Preparing for tour

All travelers and parents will receive information about local COVID-19 guidelines and regulations expected to be in place during their tour. Travelers should closely monitor their health in the time leading up to their tour.

A COVID-19 vaccine is required by Education First, all travelers must be fully vaccinated
Some countries may have an expiry date requiring a booster shot (we will get an update about booster requirements 45 days before our trip)
Travelers who aren’t fully vaccinated, and can’t show proof of 14 days past their final shot, (CDC vaccine card) will be unable to travel

Safe Traveler Agreement

All travelers must electronically sign EF’s COVID Safe Traveler Agreement in order to travel
One month before tour, travelers will login to their EF online account, to sign the agreement

Proof of a negative COVID-19 test is required within 24-72 hours of departure depending on your destination
We recommend carrying both a virtual and printed copy of your CDC Vaccine Card and negative COVID-19 test
EF will keep us up to date with additional entry requirements as we get closer to tour.

Vaccines: In order to travel with EF, all travelers must be fully vaccinated against COVID-19 as defined by the CDC by the time of our departure. This states that you will be vaccinated (14 days passed your final shot, for most countries, some countries require 4 weeks past the Johnson and Johnson). We will get more information on if our destination(s) require a booster shot to enter in the coming weeks.

Safe Traveler Agreement: Within 30 days of our tour departing, EF will require all travelers to electronically sign EF’s COVID Safe Traveler Agreement. You will see this on your online account when we are within 30 days of our tour departing.

Pre-tour testing: A pre-tour COVID-19 test is required for all travelers, regardless of destination. Again, we will get more exact information on entry and on-tour testing within the next few weeks.

In addition to all of this, we also will need to follow our specific airline’s regulations and local guidelines while on tour. For example, we will all wear masks, and practice social distancing, if any of us feel sick, or experience COVID symptoms, you will notify me and our Tour Director. We will review the COVID Safe Traveler Agreement, and I’ll show you where to find the FAQs on EFs website on the next slide.

COVID Safe Traveler Agreement

We want all of our groups to travel confidently, which is why EF is taking the necessary steps to help keep travelers as healthy and safe as possible. Our COVID-19 Safe Traveler Agreement asks each traveler to do their part in keeping the tour experience safe for everyone. It will be available for each traveler to sign 30 days before their tour departs and must be signed no later than 72 hours prior to their flight’s departure.

On-tour experience

We do everything we can to maintain the integrity of our tour experiences, and our travelers’ safety comes first. If we need to adjust an itinerary to, say, avoid a crowded location at a peak time or follow local health and safety guidance, we’re able to do so quickly and easily. Our on-the-ground presence in the areas where we travel means we’re continuously working with our local partners, such as special sights and restaurants, to provide as safe an experience as possible.

Hand sanitizer will be available in hotels, restaurants & on the bus

If a traveler is diagnosed with COVID-19 on tour, they will be required to isolate based on local guidelines
The rest of the tour group will be required to quarantine on tour & adhere to local testing guidelines

Illness on Tour

Currently, the CDC requires all travelers entering from abroad to provide proof of a negative COVID-19 test administered within 1 day of traveling back to the U.S.
EF will help facilitate return testing as required by the CDC, travelers will pay for the test
Travelers will pay for testing costs and should budget $95 for on tour and return testing cost

Returning Home

As we get closer to tour, I will keep you all up to date with what is required of us to travel. Currently EF is working with their local presence, and following the guidance of the WHO, the CDC and local regulations to ensure our safety on tour. EF is also tweaking our itineraries to help us social distance on tour and to limit unnecessary contact.

Masks on tour: Our group should be prepared to wear masks throughout the entirety of our tour, except for when we are doing water activities, sitting down to a meal, or when we are in our hotel rooms. I recommend having 1 mask for each day we are on tour, even if you are using a reusable cloth mask, as washing facilities may not always be within our reach. EF has work with hotels, buses and restaurants to ensure hand sanitizer will be available, however travelers should plan on bringing enough hand sanitizer for themselves, and thoroughly wash their hands whenever possible.

Illness on tour: If one of us tests positive for COVID-19 while on tour, EF will help us through this situation, and I will contact the traveler’s family back home. On the next slide we will discuss EF’s COVID-19 Care Promise.

Returning home: Before we return home to the states, travelers will be required to take a COVID-19 test and produce negative results. EF will help facilitate testing for our group. I will communicate the testing costs closer to tour, but travelers should budget approximately $250 for on tour and return testing. $250 is the absolute maximum, and I will receive a better estimated cost closer to tour and share it with you all, and then collect this fee on behalf of our group.

- EF will cover any costs above $250 per traveler for COVID testing on a given tour.

