| BEFORE YOU BEGIN | |||||||||||||||||||||||||
| This workbook should provide a base for understanding and mapping of fields across objects including Companies, Contacts, Properties, and Spaces. Importing records to additional objects will require you to start with these and follow accordingly. The Data Import Wizard is managed by Salesforce, which means they have many supporting channels for this tool. You can view a video series here: https://salesforce.vidyard.com/watch/ARIjWm2qrDkJVJxEhReFug Each sheet, named by object, will need to be spearated into their own respective .csv file prior to import. The tool used within Rethink/Salesforce is the Data Import Wizard. This is accessible by the system administrator and can be made available to end users, based on the profile assigned to the user.

| Column Headers | Notes | ||||||||||||||||||||||||
| Existing Fields | These are fields that already exist in Rethink where you are able to import data out of the box. Any fields outside of the ones listed will need to be added to Rethink Prior to importing data
| Preset Values: | Some Fields have a list of available values. These out of the box values available in Rethink are listed in the template. If you have a value you'd like to use that is not included in the existing list, you will need to add the value to Rethink prior to import
| *Required Field | You MUST have a value in this column in order to successfully import data into Rethink.
| Add To Layout | Field needs to be added to page layout to view the data. This can be done before or after the data import.

| INSTRUCTIONS | |||||||||||||||||||||||||
| Instructions for preparing and uploading your data here: https://rethink.help.buildout.com/en/articles/7920097-preparing-your-data-for-import
| ||||||||||||||||||||||||||
| 1) Clean up & prepare your data: https://docs.google.com/presentation/d/1-2n7CNq82oMfmmbIukgMgyVD0x1pLaB9_DktoEBnayw/edit#slide=id.gb97a201d11_0_40 Once your spreadsheet is finalized, save each worksheet as separate CSV files (save in .CSV format)
| 2) It is important that you become familiar with the field data types and values which are already included on the page layouts prior to attempting an import. Doing so will help prepare you to consider how you might want to map data from your source to the destination. If you have data that does not fit into the list of existing Fields available, then you will need to add new/remove fields & update pre-defined values from dropdown fields when comparing Rethink layouts with your spreadsheet - Editing Page Layouts: https://rethink.help.buildout.com/en/articles/7920133-updating-record-page-layouts - Updating picklist values: https://rethink.help.buildout.com/en/articles/7920176-updating-picklist-values - Creating custom fields: https://rethink.help.buildout.com/en/articles/7920169-creating-custom-fields
| 3) Start with Companies and Contacts data
| 4) Begin by copying and pasting your company and contact data into the template in tab: "Companies and Contacts" Note: You do not need to use all the columns listed in the template provided. If you do not want to upload data for that column, then delete those columns.
| 5) Now you are ready for import - We highly recommend completing a test import of 2-3 records (rows) and confirmed the data was input into Rethink properly BEFORE doing the entire import - How to import data into Rethink using Data Import Wizard - Work in progress [video tutorial on import process]
| 6) You will receive and automated email once the import is complete. This email will contain helpful attachments outlining any errors that may have occurred in the upload and what caused them
| 7) Repeat Steps 1-6 for (in order): Properties, then Spaces/Units, then Deal Pipeline, and finally Comps Note: You need to upload property data in groups of the same record type. For example: you need to upload all office properties first, then do a second upload for industrial, etc.
| ||||||||||||||||||||||||||
| It is crucial that you understand how data relates between objects. For example, the owner of a property on a property record is a lookup field to a Company and/or Contact record. Therefore, you'll want to import your Companies and Contacts first. Once imported, include the full name (first name last name) in the respective cell of a property import to create this automation upon import. Example below:

| TIPS FOR CONTACT & COMPANIES AND PROPERTIES IMPORT
| - Field names in Rethink should match the column headers in your import files - this will save you time from having to manually map fields - A contact must be associated with a company - The only requirement to save a company record is the name - The only requirements to save a contact are a related company and last name - If you do not have a company name, consider using a generic, blanket company like 'My Companies' or 'Unknown Company' - Space names: use property name + suite number or ID, which helps with searchability - You can only import same record types at a time (Office, Retail, etc) - You will relate records by matching them, part of the step when defining what you want to do by adding or updating records (image below)
