IZONE Employment & Required Forms

Background Check – Form 2971�Complete and send to Kristi Murrell. (Jan Campbell will enter it into the Child Care Licensing system.) Once entered, you’ll get an email from Texas HHSC with fingerprinting instructions.

💡 IZONE will reimburse you for the fingerprinting fee.

Payroll & Employment Setup (ADP)

  • Once your fingerprint results show “Eligible to be present at your operation,” you’ll be added to IZONE’s payroll system, ADP. You’ll receive a welcome email from Payroll Security (www.adp.com) — follow the steps to complete:
  • Form I-9 (Employment Eligibility)
  • W-4 Tax Form
  • Direct Deposit Setup

💰 IZONE pays electronically each month, around the 15th.

Background Checks and Fingerprinting — “All staff must complete a background check and fingerprinting as required by 26 TAC §744.901–§744.909. Staff cannot be present with children until HHSC has issued an ‘Eligible’ status.”

Training & Certification Requirements

All IZONE staff are required to complete annual childcare training hours. Most of your school district training already counts toward this total — you just need to document it on Form 7250 for childcare licensing.

Training Requirements

  • Staff: 24 hours per year, including CPR/First Aid
  • 4-Hour Pre-Service Orientation each August (led by Kristi Murrell — today!)

💡 Good News:�Your KISD Vector courses (Child Abuse, Bloodborne Pathogens, etc.) already meet most of the required hours. Just record them on the Childcare Training Log (Form 7250) and attach any available certificates.�Kristi will review each staff member’s training record and ensure everything is uploaded into Procare.

Work Schedules & Attendance Expectations

Scheduling: Site directors will create the schedule each month based on enrollment numbers.

Attendance: Consistent attendance is expected. Always arrive 15 mins before your shift.

No Call/No Show: Failing to notify your director of an absence is an infraction. An infraction may result in dismissal.

Resignation: Please provide at least two weeks’ notice if you plan to resign.

Staff schedules may change throughout the day based on enrollment and licensing ratios.

Health & Safety Guidelines

Stay Home if Sick: Staff and children must be symptom-free for at least 24 hours before returning.

Sick Space: Each site has a designated area for separating ill children until they are picked up.

Sanitation: Regularly sanitize toys, equipment, and high-touch areas.

Handwashing: Wash hands before snacks, and meals.

Parent Notification: Parents will be contacted promptly regarding any injuries, illnesses, or health concerns.

Medication: IZONE staff do not administer medication.

Texas law requires every employee to report suspected abuse or neglect immediately.

If you suspect abuse or neglect:

• Ensure the child is safe.

• Notify your Site Director immediately.

• Report to the Texas Abuse Hotline.

IZONE believes discipline provides the foundation for proper behavior.

Rules:

1. Follow teacher directions

2. Keep hands, feet, and objects to self

3. No swearing, cruel teasing, or rude gestures

4. Respect others and belongings

5. Follow school playground rules

Consequences:

• 1st Offense – Verbal Warning

• 2nd Offense – Time-out (≤ 5 minutes)

• 3rd Offense – Time-out (≤ 5 minutes)

• 4th Offense – Time-out (≤ 5 minutes) + Discipline Note – Parent signature – Procare

Severity Clause: Any child who intentionally destroys property or harms another will be removed immediately, issued a discipline note, and may face dismissal.

Because IZONE operates within KISD facilities,

outdoor playground equipment is owned and

Each site is responsible for trash and general cleanup throughout the day.

Midday full trash dump scheduled between staff shifts.

All program areas must be clean, secured, and reset for the next school day.

Final building check completed no later than 6:30 PM.

  • Use only district-approved programs and websites.
  • Devices remain on campus and in approved areas.

Emergency Procedures

Every IZONE campus has an Emergency Plan. Please take time to learn it and note that evacuation maps are posted in every room. Drills are practiced regularly so staff and children know exactly what to do.

  • 🔥 Fire: Use the posted evacuation map. Walk children calmly to the designated safe area. Take attendance as you leave and again when you arrive. Assist children with special needs.
  • 🌪Severe Weather: Move students to the assigned interior safe rooms. Count children before leaving and again once inside. Stay in place until given clearance.
  • ❤️ Health Emergency: If a child becomes sick or injured, separate them from the group, notify parents promptly, and follow the illness policy. Give comfort and first aid as appropriate.
  • 🚨Intruder / Lockdown: Stay calm. Lock and block doors, keep children quiet and safe, and call 911. Follow directions for evacuation only if instructed.
  • ❤️ Continued Care: Teachers and staff remain with children at all times. Comfort them, keep them calm, and continue supervision until they are safely picked up by a parent or guardian.
  • 🎒 Emergency Bag: Always bring the emergency bag when moving. It contains attendance lists, student records, supplies, water, and snacks.

A Day in the Life of Monday Camp:

When a late pick-up occurs:�✅ Have the parent/guardian sign the ticket�✅ Tear off and give the parent their copy�✅ Keep our copy for records�✅ Take a clear photo (name/date/time/signature visible)�✅ Text the photo to Jan immediately

IZONE End-of-Day ChecklistYour responsibilities when leaving a location.

Site ResponsibilitiesConfirm all students have been picked up.� Ensure you sign-in/out sheets in Procare are complete and accurate.� Walk through all program areas (cafeteria, classrooms, gym, outdoor spaces) to confirm no students remain.�Reset rooms to their original condition (tables, chairs, materials put away).� Collect and store leftover snacks/meal items properly.

Safety & Licensing ComplianceConfirm exits are clear and doors are locked once the last child leaves.�Turn off lights and secure equipment (computers, microwaves, fans, etc.).� Document any incidents, accidents, or behavior notes in Procare before leaving.

Communication & Parent Follow-Up Make note of any parent questions/concerns to share with the Site Director.� Ensure Procare messages or alerts have been cleared or responded to.

Supplies & Prep

Re-stock materials (pencils, paper, homework bins, water cups, etc.).� Note any low supplies that need ordering and share with the Site Director.

Texas Child-Care Licensing Compliance (TITLE 26, CHAPTER 744)

IZONE operates under the Texas Administrative Code – Title 26, Part 1, Chapter 744Minimum Standards for School-Age and Before/After-School Programs.

Staff are responsible for knowing and following:

Background Checks §744.901 – §744.909�All employees must complete a background check and fingerprinting as required by the Texas HHSC.

Training §744.1301 – §744.1317�Caregivers must complete at least 24 annual training hours, including CPR/First Aid and child-abuse awareness.

Supervision §744.1201 – §744.1207�Staff must actively supervise children at all times with both visual and auditory awareness.

Ratios §744.1001 – §744.1003�Programs must maintain proper staff-to-child ratios (3-year-olds 1:15; 4-year-olds 1:18; 5-year-olds 1:22; 6-12 years 1:26).

Health & Safety §744.2601 – §744.2627�Exclude sick children for 24 hours; follow handwashing standards; only parents/guardians may administer medication.

Discipline §744.2701 – §744.2707�Prohibits corporal punishment, humiliation, or threats; IZONE uses positive redirection and time-outs (≤ 5 minutes).

Emergency Procedures §744.5001 – §744.5017�Each campus maintains an Emergency Preparedness Plan with documented monthly drills.
