LeadSecretariatLynn? FrancoiseLynn Yarmey is the new Secretariat member starting with RDA/US in May. She is to be the RDA/US Director of Community Development, so this seems a good fit.
Attention should be dedicated to the benefits of recruiting this recruitment.
Rebecca highlights that in the US - funding ambassadors to participate to conferences hasn't brought the expected results. It is a practice that doesn't scale very well
5
Current StatusInformally done this past year through direct outreach to active members representing multiple disciplines and levels of expertise; intent is to add more structure to program in coming months. Hilary and Yolanda have led two Communications training sessions at P 6 and P7, but we have not really brought people together as ambassadors. Francoise plans a gathering of disciplinary ambassadors at P9. Will they address RK's concerns? Based on feedback received, we realized there was a need for more concise and frequent communications to membership. To address this, we communicate information through a combination of integrated channels, ensuring information is reiterated and reaches multiple audiences. A global monthly newsletter is one of those channels. Most recently, RDA/US is now implementing a regional e-mail alert containing content contributed from members.

Next steps/Sub tasksFollow-up with attendees and assess success of past training efforts.Hilary/Yolanda

Update 2/2017The Cambridge ladies are leading A Data Champion Communities BOF at P9Rebecca led a breakout session at the 2016 RDA/US Leadership meeting that touched on Ambassador themes (what is the RDA value-add for volunteers? What are our community development goals? What is our message for the different communities connected through volunteers generally and Ambassadors specifically?). These discussions highlighted the groundwork needed to support the Ambassadors program. In parallel, Francoise and others have been discussing the Ambassadors program in the context of the Council subcommittee.

Comm-2Develop and offer appropriate support material and training for both RDA domain experts and RDA ambassadors. Regularly revisit the communications material and update and supplement with fresh information.med-hi
materials need to be well done. A course set should be made available to be tailored to specific communities to be engaged.
A consultation/survey should be launched to collect feedback from the community on what they think the course set should include

Comm-3Send updates from Council, TAB, OAB and Secretariat to the membership quarterly to ensure the membership receives up-to-date information and feels informed and invested in the various actions, decisions and outputs of the groups. med-hi
Doubts have been raised on the feasibility of this
As foreseen in the new communication plan, Rebecca and Michael have expressed concern on a potential information overload unless adequately structured

Comm-4Develop clear statements of value and compelling targeted messaging to existing and new communities, stakeholders and the membership, and share these messages broadly. Target messaging to the institutions who have a critical mass of individual members actively working on RDA products (align incentives that reward individual volunteer activity.)Feedback on the priority was diverse (1 low ; 1 medium; 1 high)Engage-2
The item need to be clarified in for the evaluation
Consensus that it should be of high importance if the audiences are well identified and the outputs presented correctly
DataOne has done a similar exercise, Elevator speeches regarding sustainability

Current StatusDifferent regions have differnt materials related to this, but there is not a clear compilation at the regional let alone global level.
27
Next steps/Sub tasksWork with regional leaders to assess what currently exists.?

Determine what is missing or how things can be improved and make recommendations to regions and Secretariat.?

Update 2/2017Some of this is happening throught the industrial engagement work. We need to do more to document the value that members aree getting as Jamie Shears always reminds us.

Comm-5Recruit individuals/organisations to write stories/create content (specifically regional RDAs) that highlight novel individual (longevity, persistence, disruptive) and organizational contributions. Make the content creation and communication process as efficient and low-barrier as possible.med

Current StatusThe Secretariat has identified a number of adoption stories and is working to document some of this. We also plan to improve the Recommendations pages to allow ongoing comment and to capture more usage information. We have been doing more to promote "Supporting Outputs". We need someone to really own this.

Comm-6Create and publish an RDA Annual Report targeted to internal and potential external stakeholders. Improve RDA website for better internal communication, transparency, and co-ordination and better external navigation and visibility. TBD
The item need to be better clarified in for the evaluation; not very intuitive the direct connection between the reporting and efforts on improving the website. The item should be structured into 2 elements and priority given on each component.
Rebecca points out the importance of a better coordination, regional to global – also an exchange with the operations and coordination council subcommittee should be beneficial