If a traveler develops symptoms of COVID-19 while on tour, EF will help to facilitate medical attention and testing for the traveler. If, ultimately, the traveler tests positive, our exclusive EF COVID Care Promise will cover the cost of hotel and meals during the isolation period, as well as support from an EF representative.

If a traveler is diagnosed with COVID-19 while on tour, EF will provide or arrange for the following, consistent with local requirements, at no additional expense to the traveler throughout the duration of any on-tour quarantine period:

Lodging and meals
EF representatives available to support the traveler and to coordinate with local authorities on their behalf where necessary
Assistance connecting with local health care providers
Translation services
Communication between the traveler and the traveler’s family back home
EF-arranged flights home, based on existing itinerary, for the traveler once cleared to return
If the diagnosed traveler is a minor, flights for their parent or guardian to join them at the tour location

If a traveler or group is not diagnosed with, yet is required to quarantine on account of, COVID-19 while on tour, EF will provide or arrange for the following, consistent with local requirements, at no additional expense to the travelers throughout the duration of any on-tour quarantine period:

Lodging and meals
EF representatives available to support the traveler or group and to coordinate with local authorities on their behalf where necessary
Assistance connecting with local health care providers
Translation services
Communication between the traveler or group and their family or families back home
EF-arranged flights home for the traveler or group once cleared to return

EF’s COVID-19 Care Promise

I want to take some time to review EF’s COVID-19 Care Promise. This promise covers things what will happen if a traveler in our group tests positive for COVID-19, and/or we are required to quarantine on account of COVID-19 while on tour. Most importantly, EF will help facilitate communication between the families back home and the group.

I will include a link to EF’s COVID-19 Care Promise after our meeting.

How Quarantine on tour works:

If someone in our group (even 1 person) tests positive, the entire group may need to quarantine per local regulations
EF will work directly with local authorities to understand the exact protocol for your group
Quarantine could be anywhere from 7-14 days, and we highly recommend travelers bring extra medication, any necessities, and if there are adults who might not be able to get work off, they should bring their laptop/phone etc.
Travelers should not have any important events/appointments, etc. scheduled immediately after your groups return to the U.S.
As with any emergency, you as the group leader, as well as any chaperones should be prepared to stay back with any positive travelers as necessary
If a parent should fly over to provide additional support, they will need a valid passport, as well as proof of vaccination, and negative COVID-19 test results as listed above

Flight reminders

We’ve covered your exact flight details, and now we’d like to offer a few general flight reminders. We always recommend traveling with a carry-on (it’s no extra cost!) but if your needs differ, please research airline guidelines prior to arrival at the airport so you can budget accordingly (for example, baggage fees to Costa Rica, Belize and the Dominican Republic are approx. $35 each way).

When we get checked-in (which we usually will need to do as a group together at the airport), the airline will assign us all seats.

If anyone has any allergies or dietary restrictions that are you concerned about while flying, especially if it is a flight in which meals are served on, please let me know and please contact the airline directly over the phone. You should be able do this a week to 72 hours in advance.

Our dedicated Tour Director will be with us throughout tour to handle logistics and provide suggestions for activities.

Each traveler is responsible for the cost of all required on-tour COVID-19 testing, including a CDC required COVID-19 test to return home to the U.S.
Tests can range from under $50 to a maximum of $250. (EF will cover any testing costs above $250 per traveler.)
We will receive more information about our exact testing costs 2-3 weeks before our tour. In the meantime, budget for around $95.

Managing money on tour

Start by logging into your online traveler account..

Make sure your Passport details are entered and correct.
Make sure to fill out Emergency Contact details. EF will use the emergency contact list if they need to communicate any information while we’re on tour, please ensure your contact is up to date, and isn’t someone traveling on our tour with you.
All travelers must sign off on the EF COVID-19 Safe Traveler Agreement, you will be unable to travel if you haven’t signed this 72 hours prior to departure. Please review the document.

Please fill out the Health and Medical profile- this will help me stay organized and making sure all our travelers are properly supported on tour. I will send the health and medical profile after the meeting. Please return it to me in class. (Many Group Leaders make an electronic form to collect the health and medical profile information so it’s easier to reference on tour, and can’t be easily misplaced, EF does not collect this information from you)

I need copies of your passport, and your completed CDC Vaccine Card. Travelers must pass the recommended 14 days after their final shot (per the CDC) to be considered completely vaccinated. Any travelers with less than 14 days passed their final COVID-19 vaccination shot won’t be permitted to travel.

In order to minimize possible exposure to COVID-19 please begin to close your social circles and social distance whenever possible. About a month before tour. We will hold our last meeting virtually to decrease the risk of close contact within our group.

In case of a quarantine on tour, please bring extra medications and any necessities you may need. (~14 days’ worth)
