ACADEMIC ADVISING

27 of 60

ATTENTION TO IMPORTANT DATES

28 of 60

  • AVOID STUDENTS WITHDRAW STATICS (SEMM 1203)

  • Maximum credit allowed per semester:

- 18 credits (approved by PA; KB students only)

- 21 credits (Chair of SME approval)

  • Maximum credit allowed for short semester: EIGHT (8) credits

  • Students in Final Year (i.e. final TWO semesters) => can take maximum TWENTY ONE (21) credits

  • Advice students to stick to the Programme Menu

  • Course registration status:

HW (Hadir Wajib): register for compulsory course with no Grade (e.g. LI)

HS (Hadir Sahaja): attending course not in the curriculum (no Grade)

UK (Ulang Kursus): register for a failed course

UG (Ulang Gred): retake a passed course (grade B- and below)

REGARDING REGISTRATION

29 of 60

  • Minimum credit to register per semester: 12 credits (9 credits during COVID)

  • Students are allowed to defer:

- valid reasons (sick etc.) OR deferred by the University (PNG < 1.0, misconduct) => deferred semester not counted

- personal reason => semester(s) counted (maximum 2 consecutive semesters)

  • Never approve student register more than 18 credits.

  • Impose student to register maximum 12 credits (minimum 9 credits) if they are:

- KS students (CGPA< 2.0)

- virtually KB (CGPA≥ 2.0 BUT GPA/PNG < 1.0)

REGARDING REGISTRATION

30 of 60

  • Result Grades and Codes:

Common Grades (A+ to E): C (50%), D+ (40%), D- (30%)

HS (hadir sahaja): pass HS course (sufficient attendance & complete all necessary coursework)

HL (hadir lulus): pass the HW course

HG (hadir gagal): fail the HW course

UK (ulang kursus - previously UM): have to repeat the course

U*: indicates a repeat course (acknowledge by the system)

U#: indicates a retake course (acknowledge by the system)

* OR # only: a repeat or retake course detected by the system (but not declare during registration – investigate)

U OR G only: mistakenly register the course as UK or UG (not acknowledge by the system - investigate)

TD: withdraw

TS: incomplete (due to illness etc.)

  • Student status is based on CGPA/PNGK and GPA/PNG:

- KB (Good Standing) => CGPA/PNGK ≥ 2.0

- KS (Probation Status) => 1.7 < CGPA/PNGK < 2.0

- KG (Fail Status) => CGPA/PNGK < 1.7 OR three (3) consecutive KS

- virtually KS/KB (CGPA/PNGK ≥ 1.7 or 2.0 BUT GPA/PNG < 1.0) => school can advice Senate to defer or fail

the student or continue with minimum credit

STUDENT’S RESULTS

31 of 60

  • Need to investigate if there is no mark or 000 mark

  • If they fail their Laboratory course, confirm submission with the student.

  • Request additional 1 mark for borderline grades (only for Lab and UGP)

  • PA need to prepare/provide report for

- students fail more than three (3) courses

- KS/KG/virtually KB students

- KS (Probation Status) => 1.7 < CGPA/PNGK < 2.0

- KG (Fail Status) => CGPA/PNGK < 1.7 OR three (3) consecutive KS

- MIA student

  • Never ever reveal unofficial information to your student (especially suspended results due to disciplinary reasons or owing tuition fees)

SCRUTINIZING STUDENT’S RESULTS

32 of 60

  • Easiest indication (SEMMH) => Credit Obtained (KD) = GraduateNORM =140

and Credit Counted (KK) = 135 (5 credits less; KD – LI) => GRADUATE?

  • Perform Conferment Audit (Audit Graduan) (check: complete all necessary courses)

GRADUATING STUDENTS

33 of 60

  • KD > 140 & KK >135 (but the difference still 5 credits) => student taking additional course(s)

  • Difference (KD – KK) > 5=> Palapes, Palapes Laut,

  • KK > (Graduate Norm – 5) => repeat different Course Code e.g Option

  • Must pass all six (6) Professional Skills/English Comm. Skills (GLL/TECS)

  • Check possibility of PK (peperiksaan khas) => fail only ONE (1) course in the last TWO (2) semesters

BUT not a 100% coursework course

  • Must have MUET results (local students)

  • How to improve PNGK/CGPA (help them to Graduate with PNGK/CGPA ≥ 3.0)

- Plan early (not at the final Semester)

- Do UG (ulang grade)

- Take more credits (withdraw if unable to score)

- PA play his/her role – take out your calculator

TO GRADUATE => THE STUDENT MUST SUBMIT APPLICATION FOR GRADUATION FORM

GRADUATING STUDENTS

STUDENT’S RESULT

35 of 60

STUDENT’S RESULT

36 of 60

  • Make sure your student go for LI before his/her final semester (EAC requirement)

  • For students with problems

- plan with them what to take each semester

- give priority to courses which are pre-requisite to other courses

- if the student have to delay taking a few courses, delay courses without pre-requisite and frequently offered

- alert on the remaining semesters

- always check whether they can graduate or not

  • If your student cannot graduate, discuss with their parents/guardian. Action can be taken:

- totally lost interest => ask them to quit ASAP BUT don’t let them MIA. Why?

- still have interest (and money) => plan for SPACE

  • Planning for SPACE:

- only for local students

- stay up to the maximum semester BUT need to apply Transfer to SPACE before the final semester

- must be KB status during the application

- take as many possible SEMMH Programme courses only(eventhough he/she is a SEMVH, SEMOH, SEMPH etc.)

OTHERS

37 of 60

  • Get to know your students (Academic Advising Portal, AIMS, En. Rosli Bohani)

  • Good PA always has answers to all his/her student performance.

  • Bear in mind, the longer they live in UTM they become “cleverer” and more independent.

  • Spend time analysing their performance

  • It is important to record your meetings and findings in Academic Advising Portal (as proof and/or reference).
