Managers’ First Steps

  • Log your contact information in the shared Google doc (many of you have done this already).
  • Complete your background check (mandatory to be added to your roster in PlayMetrics).
  • Identify Your Team Treasurer and assist with the team budget process.
  • Register for summer tournaments (once decided on with your coach & team community).

Share the Workload!

  • We want to encourage all of you to share the workload with your team community. The manager role is primarily administrative, meant to support the coach with those tasks for the length of the seasonal year. Be sure to have a treasurer, and set an expectation that other parents lend a hand, too: recruit folks to help you with game day tasks, find a fundraising coordinator, etc.

Understanding Registration

  • Registration includes Membership & Insurance
    • USYSA (through WYS and SYSA)
    • US Club (for all ECNL & ECNL-RL players)
  • USYSA Seasonal Year – annually, from registration
  • US Club Seasonal Year – August 1 – July 31

Player Requirements to Participate

  • Current year registration (2025/26) in PlayMetrics
  • Birth certificate & player photo.
  • Payment in full or payment plan in place
  • Medical release – hard copy to manager/coach, must be at the field with the team at every practice, tournament, and league game

Completing Current Year Registration

  • If a player is on the roster, registration is complete and they are able to practice & play.
  • If not on roster, they are not allowed to participate until they do show up on the roster in PlayMetrics.
  • Note on family privacy: Financial matters are between the club and each family. Team volunteers will be informed only as required.

Coach/Manager Registration

    • All Coaches/Managers – must register in Affinity annually. Background check approval expires each year on April 30.
    • National Background Check Required – through Affinity and JD Palatine (& included in the coach/volunteer registration).
    • All required certifications must be complete and ‘synced’ to your Affinity admin profile.
    • No coach or manager will be added to PlayMetrics until the BGC requirements are met.

Summer Tournaments

  • Each team will participate in 2-4 tournaments over the course of the summer.
  • Tournaments will require an approved, signed roster that is submitted online or in-person at tournament check-in (event dependent).
  • As manager, you (or your coach) will register your team for each tournament the team participates in.

3. Birth Year (last two digits of year): 18, 13, 09, etc.

4. Color level: Blue, White, etc.

    • E.g.: South G13 Blue, West B09 White

WYS/USSF sanctioned�Tournaments

    • Check WYS soccer website for sanctioning for all in-state summer tournaments.
    • http://www.washingtonyouthsoccer.org/
    • 2025/26 registration required for all players for summer tournament participation.
    • Current background check for all team admins (coaches & managers)
    • Rosters need to be signed
      • Review tournament rules to see what is required.
      • All teams: Log your team’s tournaments in the Google doc on the correct week’s tab.
      • Create your tournament roster request in Affinity by logging into your team page there.
      • Rosters requests due the Tuesday prior to the tournament (in state).
      • Roster requests due two weeks prior to the Monday of tournament week (out of state travel). These requests must include the travel dates for all team members in the ‘comments’ section of the request in Affinity
      • Rosters will be processed each week on Wednesdays, and you will receive email notification.
      • Note: each week in the summer, there can be between 30-65 teams playing in tournaments. I move as efficiently as possible, but they can be long days. You may receive your roster late in the day – after ‘regular business hours’.

    • Player cards (usually) not necessary in-state.
    • Out of state – Paige files intent to travel form with WYS.

League Play

  • ECNL teams play in the ECNL or Elite Clubs National League
  • Premier teams play in WYS’ ‘RCL’ or Regional Club League’
  • Select (Regional) teams play in the NPSL (North Puget Sound League).

League Registration

  • Club registrar will register all players & teams for the ECNL, starting in early June. Watch for an e-mail then with specific forms and requirements.
  • Club registrar will register/submit all teams for RCL league registration before league deadline.
  • Club registrar will register/submit all teams for the NPSL as well by July 15.
  • Seattle United staff will review, submit, and provide follow-up for all NPSL registration.
  • Club pays all league registration.
  • No action needed by team managers.

The WYS Player and Coaches Membership Pass (Player Cards)

  • The WYS membership pass, also known as the player card, denotes that you are a member of the largest youth sporting organization in the United States.   The "Pass" entitles you to participate in sanctioned WYS and US Youth Soccer Leagues, State Cups and Summer Tournaments. 
  • As an adult team staff member, the "Pass" indicates that you have passed the WYS Risk Management Acceptance Program.  The "Pass" will provide proof that all of your players are properly registered and are age appropriate.   You may obtain a membership pass from your association registrar.
  • To be valid, a membership pass/player card must have a current photo of the player and be laminated.  Membership pass/player cards are valid from the time of receipt through the following July, and will be used for participation in league play, state cup and summer tournaments (as required).

Player Cards

  • Prior year cards used until receipt of 2025/26 cards – get them from previous team.
    • Not team specific for summer tournaments
  • Seattle United will distribute 2025/26 cards to team managers by the mid-August (earlier for teams traveling to Surf Cup or other out-of-state events in July).
  • Your card packet will include assembly instructions.
  • Update all player photos in Affinity once notified by Paige.
  • Any photo older than 2 years should be replaced.
  • Cards are team specific for league play.
  • Digital cards can be used for RCL play, but paper cards should always be carried as a back-up.

Communication & Monthly Updates

Resources to assist you:

  • Monthly updates via email that include pertinent tasks and upcoming deadlines.
  • Tutorials/How-To’s for both PlayMetrics and Affinity will be communicated and/or posted as they become available.
  • Help Center in PM is a great tool!
  • Information listed on Managers’ page of the website.
  • Invite-only Slack channel for peer support & guidance.
  • Quarterly managers’ meeting to cover ‘current tasks’.
  • Next meeting: Wednesday, August 20 via ZOOM to go over game day routines and league scheduling.

Financial Aid

  • Club financial aid is a three-tiered program:
    • Program fee waiver (80 percent)
    • Team Fee Subsidy (100 percent)
    • Uniforms
  • Financial Aid application window closed on June 1.
  • Treasurers must submit their team budget along with a request for team fee subsidies to Kyle Rodeheaver (kyler@seattleunited.com).
  • Aid families receive a code to order uniforms.

Treasurers’ Information

  • Every team needs a Team Treasurer (cannot be the coach)
  • Team Treasurer will need to open a bank account if the team doesn’t have one, or become a signer for an existing account (email Kyle at kyler@seattleunited.com for the onboarding packet)
  • Work with the coach to determine Team Budget
  • Input budget into Budget Template that can be found on our website under “Resources” and “Forms”
  • Turn in Team Budget to Kyle at kyler@seattleunited.com for approval
  • Collect team fees from families to register for tournaments, etc.

  • Deadline to order is TODAY!
  • Families can still place orders.
  • 4-6 week delivery time.

  • TBA in Winter/Spring 2026. Mandatory team donation: value $150.00/team. Include in team budget to ensure funds are available.
  • ‘Ask’ for each team will be communicated in November or early December.
  • Please consider your team community – your awareness of your families is greater than ours – potential donors, volunteers, and the like.
