At the University of Leeds Library, we’ve been using Discovery Collections for four years and are deepening our exploration of all available functionality to promote our collections. In this session we introduce Discovery Collection functionality from a basic level for other libraries who may not use them at all, investigate the benefits for user navigation and browsing, and explain the Alma functionality for creating and maintaining the collections including options for display customization. We discuss the different approaches to Discovery Collection creation, from co-curation of reading lists with University stakeholders to Alma’s new functionality using logical sets to populate collections.

As Alma early adopters in the UK, the University of York had many well-established processes and procedures which complimented our effective use of Alma. As such, we found that the inbuilt Resource Sharing and Purchase Request functionality was never quite flexible enough to work in a way that fully aligned with these. The end result was a process that didn't work well for Library staff and users alike.
This session will demonstrate how we developed our own forms and were able to optimise workflows, reduce manual tasks, and provide a better service for our staff and students using the Alma APIs and Google Apps Script, though the approach would be applicable for any scripting environment.

Improving the discoverability of both a Cinema Museum and an Archives & Special Collection in Primo VE

This presention covers the importation and customisation of two seperate collections we have added to our instance of Primo VE. The University of Exeter is home to one of the largest collections of material relating to the moving image in the United Kingdom, the Bill Douglas Cinema Museum. The museum has its own website and catalogue but we wanted to incorporate it into Primo VE to increase visibility of the collection. The holdings were recieved in JSON and were converted to XML. In the presentation we will cover each of the steps and improvements we have made following the first importation. The presentation would also cover the incorporation of our Archives and Special Collections using normalisation rules and creating a variety of local display fields to improve the display in Primo VE, we also created new facets to help with improving discoverability of the various collections held. We think the innovative approach may help with discoverabilty of these resources in the future.

In day-to-day operation, reliable email communication with the Patron is essential. In 2024, major e-mail providers toughened their spam filters to enhance security. To maintain the deliverability of e-mails sent from Alma, additional security configuration is necessary in Alma and in the institutional domains.
The Ex Libris mail server served us well since GoLive. However, it is a black box and the recent security enhancement in Alma does not support our network topology.
By introducing a custom mailing infrastructure using SendGrid and a single consortia domain for multiple IZs, we reformed email delivery in the SLSP Network, offering more reliability and transparency.

For our nearly 100 diverse libraries Aleph's ADM structure enabled library independence and moving to one institution in Alma presented many challenges, particularly in the areas of fulfillment and acquisitions. It will also include the continued challenges we face to meet our requirement to deliver shared services and policies for some libraries and independence for others.

Direct to Downsview: Utilizing Alma Analytics to Manage Transfers to Off-Site Storage

During system migrations, libraries are required to adapt their technical processes to new system capabilities. The University of Toronto Libraries encountered challenges when transitioning to Alma, as several of our technical services applications became obsolete. This presentation will discuss the reengineering of the Direct to Downsview workflow, an automated process that transfers newly acquired items to Downsview, our remote storage facility. Utilizing criteria such as language and Library of Congress call number range, this workflow routes items with projected low use to off-site storage and preserves shelf space for more frequently used titles. Leveraging Alma Analytics and Alma APIs, we redeveloped and optimized this workflow to take advantage of Alma’s enhanced inventory management features. The session will delve into the design and redevelopment of this process, emphasizing the criteria for selecting materials for storage and its impact on space management and user services.

Your students aren't little librarians: Showcasing library treasures to prevent being lost at sea

Recent research into the undergraduate workflow found that 63% of students will use Google to search for resources before visiting their library website (Librarian Futures Report Part II, 2023). Students are not “little librarians” and require support with using reputable resources, citing correctly, and using GenAI for better outcomes. The majority of students would like the library to be more embedded in their workflow but are unaware of the full extent of support that their academic library can offer. This reveals an opportunity for librarians to discover ways to engage with students in their preferred workflow.

Join us as we discuss the digital knowledge gap that exists between librarians and students and learn how librarians can bridge this gap by bringing the library into the academic life of the user. We will also showcase Lean Library’s new functionality of surfacing Primos print treasures into users ‘digital’ workflows. We will also highlight the recent integration between Sage Campus and Lean Library which embeds the free short course “The Art of Chat GPT Interactions”, delivering GenAI guidance to students and researchers at their point of need. Attendees will learn about the habits of modern-day students, and how better to equip themselves with the skills and confidence of the tools available to provide support and guidance to students directly in their workflow.

