By Tuesday, you should have your computer.

  • If you need support with your computer, Tech will be available at our in-person meeting on Wednesday.
  • You should be working to transfer any documents that you may need to your new computer.
  • Once you have completely moved everything over, you will be expected to return your old computer.
  • If you need support or have questions, contact your P.S.

  • Ensure you have a dedicated work area
  • Ensure that your background is professional (i.e. no messy rooms, no windows, no laying) or be ready with an appropriate virtual background
  • Log into Zoom ahead of meetings/lessons and ensure that your video and microphone are in working order
  • Eliminate distractions
  • Allow for planning time and breaks in your schedule
  • Remember the 20-20-2o rule! 20 minutes on the screen followed by 20 second off screen looking at something 20’ away or further
  • Ensure that your email signature is professional, including your name, title, work email address and phone number

  • The IST Handbook is a tremendously helpful resource and should be bookmarked and referenced often as many questions can be answered by looking here first.

  • The SpEd Handbook is another helpful resource that includes important information specifically related to special education.

  • We continue to have two SEIS accounts this year. Your students will be listed there shortly. If you have any trouble logging in, email your P.S. and Stephanie Mitchell.

  • Student information is still housed in Pathways. RCs and ISTs update the information when needed. If something appears incorrect, please reach out to your student’s IST.
  • Check your login. If there are issues, email your P.S.
  • You should not be making any changes in Pathways (including TOMS); inform IST if changes need to be made in Pathways.

  • Google Calendar is where you are to create SAI and IEP invites
  • Daily tasks should also be listed on your calendar to make your P.S. and Admin Team aware of your availability
  • Make sure you click on ‘see guest list’ to hide others’ emails.
  • DO NOT use Google Meets.

  • The special education department requires all special education teachers to have a work-related phone number to add to your signature line rather than using your personal phone.

  • Why?
    • Privacy for both student and teacher
    • Professionalism: Separate communication streams
    • NEVER use your personal number to contact families

  • Tech is working to ensure that all staff have phone numbers set up. If you have not received the information that you need, contact your P.S.

  • When planning for IEP meetings, you are expected to schedule well in advance of meetings.
  • Meeting should be calendared no later than 6 weeks from a meeting date.
  • A Doodle Poll or Google Form can be used in order to aide in scheduling meetings with all IEP participants.
  • Once a date is found and meets everyone’s availability, schedule the IEP via Google Calendar immediately.
  • If you are waiting on a few participants, please call the remaining participants to see if they are available on the date/time that the rest of the team is available.

  • We will continue to use Adobe Sign for all legal documents. NOMs, IEP Consent, PWN signature pages, Assessment Plans, etc.
  • You should already have an account. If not, please let your P.S. know.

  • Make sure you have ‘complete in order’ selected and input emails in the order you want the document signed. The admin should sign first to review for mistakes.
  • Click ‘add me’ if you are to sign as well.
  • Click in the ‘email’ box to type in participant emails.
  • Click ‘add files’ and choose the PDF document to be signed. Make sure the name does not violate FERPA laws.
  • Include a message with what the password is to the signers.

  • All documents are to be password protected TWICE.
  • You will be prompted to input the password for the document. We typically use the student’s first name in all lowercase letters.
  • Password protect the document by clicking the downward arrow to the right of the added email line and select ‘password’. Add the password there for all signees. Also select ‘password protect’ under the options box to the right of the agreement name and message.

  • Make sure that you send all documents in a password protected format.

  • When the signer receives the signature request in their email, they will have to enter the password first in order to view the document and sign.

  • Once everything has been prepared, scroll to the bottom of the page and make sure ‘preview and add signature fields; is checked.
  • Then, click ‘next.’

  • Each signer is given a color to know who you are requesting a signature from. Choose the item and move it to the correct space on the doc.

  • The asterisk means the field is required and the color in the corner tells you by who. When the document is ready to send, click ‘Sign, then send.’

  • Once all parties have signed, you can open the document in Adobe Sign. Click on ‘download,’ then view the document. Click on the ‘print’ button and change it to ‘save as PDF.’ This will save it to your desktop. It will not be password protected. You will then upload it to SEIS.
