Purpose

Data can enable us to tell our collective story, understand our impact, and make strategic decisions to move our work forward.

SalesForce and National Student Clearinghouse (NSC) are both powerful tools, but also confusing and complex.

NSC data in particular is critical for us to assess our outcomes in relation to our mission.

So why does this matter? We know the power that data has to help us tell our story as a collaborative, to understand our impact, and make strategic decisions that are rooted in our data. That said, the data sources and systems we use, SalesForce and NSC can both be complicated and confusing, and definitely have a learning curve. The hope is that through our time today we can help alleviate some of that so folks feel better equipped to use these systems and data.

Finally, National Student Clearinghouse data on our postsecondary enrollment, persistence, and graduation is directly connected to our mission:

“Breakthrough Collaborative works with traditionally underrepresented students to achieve post-secondary success and empowers aspiring leaders to become the next generation of educators and advocates.”

As we work to further our mission, grounding ourselves in our postsecondary outcomes data is a logical step.

What is NSC and how do we use these data?

What is National Student Clearinghouse (NSC)?

Overview: NSC is a nonprofit that collects and manages postsecondary student enrollment, persistence, and graduation information from US institutions

NSC includes 97% of all currently enrolled US postsecondary students

Process:

US institutions submit enrollment and degree information to NSC
Breakthrough National Office submits data on our students to NSC to match the information they have in their database

Query in November
Takes a few weeks to receive a response
Match based on name and birthdate

Breakthrough National Office then reformats/cleans/uploads the NSC data back into our Salesforce system

Because the matching is based on the name and birthdate, it’s important that:

How do we use these data?

This is our logic model of how our programs are set up. A logic model is a conceptual model were we should expect that a certain set of resources and activities should lead to specific outcomes.
Based on our logic model, you can see that some of our major expected outcomes from our program is around college enrollment, persistence and graduation.
We examine the data coming back from NSC as a whole collaborative and also compared nationally. There are lots of data points that we could potentially be interested in, but the major ones of interest are the ones as it relates to the logic model and the ones listed in our NSC dashboards in SF.
In addition, we typically include a dashboard guide (which Tori will reference later) with national comparison data.

If you’re interested in finding data about one specific student, you can find it on the “Related” tab of their student record.

Some Notes about the Data

Sometimes this data changes from year to year

a student’s enrollment may be reclassified as “halftime” or “withdrawn”
an enrollment might not show up until the next year’s pull

Some students will show up twice in some reports due to dual enrollment

this is accounted for in most reports on the dashboard

What students have graduate degrees
Where your students are currently enrolled

This data is also visible on individual student records

This year, we pulled data for all students who graduated in the past 10 years

Includes students who did not complete full BT dosage, and therefore will not be represented in the dashboards
This info is available on the student’s record

If there is a student not showing up in the Dashboard that you believe should be, reach out!

By popular request, we have created a “College Student Connections” resource through which you can see all current BT enrollment records sorted by college and affiliate!

Use the “College Student Connections Sheet” to search for student enrollment records at different schools.
Contact affiliate colleagues to request to connect with their students at specific schools.
The User Guide provides more info on how to use the sheet.

SG: As you explore your NSC data, you can also consult a variety of other resources to contextualize your data and support data-driven decision making. The National Student Clearinghouse has a variety of resources and services available, but I think that the research center and news section might be the most useful. They regularly post updates and reports so you can stay abreast on emerging data/trends, and review your data in context.

If you are interested in comparative data sets, NCES has tons of data available on their website, from postsecondary student outcome data to data on postsecondary institutions.

NCAN has tons of resources, from their common measures resources to help folks identify research-backed metrics to use within their postsecondary access and success work, to their Benchmarking project and associated data hub where you can explore postsecondary outcome data from a group of NCAN members. For support with data use and best practices, they have various reports, a suite of courses, and tons of recorded webinars that you can access. They also have a listserv where they share updates re: postsecondary outcomes and emerging research, which you can join by emailing Bill DeBaun. If you don’t have an NCAN membership, you can access one through the Collaborative by filling out a quick form.

This event is a chance for new or veteran staff to get a train-the-trainer experience on this summer's Breakthrough Instructional Training (BIT) and Race, Equity, Diversity, and Inclusion Training (REDI) updates. We will be providing multiple tracks for certain sessions, allowing more veteran staff to have more planning and collaboration time and ensuring all staff get a deep understanding of how to implement orientation.

There will also be sessions designed to support directors in feeling ready for summer logistics- creating orientation schedules and student schedules, implementing the Human First Framework, and more (see agenda for details). This in-person event will last three days. Affiliates under the National AmeriCorps umbrella are required to send one person.

Virtual Spring Training

Dates & Times: Daily, March 24-27, beginning at 10 am PT/1 pm ET

Location: These Zoom sessions will be offered virtually and will also be recorded

The week following our in-person Spring Training, we will host virtual workshops to share other new resources for Summer ‘25. Please check the schedule. All sessions require every affiliate to have representation, and one session requires all Executive Directors to attend.
