Theater and Dance Technical Questionnaire 2012
Deadline: April 3, 2012

Thank you for playing a significant role in the Boulder International Fringe Festival's eigth year, 2012. In order for us to provide the proper venue and staffing for your work, we will need to understand its content more completely as we move toward the 15th of August this year. The Technical Questionnaire is a standard practice at all fringe festivals across the globe. We will accommodate your company's needs to the best of our ability, while maintaining fairness among all artists in the festival. We look forward to working with each of you.

Ready?

Please complete this form, answering all questions to the best of your knowledge, and SUBMIT THIS FORM by April 3, 2012. If a question is not relevant to your production, please answer "N/A" in the appropriate space. We strongly suggest that you keep a copy of the completed form for your files.

Keep us informed! As you become aware of more details for your production, please email us immediately with updates.

The following questions are intended to assess priorities in terms of venue rigging and performance needs. Although responses to this questionnaire will help us assign each company to a venue, we will not be able to satisfy everyone's requests beyond basic technical needs. If additional services and/or equipment are needed above and beyond what the Fringe provides, your company will be responsible for hiring and/or requesting the services or equipment. There may be staff and equipment that can be obtained through the Fringe at a reasonable rate. Please be as specific as possible when answering the questions below.

Remember that this is a Fringe Festival®. Fringe originally got its name from artists and performers that presented work on the physical fringe of the more mainstream art festival in Edinburgh, Scotland. The first fringe performers arrived on the scene with practically no technical needs to make a very powerful statement about accessibility and community in art and culture. The point is: Art will and must exist for all people under any circumstances in everyday life. It is essential to our society to see that art can occur in any place at any time. Performances have been presented in or on busses, retail shops, rooftops, streets, alleys, restaurants and (yes, of course) theatres and clubs. Our mission (should you choose to accept it) is to present work that is independent, accessible, affordable and community-centered.

IMPORTANT: If you have any technical questions please contact the Fringe at production@boulderfringe.com. Please, only the Primary Applicant should be in touch with the Fringe about tech needs.

The Fringe rents all of its venues and consequently the staff at the individual venues cannot help you with any Fringe related questions nor will they arrange for you to see the space. Please DO NOT CONTACT THE VENUES DIRECTLY! - The role of the Fringe is to coordinate with each of the venues. Please contact us at production@boulderfringe.com if you have any questions or concerns.

Thank you for Fringing!

NOTE: ALL fields are required. Please answer EVERY QUESTION and CHECK EVERY CHECK BOX. If a question does not apply to you, just fill in N/A. If any of the questions are left blank, the form may not be accepted.

NOTE: The Boulder Fringe will provide one technician as an operator for each performance. Although a technician will be available, he/she will not be familiar with your production and we require that all companies bring a stage manager to call the show and run sound or lights if necessary. It may be physically impossible for the Fringe technician to run lights and sound at the same time. Companies must be able to completely set-up in 20 minutes and strike in 10 minutes without the assistance of the Fringe technician. If you are coming from out of town, the Fringe can give you a list of names to hire someone locally to assist in the running of your production. The Fringe organization is made up of producers, designers and technicians that are highly skilled at collaborating in every aspect of production and rigging. Please feel free to contact us to help answer any technical questions you may have.  NOTE: You must provide one Stage Manager that will be available for the technical rehearsal and ALL of the shows.  NOTE: We understand that there are varying needs associated with each artistic vision and that basic technical services may not be enough. Often, additional tech and services require additional funding to cover the costs. The Fringe has budgeted for very specific services for each of the artists. Artists will be responsible for ANY additional costs. Please remember that this is an independent and cooperative festival and we are all responsible for tending to our own needs.
TIME REQUIREMENTS
All Fringe performances start on time and cannot extend past the running time of the slot you were given (either 60 or 90 mins). There will be no exceptions. We will turn on the house lights if you go over time. In addition, there will be a charge of $100.00 per performance that extends past the given time slot.  We will let audience into the house 5 minutes before each show begins.

The time between performances is limited. There will be a maximum of 30 minutes between shows: 10 minutes for strike of the previous show, 20 minutes for set-up of the next show and Front of House duties. Shows start and end on time, as scheduled, no matter what. (This is to accommodate all performances and be fair.)

We have a "leave no trace" policy at our venues.  Please be respectful to staff and other performers and leave all areas clean when you are done with them.  If the technical manager is left to clean up a messy greenroom, storage area or stage, the responsible company will be charged a fee of $100.00.

NOTE: We CANNOT guarantee that you will receive a special in any venue.

FIRE is not allowed in most venues in Boulder. If your show involves fire (smoke, cigarettes, incense, candles, lighters or open flame of any kind), the Fringe may not be able to place you in a Standard Venue. REQUESTS FOR THE USE OF FIRE ARE NOT GUARANTEED. If fire is essential to your show, the Fringe will need you to arrange for a BYOV.

