Clearances

  • We are no longer using TMX for clearance tracking
  • YOU are responsible for tracking your own clearance expiration dates
  • If your clearances are missing or expired, please email updated documents to Michelle Ralston and Stephani Machen (both) who will keep them on file: michelleralston@avonworth.k12.pa.us and smachen@avonworth.k12.pa.us
  • I’ll be working with Michelle and Steph, who have pulled the final TMX clearance list. If your clearances are not valid, I will reach out

Connecting/Outreach

  • One to two weeks prior to the party, reach out to your teacher to:
    • Let them know your group will be volunteering
    • Verify the number of students in the classroom
    • Share your plans so the teachers can prep the students in advance (e.g., placing students into groups per station)

Tip: Have one group member be the main point of contact with the teacher

Other Important Questions for Teachers & Overall Planning

  • Inclusivity: Some students may not celebrate certain holidays (e.g., Halloween). In those cases, parties must be season themed only
  • Parties are typically 1 hour and include 3 - 4 stations. Stations can include crafts, games, stories, snacks (AES only), etc.
  • Snacks & Allergies:
    • APC: No party snacks allowed. Teachers may distribute snacks at the end of the day, or snacks must be sealed and taken home if included in a game or craft
    • AES: Snacks are permitted but should be healthy. Hand Hygiene: Please encourage students to wash/sanitize hands frequently, but especially before snack
    • PTA does NOT provide allergy lists. You must contact your teacher directly to check for allergies in the classroom!!!

Other Important Questions for Teachers & Overall Planning

  • Photography: Ask if any students cannot be photographed
    • Extra PTA volunteers will on-site taking photos of classrooms – they are not party of the party teams but can help if time allows. Please note, those selected to help with photos are not listed within the spreadsheet and will be contacted by me via email separately

Arrival Information and Party Schedule

  • Please arrive no more than 15 minutes prior to the start time
    • Fall Party – Thursday, October 30
      • APC – 9:30-10:30 am
      • AES – 1:45-2:45 pm
    • Winter Party – Friday, December 19
      • APC – 9:30 -10:30 am
      • AES – 1:45-2:45 pm
  • You will sign in upon arrival to the school - There will be a table set up in the entryway with party sign in sheets
  • Badges: We are reviewing this process. If the process remains the same, these will be distributed prior to the party. If you forget yours, you must wear a guest sticker - NO exceptions

Parties K through 5

  • Parties are held in the classroom - with the EXCEPTION of Second Grade - next slide for details)
    • For in the classroom parties, the hallways and LGI areas can utilized (if needed)
  • Most classes should have 4 volunteers. If you are short a volunteer, some teachers may offer to help run a station if truly needed

Second Grade Party Areas

  • Both Fall and Winter Parties are broken up into the following areas:
    • Deike – Art and Music Rooms
    • Greiner– Gym near the playground
    • Johnson/Scanlon – Gym near the stage
    • Krouse/Dayton – Gym near the hallway
    • Lipchak/Powers – Classroom and LGI
    • Neiss – Classroom and hallway
    • Parreaguirre – Cafeteria
  • You do not need to memorize this list – the check in table will have this information as well
  • Tables and chairs will be available at each location if needed
