Retention Bonus Self-Audit Calculator Instructions

Do not complete this on Google Docs. The calculator must be completed on Excel. In the top ribbon, hit File > Download a copy > Microsoft Excel. Save using 'LastName.Employee#.xlsx' naming convention (e.g. Pilot.12345.xlsx). Use worksheet 'RB Dashboard' on tab 2 to enter demographics information. Use date immediately following CA line check for upgrade.

Move on to monthly data entry- see instructions below.

Please email RetentionBonus@apa2118.org upon submission of the form if you would like to contest your bonus amount. Attach xlsx file, use subject line 'Dispute- Your Name, Your Employee Number.' Provide any relevant comments, details, or evidence beyond what was entered into the calculator in the body of the email. Ensure you recieve a “Receipt of Retention Bonus Dispute” response within 5 business days. Please remember all disputes must be filed with the company within 30 days from Retention Bonus amount communication. Please do not delay. No JIRA or Grievance necessary.

Warning: have you had a Leave of Absence greater than 90 days anytime during your employment (including prior to the RB) for Medical or Personal reasons (non-Military)? These DO NOT affect your eligibility for the bonus, but may "freeze" or otherwise affect the pay rate used to determine your retention bonus amount each month.

If yes, please continue completing this form, and email RetentionBonus@apa2118.org to discuss adjustments needed to account for longevity freezes. Adjustments to longevity should be done prior to any dispute.

For each month, enter the Tableau hour values for Guarantee, ABG, PREM, and JA as shown above. Do not use any other fields from Tableau reports.

Only enter values for months where you have data. The calculator will apply the minimum 85 PCH rule for each month that contains submitted data.

2023-2024 Tableau reports may be easily accessed in Tableau via Explore: Crew: Crew Pay: CPI Crew Pay Report- Historical

2025-2026 Tableau reports may be accessed in Tableau via Explore: Crew: Crew Pay: CPI Crew Pay Report.
Please be careful the data is pulling from the appropriate date range only. Enter your Tableau values for each year/month. Leave a field blank if you do not have data for that value. For January, February, and March periods, pay close attention to the special date ranges listed in the form. These periods do not align like standard calendar months.

Use: Jan 1-30 • Jan 31-March 1st • March 2nd-March 31st

• Date Selection: Custom Date
• Custom Start Date: First Day of Bid Month
• Custom End Date: Last Day of Bid Month

Do not use data from anywhere else in the pay report besides these highlighted fields. The company and the union agree these are the proper fields which comprise PCH.

Enter the monthly RB payout amounts shown by the company for each month listed. These values will be compared against the union-calculated RB estimate to identify any potential discrepancy on a month-by-month basis. Leave a field blank if the company does not show an RB payout for that month.

If you have no concerns about the company's monthly earned PCH calculation, and only wish to verify the methodology of the other factors in the retention bonus such as longevity and position (FO/CA).you may simply input the company's "monthly earned PCH calculation" in the Guarantee column and leave all other columns for Tableau entry blank.

This option may be used by a pilot who has already verified their monthly PCH calculation was correctly totaled.

NOTE: any disputes filed using this "express" calculation will be limited to non-PCH matters. You must review each month's Tableau report and include these in the calculator to raise a dispute involving PCH calculations.