FIREARMS AND PROP GUNS:
At no time will a real firearm be allowed into any theatre.

If you are using a prop gun in your play (non-firing or firing) there must be somebody in the company who will be responsible for the gun at all times.

You may rent the gun from an authorized company, such as Reinke in Denver. It is your responsibility to understand the laws and regulations of gun use on stage in the state of Colorado. You should never leave the gun in storage at the theatre and should bring it to and from the theatre for every performance.

The only way to use a gun onstage outdoors in public spaces is if the gun is made to look like a prop and can in no way be mistaken for a real firearm by an audience (orange plug in the end, spray painted bright pink, etc).

The Fringe Technical Director and/or venue technician has the right to disallow the use of a gun in a production if local and federal regulations are not followed.

TECHNICAL REHEARSALS, SET UP & STRIKE AND LOAD OUT
TECHNICAL REHEARSALS:
Generally speaking, technical rehearsals are scheduled to take place from August 11 - August 15, with the later dates reserved for companies coming in from out of town. Technical rehearsals will be scheduled between the hours of 9am-12midnight. All companies must be available during this time to be able to attend their scheduled technical rehearsal.

The festival requires all companies to have a technical rehearsal prior to their first performance. Should your company find it impossible to arrive during the Technical Rehearsal Period, it may be possible to have a morning rehearsal on a performance day but we cannot guarantee that there will be time available in the venue. Changes in the technical rehearsal schedule will not be made after times have been assigned so please make sure you are aware of all the conflicts in your company.

You can choose the length of your tech time, between 2-3 hours. This includes any time required for set-up, strike, and possible media shoot. You will be required to practice your set-up and strike during the tech rehearsal. Three hours is the maximum time allowed for a Technical Rehearsal. Once you have selected your tech time allotment and have been scheduled, you will not be able to run overtime.

Time required for Technical Rehearsal: *
(select one)
SET UP & STRIKE:
Companies must be able to completely set up in 20 minutes and strike in 10 minutes without the assistance of the Fringe technician. The time between performances is limited. There will be a maximum of 30 minutes between shows: 10 minutes for strike of the previous show, 20 minutes for set-up of the next show and Front of House duties. Shows start on time, as scheduled, no matter what.

If any artist group is in the space, either performing or striking past their designated time, they will be charged $100.00 per occurrence.

LOAD OUT:
All companies must remove ALL props, costumes and scenery from the venue immediately following your last performance. This is for your protection as we cannot be responsible for company property left in the venue during the strike period. Set and props that are left behind will be disposed of. At the Fringe's discretion we will also withhold your company's final box office payout and will use these funds to cover any and all expenses incurred in the disposal/storage of your set and props. Any remaining fees will then be returned only when the space has been cleared and inspected.

SCHEDULING:
In order to schedule your company's tech rehearsal and performances we need to know your company's availability. The maximum festival availability for a company is August 11 to August 26. Please be as flexible as possible as it will make it easier for us to give you better times.

Please be prepared to be scheduled for any day from August 11-15 for tech rehearsals and from August 16-26 for show times. This will allow us to give you and the other performers the best and most fair show times possible.

Specifying less than 10 full days of availability during the festival dates will likely result in a need to reduce the total number of shows you will be allotted and may also affect the number of prime time-slots we are able to provide.
Company Availability *
Please detail your company's availability from August 11 to August 26.
Special Occasions *
All Fringe companies will receive a variety of evening & matinee, weekday & weekend time slots for their performances. However if you have a special occasion/commitment that we should be aware of please list the event and date. NOTE: Weddings are considered special occasions, work schedules are not. Remember, more flexibility means better times and venues. Try to be as open in August as possible.
NUMBER OF SHOWS:
Every company that has a THEATER AND DANCE slot is allotted a minimum of four and a maximum of six performances. Choosing fewer than six shows does not lower your fees. In your application, you specified how many shows you anticipated wanting. Now you must make a final decision about your desired number of shows. It's okay if the number you put here is different from the one on the application, but after April 3, 2012, you will not be able to change the number of shows you would like to do.

Please note: Any company that cancels a scheduled show after June 1st will be charged $100.00 per show.
How many shows do you want to do during the festival? *
Will will schedule you for the amount of shows that you select.  If you cancel any shows after June 1st you will be charged $100.00, per show.
CROSS-CASTING SCHEDULING CONFLICTS:
NOTE: We assume no responsibility for conflicts that you may create and they may result in fewer performances. If your cast is in more than one show this will also limit your scheduling options.

If you anticipate any potential scheduling conflicts, caused by one or more of your company members being involved with another company in the Fringe, what other show(s) might conflict with yours?
