would be the long term costs of a subscription service. Legacy costs will be a consideration as this is being paid through bond funds. If there is a subscription, we may ask if it is possible to secure a longer agreement up front to avoid subscription costs in the future.
18
Section 5 (Classroom DECT Audio System) specifies two pendant microphones with “necessary charging accessories”. Can the District clarify what charging accessories are required (e.g., charging dock, spare batteries)? In this case, the accessories necessary to charge the provided microphones. (Charging Cables, Batteries). Nothing spare just the necessary components to utilize the system. If it comes with a charging stand great, if it lays on the desk and charges with a usb cable that's acceptable.
19
Section 5 (Speaker Configuration) does not specify the quantity of pendant speakers for the media center. Should vendors assume four pendant speakers for the media center?Yes. 4 pendent and/or wall mounted speakers.
20
Section 5 (Speaker Configuration) states “Include a cage for cable management”. Does this requirement apply to all audio installation locations, including the 24 classrooms, gymnasium, and cafeteria?Yes, the goal is that all amplification will be hidden by the display as a 5000 series raceway will be run behind every display board.

For the cafeteria using the existing rack on the stage or proposing a cage
For the gym, a new panel or cage will be needed.
Cafeteria existing rack
21
The Aver Ampliwave Saa5 system mentioned in the RFP includes only 2 speakers, and its amplifier has only 1 Line out. In that case, will the School District accept 2 speakers per classroom? That was what was awarded but they provided 4 speakers in total, it was an issue that I held them to after only 2 showed up in each box. They shipped out 2 additional and wired them all in together.

Aver would be an acceptable solution as long as the solution includes 4 speakers.
22
Gymnasium (Room A135) Ceiling Height (AFF): Could you please confirm the specific Ceiling Height (Above Finished Floor) for the Gym? This data is critical for calculating speaker "throw" for intelligible audio coverage and determining if specialized high-reach lift rentals are required.Approximately 25/26' from the floor. I was not able to get an exact above the ceiling but it looks like about another 4-5 feet. To the existing grid is 21'4" approx
23
Gymnasium (Room A135) Ceiling Composition: What is the structural material of the Gym ceiling (e.g., exposed metal deck, concrete, truss)? We need to ensure the correct rigging hardware is specified for safety compliance.Exposed Metal Deck and Truss similar to the C104 ceiling
24
Gymnasium (Room A135) Center Room Power/Conduit: The RFP requests a solution to project device audio wirelessly from the "center of the room". Does a floor box or power source currently exist in the center of the gym floor to power a wireless transmitter, or should our design assume a fully battery-operated solution for the mobile devices? No floor box, assume USB, Bluetooth, WiFi, or Battery powered.C104 CeilingC107 Ceiling
25
Cafeteria (Room C107) & Platform (Room C104) Please provide the ceiling height (AFF) for both the main Cafeteria seating area (C107) and the Stage Platform (C104).Ceiling Height at the front of the room by the platform is 18'8" approx and the back of the room by the cafeteria is 12'8" approx both to ceiling grid. I am not sure how much is above grid.
26
Cafeteria (Room C107) & Platform (Room C104) Please confirm the ceiling type in these spaces (e.g., drop tile acoustic grid, drywall/hard lid, or open structure).C107 - Sloped drop ceiling, existing speakers are wall mounted. (Image to right)
C104 - See image to the right.
27
Cafeteria (Room C107) & Platform (Room C104) If C107 is a drop ceiling, is the space above the grid considered a plenum air return space requiring plenum-rated cabling? The space should include Plenum-Rated cabling.
28
Cafeteria (Room C107) & Platform (Room C104) For the "speakers near the stage", are there existing structural beams or lighting pipes above the Platform (C104) available for mounting, or will new hard-points need to be established? The existing speakers are outside of the platform mounted to the wall in the C107 space.
Cafeteria existing speakers
29
Lift Access: Regarding the Gym and Cafeteria, are the entryways sufficient (standard double-doors without center mullions) to accommodate a standard scissor lift? (We noted the potential availability of a district lift in the Q&A but want to confirm access requirements should we need to deploy specific installation equipment).Yes, and the district can provide a lift.
30
Based on the device counts listed in the RFP for DECT audio enhancement and 75" fixed displays, our quantities are not aligning with the drawings. Can you please confirm whether classrooms B120, B125, and B127 do or do not require either audio enhancement and/or a 75" display?B119, B120, B126, B127 do not have any audio or video setup.

