Policy vs Procedure vs Guidelines (thanks, ChatGPT)

  • Policies provide the overarching rules or principles that govern the use of AI within our schools.
  • Procedures are the specific steps that will be taken to implement these policies.
  • Guidelines offer recommended practices that can enhance the effectiveness of both policies and procedures.

Each layer plays a crucial role in the comprehensive governance of AI technologies in education.

“Do school divisions have specific policies on specific software, or do they have policies that govern the actions of the human?”

At the School Level (EPSB - Thomas)

  • Prohibited use is no a realistic path to travel unless the instructor has the ability to reliably lock down these systems.
  • Free range is also just as problematic as not knowing how the tool is being used means attribution is unknown.
  • Post-secondary permits its use and academic writing style guides have provided ways to cite its use so it has been accepted into peer reviewed journals.
  • Fundamentally, its responsible use needs to be modeled for students so they learn how to use it.

The Start of the Journey: A School Story

  • Started with staff PD for AI literacy in April 2023.
  • LLM becoming available, just finished progress reports.
  • Used LLM with PoS outcomes to generate progress report comments at three standards levels.
  • Not great first results, but a solid reference.
  • Reviewed with teachers, mixed with teacher written comments.
  • Teacher comments were deemed to be higher quality.
  • September staff meeting - reviewed statement for all course outlines.

Use of Artificial Intelligence (AI) and other related technologies

With the rise of more advanced forms of AI, especially generative chat models, it is important to acknowledge when these tools are being used and when their use may be detrimental to the learning process. Students are to check in with their teachers if and when AI use may be appropriate.

If AI use is identified during a summative assessment where it was not permitted or discussed with the teacher beforehand, it will be treated as an “Academic Integrity” issue as outlined in the School Assessment Plan.

Start with what you know!

  • Focus on what you are specifically looking to address.
  • Consider what policies you may already have within your division that answer questions AI brings up.
    • Responsible Use of Technology
    • Data and Privacy (PIA)
    • Academic Integrity
  • Existing guidelines:
    • TQS/LQS (ATA)
    • Administration and Education Policy (ATA)
    • Learning and Technology Policy Framework (Alberta Education)
