After creating an organization email address, add the new staff member to all appropriate lists and calendars to ensure they don’t miss out on any communications

Add them to any databases or cloud-based systems that they will need to do their work

Set up benefits for health care and anything else your organization offers

Consider what equipment they need, like a computer, in advance of their arrival

Add them to your human resources information system

Depending on the role, consider if they will need a “corporate” credit card

Prepare any trainings that might be needed to walk a new employee through processes and/or platforms, and any policies new staff must sign off on when starting

Send the new employee an email that gives them all of the information they’ll need to get set up and for their first day
- Start date and what time they should arrive, and any instructions about accessing the space if their first day will be in person
- What documentation to bring to complete paperwork, and if original copies are required
- Equipment preference, if any, and if any special equipment is needed (e.g. special keyboard)
- If they have any dietary requirements
- Pronouns, if they haven’t already come up
