Transfer Request �and �Approving Student Data �from Another District

A Two Step Process �

  1. The school needing the student makes the request.
  2. The sending school confirms the transfer.
  • Using the transfer request, you can search through all of the students in SRS.
  • **If you happen to find multiples for a student, please request and merge the data so all of the student’s data is in one file.

Step 1 - Requesting Student Data

  • Click on the Students tab
  • Select Transfer Students
  • Select Request Transfer
  • Complete the fields for First Name, Last Name, SRS ID or State ID.
  • You can use any combination of the 4 fields. 
  • Using 3 letters of each name works well.
  • Click Search.  This will bring up a list of students in SRS matching the data you are wanting.
  • Click Request Transfer.
  • Add the district and school that you want the student transferred into.
  • Submit Request

Step 2 - Approve a Pending Request or Confirm the Transfer

  • Once the request is sent, a notice for the transfer will be sent to the current district manager.
  • The current school will need to confirm the transfer and deactivate the student’s SRS account to transfer.
    • Through the Students tab.
    • Select Transfer Students. 
    • Choose Confirm Transfer Out of
    • Choose a district
    • Select confirm or delete
  • If the student is not inactive, a popup window will display and allow you to inactivate the student account and add an exit date and reason.
  • Submit request

Activate

  • Go back to the Students tab again and student list. Use the Show ALL Students in the search options to find the transferred account and activate the student.

Merge Student Records

  • Once the transfer is complete, merging may need to be done if there are multiple records for the student. (See Merge Student Record tutorial – on youtube https://www.youtube.com/watch?v=wI4H3tzgkHM )

IEP/IFSP or MDT Card

  • If using the prior school’s IEP from the transfer, an IEP card should be created.
  • The dates will need to be changed to match the transfer date as the exit date for the prior school and the begin date as the incoming date to the new district.
  • The end date will need to still be the same end as it was in the transferred IEP.
  • This will keep the ADVISER records accurate.
