Artificial Intelligence (AI) integration into project management is not a question of “if” but “when”. By staying informed, upskilling and embracing AI, project managers can enhance their abilities, improve project outcomes and navigate the dynamic landscape effectively.

However, there is a wealth of information on the topic which can be overwhelming.

Evaluate the reliability and quality of the generated content. It’s important to keep in mind that inaccuracies or errors in the AI-generated content could impact your projects negatively.

    • Motion is an AI calendar tool that allows you to plan your day, schedule meetings, prioritize tasks and more. Automatically adjusts tasks on your calendar to help prioritize your day. Integrates your Outlook and Gmail calendars into one view. Cannot see others’ availability.

Project Planning and Scheduling

  • Project Planner develops Project Plan, Budget, Work Report, Task List, Project Proposal, Job Inspection, Quality Check, Letters.

  • Goblin Tools breaks down tasks to complete. Add a task to the Magic ToDo and customize the level of breakdown you need for each task. Also Goblin has additional features, such as a task estimator. Desktop version available.

Risk Management

  • RAIDLOG.com This software incorporates AI into its platform to help identify risks in minutes with one click and provide mitigation suggestions.

Stakeholder Engagement

    • Claude.ai is a generative AI chatbot, similar to Chat GPT, that is free to use. You can upload up to 5 attachments, 10 MB each. Claude will analyze the documents and respond based on what is listed in the doc(s). Lacks in-depth response unless you provide a detailed prompt.

Meeting Notes

  • Otter transcribes meeting notes then summarizes. Real-time transcription; can highlight and annotate in realtime.

  • Tactiq provides real-time meeting transcription for MS Teams and Zoom calls. Tactiq allows you to create your own prompts for the meeting transcripts to generate summaries, action items, risk, and more. Does not support the desktop version of MS Teams. Must use the URL version - it can run slow, especially when sharing your screen.

  • Avoma stands for A Very Organized Meeting Assistant.

  • Sembly is a smart tool that can generate meeting minutes and summaries, recognizing risks, dates, events, and action items. What’s best is that you can give voice commands to Sembly during the meeting to add certain items to your notes, so you never miss any important information.

  • Insta Minutes records meetings and generates notes. Insta Minutes is the only AI tool in the market that gives you key takeaways. Also, Instaminutes keeps learning from you on what’s most important to you and your work.

  • Meet Geek records meetings including online, generates transcripts, generates brief summaries. It can add custom key words that are important to your business.

  • Colibri records meetings, shows real-time transcription, and generates notes. Colibri can automatically create time-stamped notes, detect topics, and extract customer questions. During the meeting, you can highlight important snippets from the live transcription to add to the notes. You can also create meeting agendas and templates pre-meeting.

  • Dubber is a call recording software that allows businesses to record meetings, recall them, and gain insights. One of its tools, called Notes by Dubber, helps you focus on your meeting by generating meeting summaries automatically. It transcribes the entire conversation and uses AI to extract action items and create executive summaries.

  • Supernormal has meeting templates. Records, transcribes and summarizes meetings with action items. Works with Google, Meet Zoom and Teams. Can take notes from a recording. Free version for unlimited users.

According to McKinsey, AI will have a significant eonomic impact across all industry sectors. AI could deliver US$2.6 trillion to US$4.4 trillion annually based on 63 use cases.

PwC, suggests that the era of mass personalization is just around the corner. It predicts that 45% of total economic gains by 2030 will come from product enhancements, stimulating consumer demand, all because AI has the potential to drive greater product variety…

PwC, also estimates that AI could contribute up to US$15.7 trillion to the global economy in 2030, with US$6.6 trillion coming from increased productivity, including businesses automating processes and augmenting their existing labor force with AI technologies.

In 2022, IBM indicated that 35% of companies were using AI in their business, and an additional 42% reported AI exploration. More recently, in 2023, Forbes surveyed 600 American businesses currently using AI or with plans to use it and found that nearly 46% had adopted AI to craft internal communications. About 53% used AI to improve production processes and 51% for process automation.
