Virtual Meeting/Conference Recording Notice

AIR Inclusive Meeting Guidelines�Hosting and Participating in Meetings

These guidelines are intended to improve the meeting experience for virtual participants, as well as people with hearing loss, visual impairment, and those for whom English is an additional language. �Developed by the Access AIR and AIR CREW Employee Resource Groups With Support From the AIR Diversity and Inclusion Office.

ENGAGE EVERYONE

Consider participants’ needs (e.g., visual, auditory, sensory, cognitive, physical, and language). Establish meeting norms to encourage participation. Ask participants if they can see and hear. Designate a meeting monitor to address audio/visual issues and respond to virtual participants’ comments and questions

BE HEARD AND SEEN

Project your voice when speaking. Permit one speaker at a time and avoid overlapping and sidebar conversations. Allow people to see your facial expressions and body language clearly. Position everyone so they can be seen on-screen. For virtual participants, promote webcam use.

ACKNOWLEDGE SPEAKER

Raise your hand or provide another auditory or visual cue before speaking to identify yourself as the speaker. State your name for those who cannot see you. When asking for questions or comments, allow 5 to 7 seconds for participants to unmute phones. Be comfortable with wait time.

MAXIMIZE MICROPHONES

Microphone(s) are needed for face-to-face and virtual meetings and are critical for engaging remote colleagues and persons with hearing loss. Set up microphone(s) for the facilitator and attendees and ensure that hand-held microphones are available for groups with audience participation. Ensure speakers are near a microphone.

MINIMIZE NOISE

Avoid moving around or shuffling materials on a desk. Eliminate crunching or chewing noises and loud typing, which interfere with sound quality for virtual participants and are amplified by microphones and hearing aids. Speak from a stationary position to keep the audio clear. Mute your phone or computer when not speaking.

MAXIMIZE VISUAL DISPLAYS

E-mail materials in advance of meeting. Display meeting documents on-screen, and capture main discussion points verbally and visually by taking notes or using the “chat box,” Skype, or other means. If a participant asks for clarification, rephrase the content instead of repeating it. Assign a meeting notetaker so that the meeting leader and monitor can focus on engagement. Notes are also helpful for people with hearing loss who may not have heard the content.

Mentee responsibilities

Complete the agreement and send to mentor prior to first meeting

Provide a short bio or CV to mentor in advance

Schedule monthly meetings and send reminder for each meeting

Set up a communication protocol (email, WhatsApp)

Set agenda for each meeting in advance

Send any materials for review or questions at least one week prior to the meeting

Attend virtual check-in meeting after six months to give feedback
Use the mentee listserv to exchange ideas and information, and to suggest webinars in specific areas
Attend end of programme virtual meeting

PhD supervisor vs. P3-ENGAGE Mentor

You are ultimately accountable to your PhD supervisor for your dissertation
Your mentor can provide support beyond just your dissertation

You are in the driver’s seat in the relationship, not a passive recipient (a passenger)

Think about what help or support you want, and actively request it
If you don’t have time to engage fully in the programme, please tell us ASAP

List of Mentors

Ashu Handa (AIR): Professor of public policy at the University of North Carolina, Chapel Hill, and an economist working on poverty, health, and human development in sub-Saharan Africa.
David Seidenfeld (AIR): Senior Vice President, International Development Division at AIR. Dr. Seidenfeld has designed and led evaluations of more than 10 cash transfer programs in low- and middle-income countries including five randomized controlled trials (RCT).
Sonam Gupta (AIR): an applied economist, has more than 15 years of experience in research, management, design, and implementation of complex, multi-country international development projects.
Melissa Hidrobo (IFPRI): a Research Fellow in the Poverty, Health, and Nutrition Division at the International Food Policy Research Institute (IFPRI). She is an applied micro-economist working at the intersection of gender, agriculture, and social protection.

5. Jacob de Hoop (World Bank): Senior Economist in the World Bank’s Global Poverty and Equity Practice. He supports the World Bank’s poverty work in Costa Rica and Suriname and co-leads the Gender Innovation Lab in the region.

6. Damien King (UWI-Mona) : Senior Lecturer and Head of the Department of Economics at the Mona campus of the University of the West Indies, where he teaches graduate and undergraduate courses in introductory economics, macroeconomic theory and International Trade & Finance.

7. Gustavo Angeles (UNC): Health economist with interest in the impact of development programs on household’s demographic, health, and economic outcomes. His work focuses on applied evaluations of ongoing programs in developing countries as well as on methodological and measurement problems for estimating program impacts correctly.

8. Agnes Quisumbing (IFPRI): Senior research fellow, co-leads a research program that examines how closing the gap between men’s and women’s ownership and control of assets may lead to better development outcomes.

9. Franziska Gassmann (Maastricht Univ): Professor of Social Protection and Development at Maastricht University and Professor of Poverty and Social Protection at Bonn-Rhein-Sieg University of Applied Science

10. Precious Zikhali (World Bank): Poverty Economist at the World Bank. She currently supports the poverty and inequality work program of the Bank covering Botswana, Lesotho, Namibia, South Africa and Swaziland.

11. Tia Palermo (University at Buffalo): associate professor at the University of Bufallo. Her research examines the impacts of social policy on population health. She is currently co-principal investigator of studies in Tanzania and Ethiopia examining the impacts of government social protection programs linked with other services and complementary interventions on health and well-being.
