Treat it like the brief you'd give a new senior team member on day one.

  • Who you are: your name, your role, what your business does
  • Who your clients typically are: their profile, what they care about, their budget bracket
  • Your destinations: where you specialise, where you don't go, your strongest supplier relationships
  • Your voice: how you write, what you avoid, the tone your clients expect
  • What it should do automatically: ask before assuming, flag uncertainty, suggest verification
  • What it should never do: invent supplier names, fabricate reviews, pretend to know live availability

How to use Projects, properly

One Project per relationship or workstream. Don't dump everything in one place.

  • One Project per active client. Include: the brief, preferences, past trips, supplier preferences
  • One Project per destination you specialise in. Include: your best operators, briefing notes, things you say in every itinerary for that place
  • One Project for your business voice. Include: your tone of voice document, sample sign-offs, sample proposals, things you'd never say
  • Each Project: minimum two reference documents, ideally five or six. Add more as you go
  • Available in: Claude (Projects), ChatGPT (Projects/Custom GPTs), NotebookLM, Copilot

Start with the five tasks you do most often.

  • The itinerary draft prompt: built around your standard structure and your tone
  • The supplier follow-up prompt: chase, with context on what was promised and when
  • The destination paragraph prompt: for the proposal, with your house phrases and supplier mentions baked in
  • The proposal opener: the first three sentences of every client proposal, tailored to enquiry type
  • The 'I need to think about this' prompt: an internal sense-check before responding to a tricky enquiry

What goes in your tone of voice document

One page. Specific. Refined over time as you notice what AI gets wrong.

  • Three to five words that describe how you sound (warm, specific, never effusive, honest, dry)
  • Sentence length and rhythm: short, punchy, long flowing? Mix it how?
  • Words and phrases you use often: your verbal tics, the bits clients quote back to you
  • Words and phrases you never use: industry cliches, hype words, anything you cringe at
  • How you open: do you greet, do you get straight into it, do you use first names
  • How you close: sign-off, call to action, your standard final line
  • Three to five sample paragraphs of your actual writing for the AI to study

Confident, plausible, sometimes completely fabricated.

  • Hotels that don't exist
  • Reviewer names invented to sound credible
  • Prices and availability that look right but aren't
  • Operating hours, opening seasons, route frequencies
  • Visa requirements (these change, AI doesn't always know)

VERIFY LIKE THIS

  • The two-AI test: run the same prompt through Claude and Copilot. Note where they disagree.
  • The 'show your working' prompt: ask the AI to list its sources and flag where it's uncertain.
  • The 'I'd sign my name to this' test: would you put it in front of a paying client as-is?