When reviewing the drawings I double counted A125 and A127. Please keep the 2 spares included remaining a total count of 24 for 2 spare.

I did a similar miscount for video on A125 and the 65" for B130 but having a spare onsite will be good for emergencies.
31
For the gym and cafeteria audio systems, are any overflow or audio tie-in capabilities desired between spaces? No, room contained
32
For the gym audio system, should audio coverage be provided for both the bleachers and the court, or one area only?Full Gym coverage.
33
Should sales tax be included within the Base Bid, or may it be listed as a separate Add Alternate? We are tax exempt
34
Is a bid bond and/or performance/payment bond required for either bid?Bid bond isn’t necessarily required, however, projects over $50,000 are required to have a Performance and Payment Bond.
35
If required, is an electronic (PDF) copy of the bid bond acceptable for submission, or is an original hardcopy required?Confirming with Business Office
36
Should the cost associate with the bid bond be included in the Base Bid, or listed as a separate line item?included in base bid
37
For gym audio - it says "Two wireless mics, including speakers” - do the speakers need to be wireless as well?No
38
Are there any Interactive Displays and Classroom Audio Systems currently in other school locations.
• If so, what brand, models, of amplifiers, speakers and microphones?
AVer AmpliWave SAA5 Classroom Audio System at the elementary building
NewLine Q Pro Series at the elementary building
39
Do the displays on the carts need a wireless audio system of some sort? Will it need slide lock accessory trays attached to the mount? No, the built in display speakers should be sufficient for the purposes of those devices
40
Is appropriate power installed at Display location? Is the receptacle behind the display or below?
• In order to hide cabling, there should be receptacles behind the display for the display and amplifier.
Yes 5000 series wiremold for power and low voltage will be installed behind/near the displays
41
Do they need 10 spare microphones in total, 10 spare per classroom, or 10 spare per "area"?
• Is this 10 full sets (totaling 20 mics, 10 teacher and 10 student), OR just 10 total (5 teacher, 5 student) or a different
configuration?
Just 10 total spare teacher pendant microphones to replace should they get damaged, broken, dropped etc.
42
Do they have a specific number of speakers they would like near the stage in the cafeteria?
• This isn’t explicitly called out in the RFP or the Prints
The gym and cafeteria curently have speakers at the front (image above), a similar configuration would be sufficient.
43
If there are other wireless sharing devices at other locations (i.e. the Cafeteria requirements at Riverside), what brand and
model do you currently utilize?
We have utilized a lightspeed system in the past to connect a USB-C cable between the pendant and the laptop in a classroom space.
44
Do they want any specific kind of mounts for the classroom smart boards
• With the mount – do you require any type of vertical movement? Such as the Chief Fusion mount, or is a static
mount with no major adjustments okay?
The board itself does not need to be adjustable, only goal is to have the audio amp be placed behind for clean cable management.
45
Do you have a reflected Ceiling Plan for the school?https://drive.google.com/file/d/1PZaywMLLd7cahY809R5hJdhKooHpOnnX/view?usp=sharing
46
Have they installed new PA systems in other schools in the district?
• If so, what current brand/model of speakers, call buttons, microphones, etc.
We have Algo clocks and a carehawk system at the elementary school
We have a Rauland Telecenter U at Riverside and the High School
47
Do you have the drawings for the Gym, and Cafeteria. In order to bid these, we require the drawings for heat maps to verify audio coverage. https://drive.google.com/file/d/1kjDniZuza9KjGv02ZUe6lH0uLLL_5LaK/view?usp=sharing
48
Looking at the new bid that is out (attached), I assume you’re only looking at Newline for IFPs, right? While a single pane of glass is nice for management, it is not the end all be all or we would never try new things.
