This matrix and FAQ were developed by a subgroup of the joint Rosemont / Partnership Communications and Advocacy Working Group. The group conducted interviews with library practitioners at 13 institutions in the US and Canada to learn about their local practices, successes, and lessons learned related to communicating with local stakeholders about weeding projects generally and in the context of participation in shared print programs. The matrix and FAQ were developed in response to needs in the community.

Talking about weeding with stakeholders can be difficult but doesn’t have to be. Avoiding the topic does not make it easier. Emphasizing shared print and access connections can make it easier. Communication is essential, but may look different for different libraries.

Major Recommendations

Practice routine weeding (lifecycle of collections). Librarians curate collections both by selecting materials to purchase and by removing materials that are no longer useful or relevant in low demand. Communicate early and often with stakeholder communities to socialize and normalize weeding as healthy collection maintenance. Emphasize the library's core value of continued access (via ILL) in all communication. Contribute weeded materials to shared print initiatives wherever possible.

Audience and Use

The intended audience is librarians, library administrators, and project coordinators that are developing projects to weed their collections (not just sending them to remote storage). These tools assume that the library is engaging in a large weeding project that will be highly visible to users. Libraries that practice routine/ongoing weeding will want to adapt these tools to meet local needs and circumstances. All items presented in these tools are suggestions. Libraries and project managers may choose to adopt some but not others, depending on local needs, preferences, or policies.
