Every Monday there will be a full team status meeting to review the upcoming week(s) of work coming down the pipeline. Everyone on USB is required to attend (Account, Strategy, Creative, UX, Media, PR) along with a key member of the production department (Cheryl) and the experiential department.

The Huddle

Once the brief is developed by strategy, the creative directors and account director along with the project management team will meet to discuss brief development feedback. The project manager will then hand off the project to a producer if needed. i.e pulling in PO's or video, experiential producers.

The Kick-off

The kick-off meeting will be a presentation by strategy and account of the creative brief document to the full team that will be involved in the project. This will serve as the official beginning of the creative project by defining the strategy that creatives will then create from. Schedule and assignments are assigned by the project manager.

Creative Review #1

The first IR will be a review of creative territories developed by the creative team at a high level, we call these “Concept Statements”. Concept statements are a paragraph that describes the creative territory/concept for said project. The creative director and creatives will help define what themes are to be blown out into execution. This is a high level concept territory meeting.

Creative Review #2

The second IR will be a review of creative themes and their creative executions per theme. The creatives will present ideas to the creative director. This will be about diving into executions per theme and choosing which are the strongest executions for the theme.

It will also serve as a review of the full deck going to client. All roles will be assigned which slides they are speaking to. The full team will present the deck as a dry-run before the client meeting. The deck will be populated with all slides from all departments and will run through proofreading at this time.

Email Process

  • We have 5 regularly-scheduled emails each month: USB Weekly and State Weekly, Polly Board Management Report, Soybean Research and Information Network (SRIN) newsletter, Soy Hopper (IRR) newsletter.
  • PR emails, including news releases and media alerts, happen on an as-needed basis, but usually 1-2 emails per month.
  • Less frequent emails include quarterly BioBased Solutions newsletters and Take Action newsletters.
  • Content is either provided by the client (Polly Report) or developed by our internal teams and routed similarly to other written content.
  • The account/PR lead is responsible for creating the email request spreadsheet for each send. The spreadsheet should be copied from the Master, found here, or a previous send.
    • Every email we send must have an email request spreadsheet for QA purposes.
