RFUMS Login Through HelixNet SSO

What is HelixNet SSO?

Single sign-on is an authentication scheme that allows a user to log in with a single ID and password to any of several related, yet independent, software systems. Wikipedia

Login Instructions:

  1. Go to https://helixnet.rosalindfranklin.edu/.
  2. Sign in with your Rosalind Franklin email.
  3. Scroll to the bottom of the page and select the Zoom icon.
  4. Select Sign in.

Tip: If you were assigned as an Alternate Host you will need to be signed in with your RFU email address in order to be automatically made a Host/Co-Host.

Join a Meeting

Overview:

Most likely you will be emailed a Zoom meeting link or it will be included in a calendar invite.

Select the link to join the meeting.

There are two ways to join meeting audio, joining via computer or joining via telephone.

Computer prerequisites: microphone, speaker, and webcam.

Updating Zoom Desktop App

Update Instructions:

  1. Open your Zoom Desktop app through the start menu.
  2. If needed, sign into your account by clicking the SSO button on the right.
  3. Click on your account icon in the top right corner.
  4. Select Check for Updates.
  5. Click Update.

Tip: If you do not have all features available in Zoom, check for an update.

Joining a Meeting by Phone

Overview:

You can join a Zoom meeting via audio conferencing (using a traditional phone).

Instructions for dialing in:

  • Dial one of the numbers provided with the Zoom Meeting information.
  • Enter the meeting ID followed by #.
  • Enter the password followed by #.

Tip: Toggle mute/unmute using *6. Muting while not talking reduces background noise.

Options:

  • Create a meeting on the Google Calendar, select More Options (highly recommended), and “Make it a Zoom Meeting” (if you do not see this feature please see the slide Schedule a Meeting in Google Calendar).�
  • Create a meeting through the Zoom Desktop App and select.
    1. New Meeting. b. Schedule.�
  • Create a meeting through the Zoom Web Portal (Video Tutorial).

Zoom Help Center -Using the Zoom Chrome Extension

Quick Steps:

Install the Extension from the �chrome web store.

Tip: Enable passwords through the Zoom Extension settings in Chrome (top right, toolbar) to secure meeting. �Select: Zoom icon > gear icon > checkbox > Save Changes.

Follow the steps for the How to display scheduling options each time to edit Zoom meeting settings in the Google Calendar Invite itself.

Adding an Alternate Host (Google Calendar)

Quick Steps:

  1. Open Google Calendar.
  2. Click Create > Event.
  3. Select More Options. (Do not click “Make it a Zoom Meeting.” This will close the window without allowing you to edit the meeting options.)

INTERMEDIATE

  1. Enter your meeting information: title, date, time, guests, location, etc.
  2. Now click Make it a Zoom Meeting.
  3. The Schedule Options window where you can enter alternate host(s) emails. (Separated by semicolons)

Adding an Alternate Host (Web Portal)

Quick Steps:

  • Sign in to the Zoom web portal.
  • Click Meetings, and select Schedule A Meeting.

INTERMEDIATE

  • In the Alternative Host field, enter the alternative host's email address.

  1. Click Advanced Options.
  1. Click Save to finish.
  2. The alternative host will now receive an email letting them know that they have been added as an alternative host.

Overview:

Host controls allow the host to control various aspects of a Zoom meeting: manage participants, breakout rooms, polls, etc.

Sharing Your Screen

Zoom Help Center - Sharing Your Screen

Overview:A host or attendee (host will need to enable screen sharing for participants) can share their screen on a desktop, tablet, and mobile device while running Zoom.

Errors: If you receive an error code while trying to share screen make sure your Zoom Desktop is up to date.

Playing a Video While Screen Sharing

Overview:While in the Screen Share Options window enable these features:��Share Computer Sound�If you check this option, any sound played by your computer will be shared in the meeting. (This may need to be disabled after your video is done playing.)��Optimize for full screen video clip�Check this if you will be sharing a video clip in full screen mode. Do not check this otherwise, as it may cause the shared screen to be blurry.

Polling (In Meeting)

Overview:

Allows for creation of single or multiple choice polling questions in a meeting. Gather responses from attendees and a report is available to download after the meeting.

Tip: Use for taking attendance.

Breakout Rooms

Overview:

Breakout Rooms allow for toggling between a main large group and small groups within the same video session. Managed by the host.

Can only be added to a meeting through the web-portal.

Tip: Use for small group discussions.

Recording a Zoom Meeting

Overview:

When a meeting is recorded it captures the video, audio and chat text. The recording can be saved to the cloud or locally to a computer.

Tip: Cloud recordings are recommended.

Reports

Overview:

Review meeting statistics, poll responses, and registration/ attendee reports for meetings.

Accessing reports:

  • Sign in to the Zoom web portal.
  • Select Reports.
  • Click Usage Reports (attendance).
  • Click Participant (column) number.
  • Select checkbox Export with meeting data..
  • Export.

Tip: May take up to 30 minutes after meeting to show in reports.
