MSDS Reporting Plans

  • The ability to generate MSDS from MiDataHub has been a goal since inception
  • In the 21-22 school year, 16 Skyward Qmlativ districts completed MSDS submissions from MiDataHub, with plans to continue for 22-23

Benefits of MSDS Reporting from MiDataHub

  • Eliminates dual work by no longer having to do both XML files and Ed-Fi data submission
  • MiDataHub serves as a great merge location for data from other systems, like Special Education
  • Vendor focus can shift to ensuring improved data flow and quality to MiDataHub
  • Allows data quality checking to occur early and often, rather than just during count periods, allowing for better data quality all year round

MSDS Reporting Tools

  • Descriptor Mapping – Provides the ability to indicate which descriptor values tie to which state required values
  • Error Check – Checks submission data against CEPI rules. When paired with Alert functionality, a district can get an email any time there are data issues.
  • MSDS Reports – Patterned after CEPI reports, these reports provide a preview of what the data will look like when uploaded to CEPI and are helpful for troubleshooting.
  • File Generation – Creates the XML file structure currently accepted by CEPI
  • File Comparison – Provide a comparison of data in MiDataHub to a vendor’s separately produced XML file. Excellent for validating completeness of integration.
  • Count Day Data Management – For a select number of fields where data cannot be determined to have occurred on or before count date, this allows a user to select which value is used for reporting when a change occurs within the count window.
  • As-of-Date Override Management – Allows a district to override the established MSDS count dates due to factors such as weather delays

  • 2022-23 CEPI Mappings Documents are available on the Vendor Resources page
  • Ensure that your SIS is able to send all data needed for state reporting
  • Work to pilot 1-2 districts for parallel submission testing of the process
  • Based on piloting work, identify when it makes sense to begin promoting the process to districts

Provide users of Food Service Systems the ability to:

  1. perform a single-student lookup to determine eligibility and
  2. retrieve the report of eligible students (i.e. Direct Cert report) directly within their system

Benefits:

  • Eliminates the need to login to a state system, download and import
  • Minimizes files with sensitive data residing on local computer/networks
  • Allows districts to determine eligibility as soon as a new student is enrolled

Single Student Direct Cert Lookup

  • An authorized FSS district user will be able to search CEPI’s direct cert data to determine whether a child is eligible for free/reduced meals via direct certification.

Report of Direct Cert Eligibility

  • An authorized FSS district user will be able to request data from the most recently updated Direct Certification report for their district. This report contains all students directly certified to receive free/reduced meals.

    • Assessment data, include M-STEP, SAT, PSAT, DRC, Acadience, i-Ready, NWEA, Star and more\
    • SWIS Referral Data – Discipline Incident, Discipline Action Taken and Student Discipline Incident Association
    • Special Education Data
      • PCG now able to provide data for state reporting
      • Illuminate Special Education (ISE) completing work to provide data for state reporting

Enrollment Transfer and Concurrent Enrollment Processes�

  • Relies on Michigan Data Exchange Architecture
  • Districts must opt into record sharing
  • Result will be composite of Ed-Fi resources – schema TBD
  • Enrollment Transfer is for the case where a student moves from one district to another
  • Concurrent Enrollment is for the case where a student is enrolled in a primary district/school and concurrently enrolled in a program with a separate entity (an ISD often)
    • Program entity would like up-to-date enrollment and demographics info
    • Primary educating entity would often like attendance and grades

Data Quality

  • Most common issue in 2021-22, studentEducationOrganizationAssociation not provided for students fully enrolled
    • This leaves out identificationCodes, Gender, Race, Languages, Address, Phone, Email
  • Another major issues is when a student is added with an incorrect identifier (PIC or district student number), and the student is re-sent with the corrected value, the original student is not removed and sometimes gets attached to other data
    • Use Delete operation of Student resource to perform cascading delete
  • StudentUniqueId – UIC preferred value
  • Descriptor Management

Management Portal

  • Work is in progress on the portal
  • It will allow vendors to:
    • Log into the portal
    • Define and manage products/integrations
    • Provide documentation
    • Access key/secret data where permitted
    • Access SFTP data where permitted
    • Run data quality error check reports where defined
    • Eventually SSO options may also be available
  • Some of these features may come at a cost to use and/or customize
