ADP Onboarding Process

Step 1: Set up your ADP TotalSource account.

Go to ADP TotalSource (www.workforcenow.adp.com) to set up your account!

Click the “Sign Up” button and then enter your company’s registration code: GASURG-391284 or click on: FIND ME if you haven’t done so already.

Step 2: Review your onboarding.

Navigate to your Message Center (envelope icon on the top right of the page)

🡪 Review New Hire Message and update your Federal/W-4 tax withholding elections, Form I-9, Direct Deposit, and Basic Employ

ment Policies.

If you don’t complete this step, your employer will withhold your federal taxes based on a status of Single with zero allowances.

Step 3: Get the ADP mobile app!

Just like the website, the ADP Mobile Solutions app lets you check pay statements, and more.

It’s easy to use, available on all devices, and can be downloaded from the app store at any time.

Introductory Period

All employees (full-time and part-time) are on an introductory period during their first 90 days of employment. During this time, the employee is able to determine if the job is suitable for him/her and the organization can determine the new employee’s work performance. The completion of the introductory period does not guarantee employment for any period of time since we are an at-will organization, and you are an at-will employee both during and after the introductory period.

Dress Code

Employees must arrive at work clean and properly attired as outlined in their job requirements. Some employees may need to wear uniforms or safety gear, and they should consult their supervisor for precise dress code details. In case an employee arrives inappropriately dressed or groomed, they may be asked to rectify their appearance and attire before resuming work.

Payments are credited to your designated bank account as indicated in your ADP profile.

Live Check Delivery and Prenote Process

Live Check Delivery:

  1. In some cases, Team Members may receive live checks delivered to our offices. This typically occurs due to the initiation of a prenote process on the provided bank account.

Prenote Process:

  • As a standard security measure, a prenote process is initiated on the account you have provided. This temporary verification process is designed to confirm the accuracy of the account details.

Temporary Live Checks:

  • During the completion of the prenote process, Team Members may receive one or two live checks.

Electronic Deposits:

  • Once the prenote verification is complete, all future payroll deposits will be made electronically to the designated account.

If a holiday falls on a Saturday, it will be observed on the preceding Friday. Holidays falling on Sunday will be observed on Monday.

IBI Healthcare Institute provides employees with paid time off (PTO). PTO may be used for vacation, sick time, or other personal matters.

PTO (Paid Time Off)

Eligibility:

All full-time regular employees are eligible to receive PTO after completing 90 days of employment.

Deposits Into Your Leave Account:

    • PTO is calculated according to the calendar year, which begins on January 1st and ends on December 31st.
    • Ten (10) days of Unaccrued Paid Time Off (PTO) per year plus Accrued PTO. This shall consist of:
      • Five (5) IBI Complementary PTO (Used as prorated through out the year
      • Five (5) designated federal holidays observed by IBI Healthcare Institute.
      • The Employee shall accrue one (1) hour of PTO for every twenty (20) hours worked.
    • Paid time off may be used only in half or full-day increments.
    • Upon resignation or termination an employee forfeits his/her unused paid time off.

For any planned time off, whether short or long period, employees must submit a request to their manager at least two (2) weeks in advance.

If an employee is unable to work due to illness or an emergency without prior notice, they must inform their supervisor at least two (2) hours before their shift. In serious cases, emergency contacts may notify us on their behalf if the employee is unable to do so.

1. Dates out of the office.

2. Expected return date to work.

3. Coverage of duties during absence.

4. Mode of contact in case of emergency.
