Exec Board & Dr. H

Monthly Meetings Update

Last meeting was on February 3; next meeting is on March 7

  • May is National Speech, Language, and Hearing month - Kristin Shellhammer approached us to help with a screening of “Out of My Mind” (airing on Disney+) for Chabot families in May - promotions, snacks, ideas
  • Lion Dance Assembly - discussion of having CPC pay for the Lion Dance Assembly - board members in attendance approved the spend ($650) from our Discretionary funds pot
  • Multicultural Event - discussed having a Multicultural after-school event next school year, with families providing foods, other cultural activities, etc., an Epcot type experience. Dr. H asked if that’s something CPC would consider funding. Board said we absolutely will add to next year’s proposed budget, that we can use for events like this and the Lion Dance assembly, or other events/assemblies in the future
  • Discussed Spring Book Fair 2026 - Dr. H requested that we avoid the last week of April due to state testing that happens in the library (book fair since booked for week of 4/13/26)
  • Storage/shipping container - CPC is trying to get more of the shipping container back for our use (currently Coach Cerda/PE is using almost half); ongoing discussion; an armoire/chest has been removed recently to free up some additional space for CPC. There is an issue with space on campus in general, so we don’t want to take space away from Cerda. Dr. H is going to find out if we can have space on campus for an additional storage unit for CPC, and how much space (we will then present proposal for purchase)

Past meeting discussions have included: New speaker system for Friday Flag; Chabot Office Technician Position (Genna) for this year and moving forward; 5th grade tile project; rescheduling STEaM event; PlayCV; playground equipment; status of removal of furniture by Gate 5; Hands on Science (TK-3); Funds process

  • Photo Booth Rental (+$225) - from Berkeley Real Estate Alumni Association

  • National Park Mystery Series (3-5) ($287) - the books have come in and have been delivered!

  • Scholastic Dollars ($200) from the fall book fair that we gave to Mrs. Newlin to spend for new books for the library!

  • Local Venue (+$3,443.10 raised so far - $443.10 over budget and we raised $241.61 from Chipotle, which we don’t have yet!)

  • Family Dance (+$1,515.00) and HUGE

Castro Valley Educational Foundation

This event is designed to bring together and celebrate the CVUSD community by allowing attendees to enjoy specialty foods and drinks from local eateries. The proceeds from this event will go towards Wellness programs across all CVUSD schools.

CVEF is asking for auction basket donations. **If anyone would like to donate a basket on behalf of Chabot, here are the details and examples. Thanks in advance!

The contents of the baskets should be around $50 and are due by Friday, March 28th. Below are some examples of auction baskets:

-Beach day basket

-Tea or coffee basket

-Chocolate basket

-Picnic basket with goodies

-Furry friends basket (dog, cat, hamster…etc)

Field Trip Funding Process

INFO FOR TEACHERS (AND FYI FOR PARENTS)

Field trip request form submitted to Dr. H & Shannon at least 60 days prior* to requested Field Trip.

APPROVED by Dr. H

If funding is needed from Parents Club to pay venue/business directly

If a teacher had to make a personal payment for a deposit to secure a field trip and needs reimbursement

Shannon sends info on field trip (teacher, class, location, cost, etc.) to Treasurer of PC

PC issues check to Chabot Elementary & Shannon submits request to the District with proof of funds

PC is out at this point, and payment for the field trip is handled by the district with funds provided by PC

Teacher submits a reimbursement request directly to Shannon (not to exceed $300)

PC issues check to Chabot Elementary so that Shannon can process the reimbursement to the Teacher through the district, and PC is out of the process

The district has certain policies in place for field trips and other things “sponsored” by Parents Clubs/PTAs. We are meeting with Dr. H and Shannon at least once per month to make sure we are doing what we need to do to work with the district and follow proper procedures. There are timing issues with field trips in particular, which is why the request needs to get to Shannon ASAP (whether the field trip is funded by PC or not!)
