Run Queries

    • Queries allow you to verify ChartStrings that have remaining encumbrance balances. Some queries sum the totals, and others provide separations of encumbrance type.

    • This screen can also show balances that may or may not show up in the reports. Encumbrance entries that are not posted may not show up in all queries.

    • Open POs and Requisitions can be closed if they are no longer needed but have been partially sourced and/or paid. Contact Purchasing.

Cancel

    • If no activity has taken place, and the PO was not rolled to the new year, it can be canceled. Requisitions not sourced can be canceled. Requisitions do not roll to the new year. Contact Purchasing.

KK_No_Post Entry

    • For encumbrance balances that have crossed years and cannot be cleared by Purchasing, create a KK_No_Post entry. For any that were created by your district for payroll purposes, be sure to delete them to remove the encumbrances.
