Adoption Reports – Child Wards without SAE Verification

  • This report includes child wards that are active at the county or tribe that do not have an SAE Verification entered.

MN Statute 259.75, Subd. 2, All local social service agencies, and licensed child-placing agencies shall send to the state adoption exchange, within 45 days of the time a child becomes free for adoption, a recent photograph and description of each child in its care who has been legally freed for adoption by the termination of parental rights, and for whom no adoptive home has been found.

Records listed on this report are clients in your county that have potentially duplicate entries in SWNDX. Review and merge if applicable.

To find the potentially duplicate records, search SSIS using the State option. Compare and review the duplicates and if there is a math, unclear your record and merge it to the duplicate. If your cannot merge your county record due to an Adoption event or other reason contact the help desk.

In some cases the records cannot be merged because your record has an SSN and the duplicate record does not. In these instances, verify that your SSN is correct and notify the helpdesk of the discrepancy. If the duplicate record in SWNDX has a PMI and the SSN is in MAXIS but not SWNDX, we will add the SSNL to the PMI record in SWNDX o that proper merging of the records can occur. Placement – ESEA (Elementary and Secondary Education Act)Verification

This report lists placements or absences that involved a child between the ages of five and 17 (as of Oct. 31), and occurred during the month of October in the year specified by the user. This report has three sections. A child should display in only one section, with priority on section 1 first, then section 2, then section 3. If a child has a placement location at any point in October, he/she displays in section 1 only, even if there’s an absence recorded later in the month of October:

Section 1:

Children in a placement occurrence during the month of October (with or without a continuous placement). Only the most recent placement occurrence that meets the criteria for a specific child is included.

Section 2:

Children absent from a placement occurrence during October. These are children who have a continuous placement with a placement occurrence that ended before October 1 due to an absence that continued into October. These kids are included on the ESEA report using the attending school district from the most recent placement occurrence in this continuous placement. Both the absence and the most recent placement occurrence display.

Section 3:

Children who are not included on the ESEA report unless their placement history is modified. These are children with continuous placement records who either: are only locations in October, or are in absences during October and do not have a prior placement occurrence.

This report lists children who have continuous placements or placement locations that

violate date overlap rules.

The date overlap rules include:

  • The discharge date of one continuous placement cannot overlap or equal the start date (removal date) of the next continuous placement. Rarely, a child is discharged from care and requires another removal on the same day. Those children display on this report for review, but there is no need to change the dates if they are accurate. The dates displayed are the continuous placement start and end dates.
  • The end date of one placement location cannot overlap the start date of another placement location. Both may be the same date. Absences and locations that are not classified as placements may overlap a placement location. The dates displayed are the placement location start and end dates.
  • A placement location must fall within the dates of a single continuous placement. The dates displayed are the start and end dates of the placement locations that do no fall within the dates of one continuous placement.
