Please make a copy of this Excel sheet and complete the fields with expenses corresponding to the proposed project activities. Please budget in USD ($). Use the notes field to provide details on the identified expense - list by the institution incurring the costs (i.e., if an HMS faculty member proposes to have flight costs covered, the estimated ticket cost would be listed under "HMS"). Please refer to the RFA for guidance on permissible expenses. If your project is funded all funds will be managed by the Paul Farmer Collaborative, and all expenses will be executed based on the approved budget. Expenses and processes for reimbursement will be discussed with the research team upon selection. This budget can be adjusted within the maximum allowable award amount after the project's approval.

Allowable Expenses

For both grants, allowable expenses include person-time/level-of-effort, data collection and other direct research costs, travel (i.e., flights and accommodation and per diem). Proposals with an HMS budget component are required to have one HMS-based investigator at >=1% FTE included in the budget. FTE for existing UGHE faculty cannot be included. All air travel must be economy fare travel on regularly scheduled commercial flights; recommended budgeted amount is $3000/flight from Boston to Kigali. We recommend budgeting accomodation at UGHE at $60/night and in Kigali at between $100-$170/night. Research assistance at UGHE should be budgeted at $1739/month for 1 full-time equivalent (FTE). Deviations from these recommended costs should be explained in the notes field. Funding requests can only be made for direct expenses incurred by Harvard University, UGHE, or Harvard-affiliated institutions. No other subcontracts can be requested.

Indirect Costs

Indirect costs are not allowable for the planning grants. Indirect costs are not allowed for Harvard University or UGHE for small research grants. For small research grants sought by Principal Investigators (PIs) at Harvard-affiliated hospitals, indirect costs, representing up to 20% of total direct costs, may be included in the application budget.