At the University of Western Australia we provide statistics on Leganto usage as part of the Library Annual Report. However, without a defined benchmark for success, it was unclear whether our student usage could be considered good, bad, or average. By digging deeper into the statistics available in Analytics, and harnessing key parts of our service workflows, we were able to contextualise our figures and set appropriate expectations for success. These changes made our reporting to senior management more meaningful and deepened our understanding of reading list usage. Along the way we discovered new avenues for investigation, setting the scene for further analysis to better understand how our students and Unit Coordinators use Leganto. In this presentation, we will discuss the issues with our reporting of Leganto statistics, the outcome of our investigation, and the changes we made to the Library Annual Report to make our statistics meaningful and relevant.

Binghamton University Libraries in the summer of 2023 was asked to implement ORCID across the University.  The Libraries built a budget that included some outreach materials and the hiring of 2 graduate students to help with the outreach.  In this discussion we will talk about what we didn't do, what we should have done, and what we are doing well with lessons learned.  After identifying 660 faculty we currently have about 270 registered, and have asked to extend the "sign up" project into next year.  We will discuss future plans and why we feel this is critical work.

The Royal Danish Library offers Office Delivery as a service for several of our patrons.
The complexity of the Royal Danish Library - we have more than 20 locations spread across Denmark, who provide materials for this service and the patrons are located in different cities and different locations therein – makes it a logistical nightmare and Alma Standard does not support this kind of complex set-up, so we have had to think out of the box to solve this one!

A first foray into Linked Data: practical aspects of working with BIBFRAME from the viewpoint of three academic libraries

Metadata staff at Newcastle University, University of Leeds, and the University of Miami joined the Ex Libris Linked Open Data Focus Group in September 2023 in order to trial the Sinopia editor for creating BIBFRAME records and bringing them into the Alma and Primo Sandbox environment. The group's work is helping Ex Libris to develop and refine Alma workflows compatible with BIBFRAME for future release in Production. The group also offers input to Ex Libris’ long-term plan of developing their own Linked Data editor within Alma. This presentation will provide a glimpse into each institution's experiences navigating their first foray into the Linked Data world, including the challenges of working with three very different sets of materials (e-books at Newcastle, special collections print monographs at Leeds, and print faculty publications at Miami) and limited prior knowledge of BIBFRAME, but also the opportunities for collaborative learning and improved discoverability of collections.

Since 2019 we have implemented Alma, Primo, Rialto and Leganto at a time of significant global and institutional change, moving from long established Library Management and Reading Lists systems. The past four years has also seen a rapid expansion of the Access & Acquisitions team. Through a series of case studies, this presentation will explore our approach to change management relating to the implementation of our Ex Libris products and how involvement of the team at all levels has led to greater engagement internally and with the wider Ex Libris community, contribution to development of processes, greater team cohesion and skills acquisition.

Somewhat COUNTER-intuitive? What we learned re-building our journal evaluation tool in Alma Analytics & wish we knew the first time around

Karolinska Institutet University Library has reworked our Alma Analytics tool for journal evaluation, used by the acquisitions team at the library to evaluate subscriptions – including COUNTER usage data and subscription components of a large number of transformative Read & Publish agreements.
We held workshops to capture the needs of the acquisitions team. What worked well or not in our existing tool, and what could they do without? Taking cues from agile development, we worked with our user group throughout development to account for their needs.
A key difference from the development of our prior tool is that we also considered those creating and maintaining the solution – they are, in fact, users too!  Our first tool seemed to follow an every need counts principle, in the end creating a maintenance monstrosity from whose claws we set out to take back a coveted treasure – our time and peace of mind!  This turned out to help address some of the pain points stated by our end users too.

