WEDDING RECEPTION COMPARISON TOOL
Take if from someone who has reviewed over 100 wedding reception venue websites - it is hard work! To make wedding planning stress-free for you and your partner, we developed this FREE wedding reception comparison tool. Each row represents a question you should ask a venue (depending on your requirements).
The best way to use this tool is to have it open on a computer as you call up each individual reception venue. Work through each row and populate the sheet as necessary. For your convenience, we have provided a general cost estimate although the resulting figure should be used as a guide only. Once you have all the appropriate cells filled, you can then make an informed decision on which wedding reception venue suits you best.
|Example||Venue #1||Venue #2||Venue #3||Venue #4||Venue #5|
Made Up Venue
Approx. No. Guests
How many guests are you expecting to come to your wedding reception? We'll use this to project a cost estimate for you.
How many seated guests can this reception venue host?
Most reception venues have a minimum spend either expressed in minimum guests required (e.g., 80 pax @ $105pp) or food and beverage spend.
Is there a room hire fee?
Some venues include their room hire fee as part of their inclusive packages while others charge it as a separate line item. We use this to help give you a cost estimate. Enter '0' if there is no room hire fee.
Is it all-inclusive?
Venue hire, wait staff, food and beverage, tables, chairs, dance floor, cake cutting knife, toasting flutes, dinnerware, crockery etc. Typically all-inclusive venues do not allow external caterers and BYO. If answer is 'Yes' - make a list of the exact inclusions (crockery, linen, cutlery, tables, decor).
Most venues will specify that candles are permitted as long as somethign is placed directly underneath to catch wax run-off. Some venues may outright refuse candles. If you intend to style your reception venue, make sure you ask this question.
No naked flames.
Are speakers and microphone(s) included?
Music and speeches will require wireless microphones and in-house sound system. If the answer is 'No' - you will need to source your own.
Bar cut-off time
What time will alcohol be served till?
Some councils do not permit amplified music so make sure you ask this question before booking.
Music off by 12.00AM
Cost per head
For receptions that are all-inclusive (i.e., food and beverage, room hire, tables, chairs, linen, crockery, dinnerware). This may not apply for barebone space hire venues.
Parking for guests
If none are available onsite, ask where the nearest car park is as some venues have a relationship with car parks to provide a special rate for shared patrons
Limited street parking
Can you provide (and serve) your own alcohol beverages? Many venues are fully licenses meaning BYO is not an option.
Does the venue allow external caterers? Fully-licenses premises tend to provide their own catering and beverage packages.
|Can external caterers use the kitchen facilities?||N/A-|
Vendor Bump In Time
Some styling elements may require an entire day of installation so it is important to know what time the venue permits vendors to avoid disappointment. For example, many metropolitan venues will have a strick bump-in time of 2-hours which may either limit the styling decor or increase your styling expense due to pay for a larger crew.
From 9.30AM day of booking
Do you get the entire venue/space to yourself or will it be shared with others unless you meet a certain requirement?
Based on # of guests and cost per head plus 10% service fee added to the total bill (as is common practice)
