2013 Bronco Bash Booth Application

Bronco Bash 2013 Friday, September 13th 3:00 pm – 7:00 pm Bronco Bash 2013 will be here before you know it! The 33rd Annual Bronco Bash is set for Friday, September 13th from 3 p.m. to 7 p.m. This event is an ideal opportunity for you to promote your business, organization, department or RSO to approximately 20,000 new and returning WMU students. In addition, you can enjoy the many activities, entertainment and atmosphere of WMU's largest event! Bronco Bash will be held in a new location for 2013! The event will take place on the pedestrian mall in front of Sangren Hall. The deadline for submitting booth applications is Friday, July 26, 2013. A late fee of $25 will be charged for applications received after July 26th at 5:00 PM EST. Booths will be assigned on a first come, first serve basis, as space is available. Your application is NOT COMPLETE until you submit payment to the Bronco Bash Office. Booth Regulations

• Your booth will be a 10 x 10 space that may be located on concrete, grass or both. • No cars, trucks, boats or vehicles will be allowed as part of your booth display. • Pre-packaged small candy (i.e. suckers, gum, licorice and mints) is the only approved food item for give away at Bronco Bash. • Any small candy items you wish to provide at Bronco Bash must be given away at NO COST to participants. • No beverages of any kind are allowed as giveaways at Bronco Bash (water, sodas, smoothies, floats etc.). • All items MUST be approved by the Bronco Bash staff prior to the event. • Food sales of any kind are not allowed at Bronco Bash. • Alcoholic beverages are not allowed on Western Michigan University’s campus. • You are responsible for providing any special items for your booth. • Note: PLEASE do not give out promotional items prior to the start of Bronco Bash(3pm). We encourage you to bring enough items and space them out for the duration of Bronco Bash, so all students can receive items.



Tent & Generator Use Specifications

TENTS -If you choose, you are responsible for providing your own tent. -Tents cannot exceed 10’ x10’ in dimension and MUST be self-standing. -No stakes are allowed due to the severe damage they cause to landscaping. GENERATORS - Generators are highly discouraged due to the crowded nature of the Bronco Bash event. - You are responsible for providing your own generator. - All generators must be QUIET when running, so they will not disrupt the event. - Please note that bringing a generator WILL limit the area where your booth will be located.




Bronco Bash Policies, Guide Lines and Check-In Procedures

Please read the following information regarding Bronco Bash. You will me emailed a copy of these policies once your application is received. o You will receive a confirmation letter by Friday, August 23, 2013, stating your check-in time and booth assignment. o Bronco Bash staff are available to assist with load in of materials in the morning. If you will need assistance unloading materials and equipment for your booth, you must arrive at your designated check-in time. If you choose not to check in at this time, we WILL NOT provide transportation of your materials or equipment. o Bronco Bash staff WILL NOT be available to assist with the clean up or load out of your materials at the end of the event, unless you pay for this service in advance. See subsequent bullet point. o We are offering optional load-out assistance for participants. We will transport items from your booth to your vehicle. Load-out will begin at 7pm, not before. The charge for this service is $25 and must be pre-paid prior to August 9, 2013. Please indicate in the payment section if you would like to participate and further details will be provided via email, should you choose to participate. o No cars, trucks, boats or motorized vehicles will be allowed to drive into Bronco Bash at any time. o We do not provide staff to watch your materials. o We will do our best to accommodate special requests regarding booth location. However, as we usually have over 400 participants every year, we cannot accommodate every request. We cannot make any guarantee as to where your booth will be located. Participants may NOT switch or relocate their booth. Doing so may result in removal from Bronco Bash. o Credit card solicitation is prohibited at Bronco Bash. Vendors may not provide credit card applications or allow signing up for credit cards at Bronco Bash booths. o Any food items you wish to provide at Bronco Bash must be GIVEN AWAY at no cost to participants. Prepackaged small candy (i.e. suckers, gum, licorice and mints) is the only approved food item for give away at Bronco Bash. No beverages of any kind are allowed as giveaways at Bronco Bash (water, sodas, smoothies, floats etc.) All items MUST be approved by the Bronco Bash staff prior to the event. o Only registered food vendors will be allowed to sell food and beverages at Bronco Bash. o Coca Cola has exclusive pouring rights on the campus of WMU. This means that Bronco Bash booths are not allowed to give away, sell, or endorse Coca Cola or other beverage products during Bronco Bash. In addition, only WMU will be allowed to sell Coca Cola products. o Alcoholic beverages are not allowed on Western Michigan University’s campus. o Frisbees are not permitted as promotional items. o You are responsible for providing any special items for your booth. o WMU reserves the right to deny access to Bronco Bash based on university contractual agreements. o WMU reserves the right to remove any group that has music or sound in competition with contracted entertainment or that is disturbing neighboring tables. o WMU reserves the right to remove any items, vendors, or groups that are in conflict with the educational mission of the University, the WMU Student Code, and/or any applicable university policy (ex: weapons). In order for this application to be valid, you will need to check the box below, acknowledging that you understand the policies and guidelines of Bronco Bash, as well as our check-in procedures.