This case study examines the intersection of library discovery technology and diversity, equity, and inclusion through featured collections at the University of Calgary Libraries and Cultural Resources (LCR). These collections feature timely or niche topics such as Open Access Week or Indigenous Heritage Month. They are created in a cooperative environment allowing an exchange of ideas between the engagement librarians requesting the creation of the collection and the technical services staff who create the collection. We are developing policies surrounding the set-up and maintenance of these collections. Recently Ex Libris implemented functionality to gather usage stats for these collections through Primo Analytics and in this presentation, we will use this newly available data to analyze the use and impact of these collections on our users.

[Poster] How to format and load user records from a separate campus system into Alma

The University of Nevada Las Vegas Libraries worked closely with the university campus IT department to get access to student (undergraduate and graduate) information from the student information system as well as access to faculty and staff information from the Workday system. The goal of this project was to provide more accurate user record information, which could then be formatted and synced with the Alma system. Previously, employee records were manually created and students were only identified as undergraduate students regardless of matriculation status. The new student user record load process went into effect after UNLV went live on Alma in December 2017 and the faculty and staff user record load process was finalized and implemented in March 2020. This poster will cover how we output the data from the campus data sources, massage it into XML format using PowerShell scripts and then automatically load the user records into Alma.

Many university libraries are using both Primo and LibGuides, but by default they do not look alike or might not align with the institution website and overall visual identity. 
The users do not need to know what software our digital services are running. They just need to know where to find what they are looking for, that being books, articles, journals or guides or help pages. 
The challenge we faced was how to make our website, Primo and LibGuides look similar, when each system has its own default design and limitation to how it can be customised. 
 
We drew inspiration for the styling of UI elements from the new visual identity and design guide our institution got in 2020, that we then implemented in our Primo and LibGuides using Primo Development Environment (https://github.com/ExLibrisGroup/primo-explore-devenv), along with the browser’s inspection tool and a source-code editor. 
 
The poster will show before and after screenshots, as well as examples of how we worked with code files.

[Poster] Challenges and Solutions in Enhancing Access to the National Repository Library through Helsinki University Library's Discovery Service

Helsinki University Library, Finland's largest multidisciplinary university library, migrated to Ex Libris Alma in 2019 and uses Alma with Primo VE. It was the first Alma library in Finland to fully integrate Alma’s resource-sharing functionality.
The National Repository Library (NRL), a central Finnish library, holds extensive collections and acts as a hub for inter-library lending using KOHA and Finna. Helsinki University Library heavily utilizes NRL services; from 2019 to 2022, it sent about 1,500 journal titles and annually over 200 shelf-meters of materials to NRL. NRL fulfills 50% of Helsinki University Library’s inter-library loan requests. The service is free to the university's students and staff.
Challenges in integration between Alma/Primo and KOHA and Finna persist due to the absence of a common inter-library lending protocol. The poster presents solutions to make NRL materials accessible in Helsinki University Library’s discovery service and discusses ongoing challenges.

Seasoning Esploro to our taste: Capturing Scholarship of Learning Teaching (SoLT)

As part of regulatory compliance and registration requirements, in June 2023, Southern Cross University leadership identified the need for a tool to collate, store and report on Scholarship of Learning and Teaching (SoLT) publications and activities. As Esploro was well-established as SCU’s institutional repository platform for collecting and facilitating access to the university’s research outputs, Library staff proposed Esploro as the solution to the challenge. Library staff partnered with colleagues in the Centre for Teaching and Learning and the Academic Portfolio Office to identify the business requirements and modify Esploro’s configuration, reports and public interface.
We have also extended the institutional engagement with Esploro from a research-specific platform to one that allows teaching academics to showcase their scholarly engagement and contribution to the institution and higher education sector.

A presentation to explore the benefits and pitfalls of using the Extended Access feature in ProQuest LibCentral.
With budgets under increasing pressure, how do we make sure we are buying the most appropriate licence for our eBooks through ProQuest eBook Central? How do we maximise our funds, without short-changing access for students? The Extended Access (EA) model will offer some solutions for the hard-pressed acquisitions department – but is it all that it seems?
In my presentation I will demonstrate how I analysed the overall usage data to provide the evidence for going forward with a policy of buying books at 1-user (1U) initially. I will demonstrate how we set the parameters of EA, and also where the potential pitfalls are, and how you’re not always paying what you think...showing clearly how we monitor the spend and control the budgets.

