The cycle begins with a Referral submitted by a staff member in the form of an Office Discipline Referral. This referral is done through Educators Handbook

This referral process is used when a student’s(s’) behavior reaches a level that warrants removal from the classroom

Discipline Response Cycle

When creating an ODR, only create 1 referral, but include all offenders, all victims (depending on the offense), and all offenses in this 1 referral. This keeps from over reporting incidents.

    • On the left side of your screen, on the black vertical ribbon, click on the paper & pencil icon.
    • Choose the office referral tab (Some Level 2 offenses and all Level 3 and above offenses)
    • Click on and fill out the information on location, subject, and arrangement. A time stamp is created once you start the referral, but can be adjusted to reflect the time of the incident by clicking on the time and/or date.

4. Click on the offense. You can choose by grouping (aligned to the Behavior Matrix) or type it in by clicking on the magnifying glass icon.

5. Add a description of the events, keep it fact based without personal emotion (e.g. “this is the 3rd time today and I just can’t take it anymore”).

6. Add the offending student or students.

7. If it is an offense that requires a victim(s) (e.g. bullying or harassment), add it under the offense. If there is more than 1 victim, add another by clicking on the “+” button next to the first victim’s name. Continue adding all victims names as necessary.

8. Once done with the Offender(s), Description, Offense(s), Victim(s)- if necessary, save the referral. A notification will be sent to the Admin. Team.

    • Administration should communicate with parents and staff about consequences and next steps
      • Part of the ODR is when the Admin. assigns an accountable consequence, once this is done you should receive an email notification that an “action” has been taken on your referral. You may click on the link in the email and it will take you to this referral for you to see what action has been taken. There is NO personal identifiable information on a student in this notification email.

Helping to Close the Loop

The cycle begins with documentation in Educators Handbook of minor behaviors that a student(s) is exhibiting.

    • This process is used when a student’s(s’) behavior can be managed by the teacher in the classroom
    • Don’t document every little thing a student does (e.g. talking out)
    • This entire process is handled and documented by the teacher including accountable consequences
    • This documentation could help in identifying any patterns in behavior as part of a problem solving team, allowing you to reflect on possible core supports a student or group of students may need, and/or allow you to put strategies in place before the minor behaviors become more intense behaviors.

When creating a minor, only create 1 minor, but include all offenders, all victims (depending on the offense), and all offenses in this 1 referral. This keeps from over reporting incidents.

    • On the left side of your screen, on the black vertical ribbon, click on the paper & pencil icon.
    • Choose the minor incident tab (Level 1 and most of Level 2 offenses)
    • Click on and fill out the information on location, subject, and arrangement. A time stamp is created once you start the referral, but can be adjusted to reflect the time of the incident by clicking on the time and/or date.

7. The staff member will need to add an action(s), duration (optional), and any details (optional) after you add the offender(s) because it is something as the teacher you are going to do. This type of referral doesn’t not go to the building Admin.

8. If it is an offense that requires a victim(s) (e.g. bullying or harassment), add it under the offense. If there is more than 1 victim, add another by clicking on the “+” button next to the first victim’s name. Continue adding all victims names as necessary.

    • Like in an ODR, the staff member will need to close the loop with individuals that are involved or need to be notified (e.g. parent/guardian)
      • In closing the loop, discuss what accountable consequence you are applying to the student. (Remember this is for minor incidents).
      • Also discuss what you are going to do to support the student to help build their skills so the behavior doesn’t repeat.
      • The 2nd part is important, otherwise a parent/guardian will receive your phone call and it will sound like a complaint, they will want to hear what you are going to do to support their child. Then follow up again to let the parent know what is occurring. This will help build a positive relationship with the parent.

    • Chose Specific Students Roster

    • Name the Roster, add student names, and adjust notifications for yourself.

    • Notifications: You can receive a notification when a referral occurs for a student on this roster and also be notified when an action is taken on a student on your roster. This is good for EC Teachers, MTSS, Coaches.

    • Save the Roster and should appear in your “My Rosters”.

    • Once saved, Rosters are sent to School Admin. for approval.

    • Once approved, your rosters will live under the My Rosters Tab. You can have multiple rosters if needed.
