What is the Participant Coaching Report

A downloadable report from DonorDrive that helps Walk Managers analyze participant behavior and target their coaching strategy for maximum fundraising success.

  • Registration date
  • Fundraising total and goal
  • Team Captain status
  • Returning participant status
  • Page customization and Facebook fundraiser activity
  • Shirt eligibility

Why the Participant Coaching Report Matters

From Data to Meaningful Coaching - Use insights to tailor outreach, because every participant’s journey is different.

The Participant Coaching Report turns numbers into stories:

  • Who’s registered but hasn’t started fundraising
  • Who’s leading a team but needs help recruiting

  • Who’s just one gift away from earning their shirt
  • Personalized outreach makes your coaching mission-centered and effective, meeting participants where they are
  • When you tailor your messages, participants feel seen, supported, and motivated to take action

Why the Participant Coaching Report Matters

Move from general outreach to intentional, participant-centered coaching.

  • Let data guide your outreach. Use insights to shape your tone, timing, and message.
  • Meet participants where they are. Encourage new fundraisers; recognize returning ones.
  • Purpose drives action. Personalized outreach strengthens engagement, fundraising, and retention.

Personalized coaching is a strategic investment in long-term growth.

Why the Participant Coaching Report Matters

Turning Insights Into Action

  • $0 Fundraiser. Send a short “getting started” message with simple steps and a reminder that every dollar counts.
  • Near-Shirt Earner. Celebrate progress: “You’re just $15 away from your NAMIWalks shirt!”
  • Returning Walker. Thank them for coming back and remind them of the difference they make every year.
  • Uncustomized Page. Encourage them to share their story — people give to people.

Every insight is a chance to connect and inspire action.

Participant Coaching Plan

Participant Coaching Plan — Overview

Coaching is how we turn participants into fundraisers and fundraisers into champions. It’s about intentional, personalized outreach that deepens engagement and drives results.

Participant Coaching Plan

How It Works:

  • Start with data: Run your Participant Coaching Report to see who’s registered, their goals, and activity.
  • Use the scripts: Templates for calls, voicemails, and emails — for both new and returning participants, team captains, and corporate prospects.

Participant Coaching Plan

Best Practices:

  • Personalize every touch — use names, teams, and goals.
  • Prioritize the two most powerful calls: Welcome and Thank You.
  • Track everything in your Outreach & Retention Tracker.
  • Keep it simple: one meaningful connection can drive lasting commitment.

Prioritizing and Scheduling Outreach

18 of 20

Prioritizing and Scheduling Outreach

When you plan for coaching, you plan for growth.

  • Block time on your calendar each week for coaching calls and follow-ups — even one hour a week adds up.
  • Start with your highest-value segments: returning participants, Walk Stars, team captains, and near-goal or milestone fundraisers.

Prioritizing and Scheduling Outreach

When you plan for coaching, you plan for growth.

  • Think investment, not task: Consistent outreach builds relationships that grow Team and Participant revenue year over year.
  • Measure your impact: Track outcomes in your Outreach & Retention Tracker to see where coaching drives results.

  • Consistency = ROI: The time you spend now strengthens retention, fundraising totals, and long-term loyalty.