The world is switching to electronic material, but libraries still maintain hard-copy collections. Finding a book on the library shelves is an overwhelming experience for many modern patrons, like trying to find a buried treasure without a map. 
This conference presentation will present the effective, accessible, and inclusive solution implemented and adapted in the Tel Aviv University Library of Life Sciences and Medicine, which integrates a mapping application into Primo to support the library staff and enhance user engagement and resource access.
The presentation will also describe other solutions that were considered, as well as provide insights into challenges encountered and overcome.

Mario Rostoni Library - LIUC University Italy migrated from a different digital platform and metadata repository based on DSpace to Esploro in 2020. Our main goal was managing researchers' profiles and publications in a repository and send metadata and assets to the Ministry of Education MIUR platform for the evaluation of the research of professors. We implemented Esploro and developed a specific programme for MIUR. Other two experiences are described. We also used Esploro for PHD thesis to be sent to National Library of Florence for deposit. Data can be queried through OAI-PMH interface. Bibliographic data and thesis files are retrieved by a harvesting process. Metadata are public and searchable in BNCF catalog. As our library manages also the LIUC University Press, we use Esploro for managing specific collections of working papers and journals published by LIUC University.

Crafting a Path to Enhanced Open Access Book Discoverability: Strategies at BCU Lausanne

As a public institution with a cultural and academic vocation, BCU Lausanne is ideally positioned to facilitate the adoption of Open Access resources among academics and the general public. However, librarians had been blindly relying on collections in the Alma Community Zone and Central Discovery Index for OA book discovery. Recently, careful observation revealed this strategy to be detrimental to OA book visibility and usability. We worked to better understand the OA book dissemination landscape, as well as metadata issues specific to OA books, to better inform our activation choices. We adapted our practices to optimize the use of CZ and CDI collections, while ensuring visibility for titles outside these tools. In this session we will illustrate the problems we observed, outline the steps we take to ensure availability of relevant titles while avoiding duplicate records, and detail the choices we made to balance staff time with enhanced discovery and a more positive user experience.

The Systems Team at the National Library of Scotland have been exploring a new approach to describing physical and digital manifestations of the same work. Utilising the Alma API and the Pymarc Python Library to extract key MARC21 fields from the bibliographic record of the physical manifestation, we have been experimenting with distinct MARC21 bibliographic records for digitised manifestations, to be delivered to users via digital representations. This presentation will outline the reasoning behind this; the creation of a set of these ‘Digibibs’ from ‘Physbib’ data; and the process of testing their effectiveness as an access route for users.

The citation of retracted articles often occurs because researchers are unaware of an article’s retracted status, or because the cited article was retracted after the paper is published. Whatever the reasons, this citation of retracted articles compounds the problems of bad research by diffusing and reinforcing its findings across the literature. This presentation describes how libraries are using LibKey to support scholarly integrity by informing users of article status - if the article has been retracted, if the article cites papers that have been retracted, or if the article has been published in a problematic journal - wherever they look for information.

The growth of Primo VE is undeniable, for both customer adoption and Ex Libris product development focus. For long-time Primo customers using Primo Back Office, facing the reality of shifting years of effort to Primo VE can be simultaneously a monumental challenge with feature gaps and sacrifices, and an exciting opportunity with new initiatives increasingly only being developed in Primo VE. This session will present a blend of shared experiences, both personal and from the collective Primo community as gathered through the Primo BO to VE Feature Alignment Project. The project was a collaborative initiative by the IGeLU Primo Working Group and the ELUNA Primo Working Group, focused on giving a voice and welcoming input from all Primo customers, culminating in a report to Ex Libris of prioritised development requests for Primo VE. Join this session to learn more about the project and the outcomes thus far, and perhaps share some of your own experiences too.

Over the years library management systems and MARC21 have evolved to accommodate new resource types. In recent years, data as a resource type has been gaining importance. With this, a new type of catalogue has also emerged, the data catalogue.  
As a data-driven organization, dedicated to evidence-based policymaking, the European Commission generates and acquires a substantial amount of data. At the European Commission Library, we have leveraged ALMA and PRIMO VE to provide Commission staff with a data catalogue that can be used to manage data and to make our internal data discoverable across the organisation.
To ensure interoperability between our library management system and other data portals we have worked on a mapping between MARC21 and the DCAT Application profile for data portals in Europe (DCAT-AP).
 
During this session, we would like to share with you some key aspects of this project.

Ranking Configuration - An iterative approach to surfacing better results

We went live with Alma and Primo VE in August 2023, following go live we noticed some of our materials not surfacing as well in Primo VE as we would expect and some resources such as book reviews crowding out book content. We documented examples of this and looked at ways of improving visibility of our materials. To achieve this aim we undertook a project, we used an iterative approach in adjusting the ranking configuration on our sandbox environment, this was over a number of months and iterations. We tested throughout until we reached a point where we were confident it could be tested more widely by users. We used Primo Analytics to identify the most popular searches and checked how the changes affected the displayed results, we also had user testing and documented all the issues observed. Once positive feedback and results were received, we transferred the settings to the live version of Alma. We have subsequently been checking and tweaking the ranking as an ongoing project.

Over the years, we've been learning to use Alma Analytics and Data Visualization (DV) to analyze trends in our library's frequently-changing policies. We've navigated integrations, equipment audits, numerous updates to Fulfillment policies, and more — with the help of Analytics and DV. Sometimes, we find the data we need and everything makes sense, and other times, we end up with more questions than answers. In this presentation, we'll share mini-case studies, including reports, dashboards, and visualizations we've developed to help our institution respond to inquiries and change. With global data consumption reaching 97 zettabytes in 2022 and projected to hit 181 zettabytes by 2025, information overload is a pressing challenge. Universities, inundated with emails and digital content, must strategically manage communication. Digital Libraries face similar hurdles, needing to stand out in a crowded digital landscape.
This presentation focuses on empowering Digital Libraries through branding, marketing, and communication. By adopting strategic communication plans and innovative branding, libraries can enhance their visibility and effectiveness. This involves crafting targeted, relevant messages and utilizing tools like Primo, called "Inventio" at Universidad Panamericana, Leganto, and RapidILL.
These tools help the Digital Library maintain a prominent and efficient presence. The presentation will highlight the importance of aligning with university image guidelines, personalizing services, and implementing comprehensive campaigns. Through effective branding and strategic communication, Digital Libraries can better serve their academic communities and manage the deluge of information.

Transitioning to Rialto, our library embarked on an intricate journey from OASIS, marked by considerable challenges. Adapting to Rialto demanded a rethinking of our practices and a cultural shift among the staff accustomed to legacy systems. Initial barriers included aligning the diverse range of staff expertise with Rialto's capabilities, navigating the intricacies of migrating profiles, and refining selection criteria to capitalize recommendations.
Our experience was not without its gray skies; however, the subsequent success in enhancing user experience and resource management, as well as achieving a more agile and responsive collection development strategy. Through this presenation, we share the realities of our library's transition, with the hope that our encounters with obstacles and our strategies for overcoming them can provide valuable guidance for other libraries facing similar technological evolutions.

In this paper, I wish to discuss the cataloging of manuscripts and private archives in Alma. Some libraries with heritage collections choose Alma for their general collections and other systems for their special collections, but at the Royal Danish Library, we catalog both manuscripts and archives in MARC21 in Alma.
We want borrowers to be able to discover and request material in Alma. Moreover, in digitization projects, we want to be able to transfer metadata directly from Alma to our digital asset management system. We therefore enter metadata with the highest possible degree of detail. Whereas printed catalogs and finding aids are hierarchical, MARC records are relatively flat. To create hierarchies, we use “Collections” for the top level and related records for the bottom level. In analyzing our practice, I will draw upon recent experiences with the archives of Hans Christian Andersen, Søren Kierkegaard, and Karen Blixen, as well as with our database of letters.

This presentation outlines the development and implementation of an innovative accessibility request form integrated into the library's discovery platform. The form aims to facilitate alternative format requests for students with disabilities, ensuring equitable access to library materials. Through collaboration with various university departments and stakeholders, including the Alternative Formats Support Team, Student Accessibility Services office, and the Office of Copyright, a comprehensive policy was established to streamline the provision of alternative formats.
